							Four Checklists have been developed by Human Resources to assist
managers/supervisors in ensuring necessary information is communicated to
applicants and new employees. The four checklists cover interviewing, verbal
offers, pre-planning for new hires and a new hire arrival checklist.

The tools are intended to guide you and your applicants through various stages
of the employment process. Providing information to applicants and employees
will help them make the right employment decision and will make them feel
welcome knowing preparation was completed in advance of their arrival. Some
items on the checklists may not apply for specific positions you are recruiting for
such as MSP level positions.

A copy of each checklist is attached or you may find them on the Human
Resources web site under (Employment Services) www.hr.uci.edu. If you should

                             Interview Checklist

The purpose of the Managers Interview checklist is to help managers to
communicate important information during an interview process with an
applicant. Below is a list of recommended items to cover during an interview and
may not apply to every type of position being recruited for. This should be used
as a guide.


   Job Description (explanation of appointment type - career, casual)

   Working hours

   Dress Code

   Parking fees (if applicable)

   Pay dates

   Fair Share Bill Information (if applicable) – use this verbiage:
    Effective January 1, 2000, a new State law requires that all employees who
    are in a bargaining unit represented by a labor union, must either join the
    union or pay a “fair share” fee to the union. The amount of the fair share fee
    is established by each union and varies by bargaining unit. Additional
    information is available on the Human Resources web site at ) www.hr.uci.edu.

   Benefits Summary

   Ask them for a list of references

   Advise them that the position may require a background check (if
    applicable)

   Provide them with a UCI Map
                             Verbal Offer Checklist

This checklist is used to help managers to cover the necessary terms and
conditions of employment with an applicant during a verbal offer. This should be
used as a guide and some items may not apply to each position being offered.
Please tell them about the following:

   Starting Salary (monthly or hourly)

   6 month Probationary Period (if applicable)

   At will employment (if applicable)

   Pay Dates

   Work Hours

   Parking Availability & Fees

   Union Affiliation (if applicable)

   Fair Share Bill Information – use this verbiage:

   Required Payroll Deductions (DCP)

   If a background check is required; advise them the offer is pending the
    successful results of the background check.

   Confirm a start date

   Advise the applicant that you will be mailing them a confirming
    Offer/Welcome Letter

   Explain that you will schedule them for Employee Orientation
                     New Hire Pre-Arrival Checklist

Prior to your new employee arriving, you need to prepare for them. Having
training and orientation scheduled will help them become productive faster. In
preparation, below are suggested items to have in place or scheduled for them.


   Mail them a Welcome/offer Letter

   Schedule them for New Employee Orientation

   Prepare for a Departmental Orientation/Training

   Arrange for a Campus Tour for their first week (if new to UCI)

   Have their work area set up and ready

   Have their telephone and computer set up and ready

   Schedule training on the telephone and/or computer system

   Office keys made

   Schedule them for a Staff ID Card

   Determine whether they need a credit card or Pal Card

   Determine which campus lists they need to subscribe to

   Arrange for yourself or a co-worker to have lunch with them the first day
    or week
                           New Hire Checklist

Use this checklist to help get your new employee oriented quickly. It will help
them feel welcome and will give a good impression of you and your department.
Provide them with the following information and/or give them a list of who will
help them with the information.

   Welcome them – introductions to the staff

   Orient them to the work area/office/building

   Provide a Campus map

   Provide orientation/training on the Telephone

   Emergency Evacuation Procedures

   Provide orientation/training on the Computer System

   Orientation to the UCI Web Site

   Explain their job and give them a copy of Job Description

   Provide an Organizational Chart (internal chart and control point)

   Explain their Performance Standards

   Explain your expectations of them

   Provide an orientation of the work

   Provide keys to the Office

   Explain the use of timesheets

   Have them sign the Compensatory Time Agreement (if applicable)

   Arrangements for Lunch (with supervisor or co-worker on first day)
