                        CITY OF PLAYFORD RESERVE GROUND HIRE
                     SUMMER SEASON 26 September 2009 to 14 March 2010


Attached please find an Application form and Conditions of Hire for seasonal hire of reserve grounds
located within the City of Playford for the summer season.

To ensure hire of Reserve Grounds for competitive or social use by your club, please complete all
questions on the application form and return it to me at the above address by 21 August 2009.

 It is important that your club specifies the days and times that you require use of each of the pitches
to avoid overcharging and to allow other users access to that ground. The information should include
any dates required outside of the seasonal hiring period for events such as social functions, training,
finals etc.

The Hire Agreement will apply only to specified grounds and is subject to the availability of grounds.
The seasonal fees are as follows:


Standard:                    $717.41 + GST $71.74 = $789.15
The standard seasonal rate includes weekly usage of a senior pitch for two weeknight evenings and
either a Saturday or Sunday throughout the season.

Standard Extra              $772.73 + GST $77.27 = $850.00
The standard extra seasonal rate includes weekly usage of a senior pitch for two weeknight evenings
and Saturday and Sunday throughout the season.

Premium:                    $1081.77 + GST $108.18 = $1189.95
The premium seasonal rate includes weekly usage of a senior pitch for three weeknight evenings and
Saturday and Sunday throughout the season.

Seasonal Week Night Hire: $313.64 + GST 31/46 = $346.10
The Seasonal week night hire rate includes weekly usage of a senior pitch for one week night
throughout the season.

Seasonal Saturday or Sunday: $391.86 + GST 39.19 = $431.05
The Seasonal Saturday OR Sunday hire rate includes weekly usage of a pitch for either a Saturday
OR a Sunday throughout the season.
There is no special rate for baseball/softball pitches.

Modified Pitches
All modified pitches are half the price of the above, dependant upon usage.

Smoking Policy
The Permit holder acknowledges that that the Council has a preference that the all events undertaken
on council land are promoted as smoke-free and that the permit holder takes reasonable steps to
ensure that this is communicated.

Insurance/Public Liability
The City of Playford in conjunction with Local Government Insurance Services now has a service on
Council’s website where organisations such as Clubs and Community Groups can quickly obtain a
quote online. Council’s website address is www.playford.sa.gov.au. You will find this service under
Policies.

All clubs who have not yet sent in their Certificate of Insurance (as per item 10 of the
Conditions of Hire), or whose insurance has been renewed, please send a copy of your
Certificate of Currency with proof of payment with your completed Application for Hire form.
No grounds may be hired unless the club has current Public Liability Insurance.

NB: Please ensure that your Public Liability Insurance covers the actual playing of sport.


No work will be commenced on any oval/pitch until the application for hire has been received by this
office. Please return this application form on or before the 21 August 2009 to ensure timely

                  Conditions of Hire – Reserve Grounds
Below are the conditions of hire for reserve grounds (including playing fields and hard courts).

The summer season period of hire for a reserve will be between date to date. The Council in
its absolute discretion may agree to vary these hire periods before the commencement of a
hire period.

The permit holder has authorised use of the reserve ground for the nominated season for
scheduled training and match play purposes only as recorded in the attached application
form. At all times other than during scheduled training and match play, the reserve ground
will be open and accessible for use by the general public for recreational activities or Council
may hire it out to other organisations/associations.

The Council and not the hirer will have control of all sub-licences and casual hire of
playing fields and hard courts.

Where a playing field or a hard court has floodlights installed for use by the hirer, the
replacement of globes or lamps shall be the hirer’s responsibility. Any floodlights shall not
be illuminated after 9:30pm on any night without prior approval, in writing, of Council.

Council will carry out line marking of a playing field once only, on the initial signing of
the hire agreement by a club or association with current Public Liability and whose
application form is sent to Council by the date required. The club or association will
then be responsible for maintaining corner markings and re-marking during the hire
period with recognised water based paint or non-toxic substance. Any other agent is
not permitted.

Playing fields containing hard wickets will be uncovered and covered once only at the beginning and
end of each cricket season. Playing fields requiring maintenance and marking of turf wickets will
require the hirer to make specific financial arrangements with Council as a separate agreement. Such
agreements will be documented as to the fees and the term of such agreements in the form of an
appendix.

Council will not be responsible for replacement of goal posts through damage/vandalism/theft.
Renewal will only occur when Council assesses that poor condition of goals through fair wear
& tear necessitates replacement.

The permit holder agrees to indemnify and to keep indemnified the Council, its servants and agents
and each of them from and against all actions, costs, claims, damages, charges and expenses
whatsoever which may be brought or made or claimed against them or any of them arising out of or in
relation to the issuing of the permit.

The permit holder shall take out and keep current a public risk insurance policy in the name of the
permit holder insuring the permit holder for the minimum sum of twenty million dollars ($20,000,000)

against all actions, costs, claims, damages, charges and expenses whatsoever which may be brought
or made or claimed against the permit holder in relation to the activity.

The permit holder is responsible in ensuring all parties are fully protected and must provide
confirmation of insurance to the Council. Such policy shall bear the endorsement of the Insurer
indicating the Insurer accepts the indemnity given by the permit holder. A certificate of currency must
be provided when an application for permit is made.

The permit holder, where appropriate, shall ensure that it is licenced or registered to carry out the
activity authorised by the issuing of this permit required by any Act of Parliament, Ordinance,
Regulation or By-Law relating to the activity.

The permit is not transferable.

The permit holder shall comply with and give all notices required by any Act of Parliament, Ordinance,
Regulation or By-Law relating to the activity.

The permit holder shall ensure that its site or sites are left in a clean and tidy condition at the end of
the event. Failure to do so may result in cleaning fees being charged. This permit is liable to be
revoked by Council if the permit holder fails to comply with a condition of this permit or may be
revoked in any other justifiable circumstance.

The permit will not come into operation until proof of the appropriate insurance has been provided to
the Council and a copy of this document signed by Council has been returned to you.
