                                    ANNUAL GENERAL MEETING

                               Friday November 14th 2008 at 7.30pm

                                              AGENDA MINUTES


1.   Apologies for Absence.
     Chris Sedgfield, Alex Sedgfield, Martin Osborne, Ralph Denton, Adam Crosby, John Naylor, James Fox, Chris
     Holroyd, Nimolan
     Note: In attendance were Mike Fox, Mike Atkin, Stuart Sweet, Hilary Crosby, Lawrence Truslove, Rubens, Matt
     Woodhouse, Neil Lawson, Alan Naylor and arriving later, Richard Cutts.

3.   Chairman’s Report
     Welcome to this year’s AGM and I thank those of you who turned up for the meeting.
     Ladies and gentleman we have a full agenda tonight therefore we need to limit our time and conclude in 1 hour.
     This year has been, to say the least, a very eventful and certainly challenging year.

     This is what happened.

     Chairman Chris Sedgefield resigns
     Club captain Alex resigns
     Vice captain & fixtures secretary James resigns
     The club lost a number of key players to injury.
     Situations like these can be difficult to recover from, especially during a playing season, I must admit we did
     struggle somewhat particularly in the area of fielding full teams, players available for selection appeared to be
     the problem, numbers I thought, we have over twenty registered players on the books, however our team
     selection problems carried on for the balance of fixtures until the end of the season,
     I must make a special mention to Loz for taking up the mantle of club captain and stepping into the captain’s
     role at such a late stage in the season, he did a great job under extreme circumstances, thank you Loz.

     On behalf of the committee I thank everyone involved with the club, in particular I mention the players who
     continued to support and play for the club, the committee members who turned up for every meeting for all their
     hard work and the tea ladies for providing our excellent teas at home matches, special mention to my wife
     Daphne who prepared the tea rota and did 5 teas, bless her, on one occasion she said to me what if no one
     turns up! i said no worries darling we’ll eat it in the week.
     Alan and Stuart did a great job on the wicket throughout the season, although on a slightly negative note I felt
     the grass cutting to the outfield by the council did not come up to standard and must be improved for next
     season.
     A big thanks to Chris Sedgefield, Alex Sedgefield, and James Fox for their commitment and contribution to the
     club, they are sorely missed, but we wish them well in their future endeavours.
     James did a wonderful job on the fixtures list this year which was a vast improvement from the previous year
     and I think you will all agree Mike and Tony g did a great job on the fixtures card.
     Thanks must also go to Hilary Crosby for her excellent match reports, they included, weather reports, great
     humour and observations on the day, the reports were posted on the clubs web site, hope you all read them
     and enjoyed Hilary’s humour.

     What have we achieved this season on the field of play?

     Well where do I start, compared to last season’s fantastic achievements, this year we would have been
     relegated had we been in a league, out of 19 fixtures 6 fixtures were cancelled, mainly due to adverse weather
     conditions, 1 was played but rained off, 7 matches were lost, we did manage to win 3 games, the last two
     games with Dunchurch I do not have these results.
     Details of significant matches and the annual ashes game i will leave to the club captain Loz, if you missed
     Hilary’s reports.
     On reflection, with all the changes taking place, we did at least play cricket in Marton.
     The MVCC web site is up and running and presents information and up to date events at the club, the site has
     enjoyed over 162 hits from April to October, representing over 16 % of total hits on the village web site. our web
     site is a very useful marketing tool and personally i encourage all members to make contributions to its content,
     please send me your ideas for consideration.
Any members thinking of buying goods on line please visit Clubnet and purchase through them, the club
benefits from all purchases and receives donations at no cost to you.
Fortunately we continue to attract sponsors and this year we have two new sponsors in Rockpool Children’s
books and exclusive kitchens & bathrooms, so please support them, if you need children’s books or a new
kitchen,
Our other sponsors Mercia financial solutions, the black horse pub and Indian restaurant, Ian de Courcey grass
& Lawncare, tony g ltd continue to support MVCC, a special thanks to Mr Robson for his kind donation, I would
like to minute our sincere thanks to all our sponsors for their generous support this year.
I hope everyone in the club noticed the removal of the old steel goal posts, your committee felt this presented a
health & safety hazard, in co-operation with the playing fields committee we agreed to remove the posts.
Your committee continue to invest in the club and this year we provided a five a side football goal for use by the
children in the village, a special thanks to Alan Naylor for organising the purchase through the parish council
and playing fields committee, saving the club V.A.T. we also purchased new practice nets, kit & balls and a line
marker.


What social and fund raising events have we organised this year?

Not a lot is the simple answer,
Fund raising events are so important to the club, without them and our sponsors the club would cease to exist.
When asked to take over as chairman my main concern centered on the fact that for the second year running
we failed to organize a major fund raising event.
Your committee focused on this failure and organized the Marton village cricket club prize draw, which started
life as a Christmas draw.
It soon became evident our Christmas target could not be met.
We decided to rename the draw, prize draw, and re-scheduled it in the New Year.
I am extremely pleased to report that thanks to our designated promoter Alan Naylor, we raised £625, and the
draw was a resounding success.

The prize draw took place at the black horse on April 11th 2008, our thanks go to the black horse for allowing
MVCC to hold the draw on their premises. There was a good turnout and everyone enjoyed a great evening.
On behalf of the club may I take this opportunity to mention a special thanks to Alan, our promoter, for his
sterling work in organizing the prize draw event, well done Alan. Thanks also to all the members who donated
the excellent prizes and more importantly all the villagers of Marton and Birdingbury for purchasing so many
tickets. Last but not least a big big thank you to our sponsor tony g for printing the tickets, what a fantastic ticket
design.


The total benefit, less expenses netted the club £562.50, part of the money £62.50 was donated to the “whizz
kids charity fund appeal” which supports children with mobility needs, a very worthy cause.
I recommend your new committee organizes this event again next year.

Your committee decided to organised “the Marton playing fields sports day & fete”
With Mike Atkin at the helm we knew we had a winner, little did we know the low levels of non interest we would
receive, and unfortunately the event just had to be cancelled.
not to be deterred your committee rekindled the idea and surprise, surprise, everyone was interested, positive
progress was made and a new date set for mid September, everything was going to plan, however with a week
to go mother nature took charge and turned on the taps, resulting in the cancellation of the event, the playing
fields were water logged,
I recommend to your new committee as a major fund raising event that “Marton sports day and fete” is pencilled
in for 2009.
a special vote of thanks goes to mike and his committee for all their stirling efforts, do not be dismayed mike,
the basic framework is in place for next year and I’m sure we can make it a resounding success.
As chairman I would like to mention that everyone involved with the club supports all organised events and fund
raisers, we need your commitment and help to make them successful and to raise much needed funds for the
club.
On a personal note I would like to convey my sincere thanks to Alan and Mike not only for the committment they
demonstrate to the club in the roles they command but for their support in my role as chairman, they really are
MVCC.
Last but not least thanks to Val for preparing the food after the AGM I’m sure you will all enjoy the meal.


In conclusion may I make comment on item 6 on the agenda tonight, we will not have enough time to discuss
this item in detail but we do value your ideas and thoughts on how we can attract some new playing members
for next season.
     4.   Treasurers Report

          The figures below are self explanatory and show that the Club is solvent although we do need to pay MFPA for
          the use of the pitch (estimated at £75)
          Member’s subs were excellent though Match fees were down, due to the lack of home matches caused by bad
          weather and match cancellations after June.
          Sponsorship was received from Chris Sedgfield (Mercia Finance Solutions), Stuart Trotter (Rock Pool), Graham
          Robson and Steve Riley (Exclusive Kitchens and Bedrooms)
          Once again, thanks must go to Alan Naylor and Stuart Sweet as they have saved the club over £800 on
          maintenance costs against previous years when we have outsourced some work. Thanks also to Alan for his
          efforts in organising the Prize Draw and to the members for buying and selling Prize Draw Tickets.
          As has been said before, the Club has always been able to raise funds via Sponsorship, membership fees and
          other fund-raising events. The issue is more to do with physical commitment (playing/active members) to the
          Club

          Thanks were given to Mike for his “safe pair of hands” as Treasurer over the past few years and for the
          forthcoming 2008/2009 Season.

     5.   Captains Report

          Games: Marton won only three of the 9 games played. Only 9 out of 18 games were played this season due
          mostly to the weather though sometimes due to not being able to field sufficient players. Some of the games
          played had only 9/10 MVCC players on the field. The Charity Match was cancelled by the Derby team.
           In addition, the Ashes game was played as usual on 29 June and won by Birdingbury for the second year
          running.
          Playing Members Lost: Alex Sedgfield, James Fox, Luke Nelly, Chris Holroyd, Adam Crosby and to injury,
          Mike Feely and Tom Brownlee
          New Players gained: James Lawson, George Busby, Chris Wickham, Alex Smith

          The captain then presented this season’s statistics and the following awards were announced and trophies
          presented:

6.    Ideas to recruit new players for 2009 (each person was asked to provide at least one idea)

          People we know (from anywhere!)
          MVCC Open Day
          Friends
          Approach other club’s for their surpluses
          Flyers round the village timed with nets
          Regular team nets starting early at Princethorpe College and then Marton
          Get someone good to come and do the coaching during nets
          Target two people each, personalise it
          Hassle people
          Birdingbury Ashes people from Birdingbury
          Ask people to confirm how many games they can commit to (in general terms eg 25%/50%/75% etc)
          Discussion on these and other ideas carried over to the first meeting of the new committee


7.    Resignation of Current Committee

          The present committee resigned to make way for the 2008/9 committee.
          The Chairman thanked the outgoing committee for their commitment and hard work.


8.    Election of Principal Officers for 2008/2009 Season

      Note: The outgoing Chairman, in circulating the ballot papers for elections, had earlier directed that the roles of
      Secretary and Fixtures Secretary be combined for this next season and also that the role of Social Secretary be
      subsumed into the responsibility of the committee as a whole.
