Date of Event ___________ Deposit ___________ Rental Fee ___________ Security ___________ Insurance ___________ Address:______________________ Phone: _______________________ RENTAL AGREEMENT FOR SACRED HEART PARISH HALL This agreement, made on ___________________, 20___, whereby Sacred Heart Catholic Church (lessor) leases to ____________________________________ (lessee) the use of Sacred Heart Parish Hall for a period of __________ hours from __________ to __________ on __________________, 20___ (lease date). This agreement is subject to the following terms: 1. All reservations and special arrangements shall be made with the parish hall manager (Phone 620-342-1061). 2. Rental fee will be based on the Rental Fee Schedule. 3. Confirmation of the reservation will be sent to lessee upon approval of parish hall manager and receipt of this signed agreement and a deposit of $_______________. 4. Cancellation refund d. 20% of the deposit will be non-refundable. e. 80% of the deposit may be refunded if the lessee cancels this rental agreement at least 30 days prior to the lease date. 5. Insurance a. For all events, Sacred Heart Event Insurance or proof of insurance will be required. A copy must be left at the Parish Office. Sacred Heart Church and/ or the Archdiocese of Kansas City in KS must be listed as an additionally insured on the certificate. Insurance fee will be waived with proof of insurance. If required, insurance fee will be collected with rent. 6. Clean Up a. For all events scheduled for less than 4 hours, the lessee will be responsible for restoring the hall to the same or better condition of cleanliness. Lessee may request parish hall manager make arrangements for professional clean up. This cost will be added to rent. b. For all events scheduled for 4-6 hours, professional clean up will be required. Professional clean up is included in rent and will start promptly at 12:00 midnight. Any additional clean up time will be deducted from deposit. 7. All events must end by 12:00 midnight. 8. Alcohol a. No alcohol will be allowed for celebrations for minors (Baptisms, Quinceanera, minor birthdays, etc.) b. Allowable alcohol includes beer in kegs, wine, champagne and wine coolers. Absolutely no hard liquor of any kind shall be permitted on parish premises. Any evidence of hard liquor either in the hall or outside will result in an immediate end to the event and a forfeiture of some or all of the deposit. c. All alcohol shall be dispensed from the kitchen in plastic cups or containers by the designated bartender. A bartender must be in the kitchen at all times once alcohol has been dispensed. d. Sacred Heart event insurance is required for all events including alcohol and shall be included in the rent. e. Professional clean up shall be required. Three hours of professional clean up will be included in rent. Clean up shall begin promptly at 12:00 midnight. f. The parish, at the lessee’s expense, will obtain hired Security personnel to supervise an event involving alcohol. g. Lessee and his designees agree to comply with all with all state laws regarding the use and sale of alcoholic beverages. Allowable alcohol as listed in 8b should be carefully measured, and no doubles of any drink should be served. (The commonly accepted drink measurement should adhere to the following recommended standards: no more than 12 ounces of beer as a maximum and no more than 4-5 ounces of wine per serving. h. For the safety of your guests, it is highly recommended that food be served throughout the event, especially during the last hour. 9. This agreement does not constitute the right to use the hall prior to the rental date. Arrangements for decoration or entrance to the hall prior to the rental date shall be made with the parish hall manager. 10. Hall rental does not include the right to use items belonging to the parish or parish organizations. These items include, but are not limited to: plates, glassware, silverware, cooking utensils, pots, pans, baking sheets, paper plates, napkins, plastic utensils, food items, or any other supply located in the hall. 11. Funeral and visitations which may be conducted in the parish hall are considered special occasions and do take precedence over other uses of the hall. Arrangements and adjustments in such situations are at the discretion of the parish hall managers and in consultation with the pastor. 12. Indemnity: The lessee shall forever protect, save, keep, and hold Sacred Heart Parish of Emporia, Lyon County, Kansas and its officers, agents, representatives, firms and other corporations or individuals involved therein, harmless and indemnify Sacred Heart against any and all claims, demands, losses, costs, damages, suits, judgments, penalties, expenses, and liabilities of any kind or nature whatsoever arising directly or indirectly out of or in connection with renting of such hall. 13. Cost for additional clean up and/or repair or replacement of any damaged items in or to the Sacred Heart Parish Hall or the Sacred Heart premises as a result of this scheduled event will be deducted from the deposit. Any additional cost not covered by the deposit will be billed to the lessee. 14. Any violation of this agreement will result in the forfeiture of future use of the hall of the lessee for a period of three (3) years in addition to any costs incurred. 15. Total rent of $___________________ will be due 14 days prior to the scheduled rent date. 16. The Parish Hall Managers may at his/her discretion adjust rental rates for nonprofit organizations or make adjustments to this agreement.
