HDR EXAMINATIONS CHEAT SHEET
So you’ve spent the last lifetime working towards the final draft of your thesis... and now you think
you might be able to see the light at the end of the tunnel... Suddenly, you think – what happens
next?... what do I do now?... how long is all this going to take?...This chart is here to help you find
your way through the maze that is the higher degrees by research examination process.
•Three months before intended submission date

•Candidate discusses potential Examiners with Supervisors and Principal Supervisor invites Examiners.
Candidate
•Candidate and Principal Supervisor complete Recommendation of Examiners form and submit it to the Faculty/IAS
School.
•Faculty/IAS School HDR Panel recommends Examiners taking into account the guidelines and submit this to the Office
NOMINATION Faculty/IAS
OF EXAMINERS of Research and Innovation (ORI).
ORI
•ORI check the form and include it in the report for the next Research Panel meeting.
Research
•Research Panel approves (or not) the Examiners.
Candidate
•Candidate completes final version of thesis.
Supervisor
•Supervisor reads the thesis and discusses any comments thoroughly with the Candidate.
Supervisor
•Supervisor provides memo stating that he/she has done this and that in his/her opinion the thesis, in its current form,
SUBMISSION is ready for examination.
OF THESIS Candidate
•Candidate provides 'soft bound' copies of the thesis to the ORI (3 copies for Masters and 4 copies for PhD). Each copy
includes a signed declaration page.
ORI
•ORI sends the Thesis to the appointed Examiners (2 for Masters, 3 for PhD) - the other copy is kept in case required for
a Reserve Examiner.
Examiners
•Examiners read and assess the thesis and return completed Examiner's Report forms, including their recommendation
on the thesis.
•The Examiner's asked to return their reports within 8 weeks of receipt of the thesis.

•However, in reality the average time for all reports to be received is 16 weeks.
ORI
•ORI arrange payment of honorarium to Examiners.
ORI
•ORI send the Examiners' Reports to the Faculty/IAS School.
Faculty/IAS
•Faculty/IAS School Higher Degrees by Research (HDR) Panel consider the Examiners' Reports and the examination
guidelines and provide a recommendation to the Deputy Vice Chancellor (DVC(RI)).
DVC(RI)
•DVC(RI) makes the final determination on the outcome of the examination: normally this will include a requirement of
OUTCOME minor corrections to the thesis; (occasionally a major rewrite is required, whereby the candidate needs to reenrol and
the examination process is repeated).
Candidate
•Candidate carries out any minor revisions to the thesis as required and prepares a thesis precis (approx. 150 words) in
plain english for inclusion in the graduation booklet.
Supervisor
•Supervisor checks thesis to ensure that appropriate corrections have been completed and checks the thesis precis.
Faculty/IAS
•Faculty/IAS School HDR Panel endorse the changes and forward their recommendation to the DVC(RI), who approves
LODGEMENT lodgement of the thesis.
Candidate
•Candidate submits two hard bound copies and one CD copy of the final version of the thesis: ORI sends one bound
copy and the electronic copy to the University Library; the other hard copy to the Supervisor.
ORI
•ORI inform Graduation Officer that Candidate has completed the requirements for the degree.
Graduation
•Graduation Officer provides Graduand Selection Report (GSR).
DVC(RI)
•DVC(RI) endorses GSR and ORI returns signed GSR and thesis precis to the Graduation Officer.
•Graduation Officer includes the Candidate in the next graduation ceremony.

•Graduation takes place twice a year, normally in May and October.
