Tax-Wise Set-Up Setting up the Preparer’s Use Fields to Administer the Survey The seven Preparer’s Use Fields in TaxWise will be used to collect data from the survey. The fields can be set up with drop-down menus (or “user-defined history lists,” as they are called in TaxWise) listing the answer options that the administrator of the survey can select from. User- defined history lists for the seven fields ensure that misspelled or otherwise inaccurate data is not entered. Also, data entry will be faster. Setting Up the Drop-Down Menus In TaxWise 2004 the “Admin user” has the ability to create history lists for entries that do not already have a pre-defined history list. The list will be available to all user names on the system. This example tells how to create a history list for Preparer’s Use Field 1. Just repeat the same steps for the rest of the Preparer’s Use Fields, using the answer codes corresponding to the particular questions. 1. Log in to TaxWise as Admin. 2. Double-click the 1040 tax package. 3. On the Tools menu select Edit Tax Form Defaults. 4. Double-click the 1040 tax package. 5. Click Yes on the Confirm window. 6. Scroll down Main Info to the Preparer’s Use Fields near the bottom of the form. 7. Click in Preparer’s Use Field 1. 8. Right-click in Preparer’s Use Field 1. 9. Click Edit History List. The User Defined History List window will open. 10. Type AA (the code corresponding to the “African-American” choice of answers to the question regarding the race of the filer) in the Add an item to the list box and press Enter or click the Add button. The letters AA appears in the list. 11. Type the letters CA (corresponding to “Caucasian”) in the Add an item to the list box and press Enter or click the Add button. The letters CA will appear in the list. 12. Do the same for the rest of the answer codes, which are located on the survey sheet. 13. Click OK when you are finished inputting all the codes. The User Defined History List window will close. On Preparer’s Use Field 1, press the Spacebar or click the arrow beside the entry to see your list. The list will now be available in all new returns created by all users on your network (if your computers are in a network, that is). If your computers are not in a network, drop-down menus must be installed on every computer. 14. Before moving to the next Preparer Use fields, press F3 when the cursor is still in Preparer Use Field 1. The box should turn red. 15. Now repeat the whole process for all the other six Preparer’s Use Fields, typing in the answer codes for each of the questions. 16. When you have finished entering all default information, close and save the default return by first clicking Save Return from the File Menu and then Close Return from the File menu. You can reopen Edit Tax Form Defaults at any time to make changes to the default information. The new defaults will affect only new returns from that point forward. Important Points F3: Make sure you press F3 after having entered all the answer codes in the Preparer Use Field. This ensures that the Preparer Use Fields are required for all preparers. The box should turn red. Edit Tax Form Defaults: User-defined history lists must be created in Edit Tax Form Defaults in order for the lists to be saved. The Edit History List feature will be available in actual tax returns to Admin and other users for whom it is enabled, but any lists created will not be saved when the return is closed. All Computers: Make sure drop-down menus are created on all computers at the site. “0” Defaults: For some reason, Prepare Use Fields 4, 5, and 6 have a zero default – this is fine. The following pages (3-5) have visual instructions on how to set up Tax Wise.
