About Decoding a Montana Vehicle Title, Registration and Mail Renewal Card
This publication will prove useful for citizens of Montana wishing to decode information on a Montana certificate of ownership (title), motor vehicle registration renewal card or registration receipt. This guide also serves as a reference for users of the Vehicle Record Search online service. Use of vehicle records is subject to the limitations described in the Montana Driver Privacy Protection Act -- Sections 61-11-501 through 61-11-516 of the Montana Code Annotated. A vehicle record search may include many sections and/or subsections. Any information not provided in response to a search indicates that the Motor Vehicle database does not have the information to complete those sections of the record. Any field visible on screen that is not referenced is an obsolete field and no longer used by the Motor Vehicle Division. Standard date format on the report is MM/DD/YYYY. Title and Registration Bureau of the Motor Vehicle Division is referenced in this guide using an acronym – TRB

Vehicle Information includes basic information used to describe a vehicle in Montana.
Vehicle Type
Vehicle Type describes the motor vehicle as defined in Titles 61 and 23 of Montana Code Annotated. Year, Make, and Model
Makes and models are abbreviated based upon standards used by the National Crime Information Center (NCIC). Most abbreviations are self-explanatory. Year: The vehicle year is the year the vehicle was manufactured. Make: Customarily the name of the manufacturer. Model: A model name assigned to the vehicle by the manufacturer.

Vehicle Color
For consistency among law enforcement within the United States, the color list is limited to basic choices. When describing a vehicle, colors are indicated from the top to bottom of a vehicle.

Vehicle Identification Number
A sequence of numbers, letters or a combination of numbers and letters assigned by the manufacturer, by the department, or in accordance with the laws of another state or country for the purpose of identifying the vehicle. A boat’s Hull Identification Number (HIN) also displays in this field.
Other Pertinent Data
Additional information the Department feels is important will be noted on the Montana title and that information will be displayed.
Title
A unique number assigned to a Montana title and printed on the certificate of title, which is used to further identify the vehicle and its record on the motor vehicle database. If a TRP was issued on a vehicle the TRP number will display until a Montana title number is assigned to the vehicle.

Title Status
The status of a record is a valid indicator of whether a title is issued, awaiting resolution of a problem or pending activity. The most common statuses appear below. Codes for title status are only visible on the MVD database, so not detailed. Title Status When converting to the current database, old titles without microfilm records were given this status. The record cannot be altered until the abstract for the vehicle is checked for validity. Manufactured Homes that have been changed from personal property to real property. Represents pending activity on the record. The record remains In Work until the pending process is complete. A VIN override function was used during preliminary entry by user of the MV database. If the VIN has invalid characters or other than 17 digits, the vehicle will probably need an inspection. An In Work title becomes Issued once a certifier at the TRB accepts the title as valid. The issued status changes an owner from Applying to Current. Vehicles or vehicle parts turned over to a junkyard are reported to the TRB. Once junked, the title number is no longer valid or active. If a vehicle is rebuilt after being junked, a new Montana title is issued. Used to override a stolen flag when action is required despite the flag. Vehicle information that has been entered into the database prior to registration. Once the customer completes registration, the status changes to In Work. Stolen flag placed by the Title and Registration Bureau. The Title and Registration Bureau places stops on records for a variety of reasons. Anyone encountering a stop is required to contact the TRB for resolution of the issue. Montana title was surrendered to another state.

Title Surrender Information
When the Montana title has been surrendered to another state in favor of a title in the new state and the surrender has been reported to Montana by the other state, the state and date of surrender displays.
Title Date
The Title Date is the date the most recent Montana title was issued and accepted for print by the TRB.
Application Date
The Application Date is the date the title process was started in the county office.

License Plate Information
If the vehicle is registered and has been issued a license plate, the vehicle license plate information and registration expiration date appear in this section.
Plate Number
Plate numbers appear in a variety of alpha/numeric combinations dependent upon the design background and specialty chosen by the owner of the vehicle.
License Plate Type
Plate Type Antique Code Plate Description or Feature AQ Pioneer (1933 and older) and Vintage (1934 and newer and more than 30 years old) vehicles used for parade or display. Also describes decals issued to vintage motorcycles and snowmobiles. AR The Federal Communication Commission (FCC) call letters for a licensed amateur radio operator AT Decal issued to off highway vehicles BT MT ID number and registration decal CL Specific emblem and colors of a college or university DV Letters DV and allows special parking privilege DX Wheelchair symbol and allows special parking privilege EX State or county owned vehicles MC Street legal plate for motorcycles and quadricycles MR Military reserve emblem. NG National Guard emblem PC General issue plates for light passenger vehicles PE Unique logo ordered by a customer PH Decal issued to out-of-state medical personnel meeting specified requirements SC Annual decal issued for specific vehicles and equipment SN Annual (business use) or permanent (personal use) decal issued TM Permit issued by a dealer or county treasurer’s office allows purchasers to drive an unregistered vehicle for 40 days issuance. License Plate Status
Valid/Active Inactive Archived Relinquished VA IA AC RL License Plate Status Codes The plate has been assigned to this vehicle record. The plate shown is no longer valid on this vehicle record. A personalized plate that has expired beyond its grace period and is available to the general public. A personalized plate that has been relinquished to another owner.
Expiration Date
The expiration date for a registration is the last day of the month that the taxes were paid through on this vehicle. Temporary Registration Permits expire 40-days from date of issue, so an expiration date for these permits will vary.
License Plate Background/Specialty
License plates may be a certain type (passenger, truck, personalized, etc), and yet have a unique background or symbol/emblem on the plate. The background and specialty fields describe the artwork and special features of a plate.
Plate Background
Plate background describes the images or “art” that appears on the license plate or decal. Plate backgrounds may indicate the plate is a general issue plate (New Design - 2006 sample to the left), a decal, a college background, an organizationally-sponsored background, an exempt plate, or an antique plate.

The name and address of any applying and/or current owner(s) is displayed.
Lien History
The name(s) and addresses of the lenders and the date the lien or security interest was perfected will display. If the lien was released, that date will display. If there is no lien or security interest on the vehicle, the fields will be blank.
Title History
This section details any transactions associated with the vehicle record.
Title Tracking
This subsection displays the Application Date, Transaction Code, and Sale Date of the vehicle if the title is pending for any reason. If a title has been issued and no action is pending on this record, this subsection will be blank.
Microfilm Tracking
This subsection displays the Transaction Date, Transaction Code, and Title Date for all activity in the vehicle’s history.

Registration Information
Any information associated with the vehicle registration will be located in this section of the record.
Suspended
Non-Sufficient funds or a violation of vehicle insurance laws will show as suspensions. INS-Insurance Suspension NSF-Non-Sufficient Funds Suspension
Registration Dates
The registration dates for current and previous years will display.
Receipt Number
The registration receipt number that was generated during registration and printed on the receipt will display.
Operator ID
The county or state operator identification number for the operator who processed the title or registration will display. TRP will display when one has been issued.
Tax Value
The tax value is the value used to determine the county option fee. This fee is based on the manufacture’s suggested retail price and is depreciated according to a schedule that is found in 61-3-503 of the Montana Code Annotated. The age is determined by subtracting the model year from the current calendar year.
County
The county name or number where the vehicle is registered displays on registration receipts, renewal cards, and the vehicle online search.

Registration Type
The type of registration will display when using the online vehicle search. Some receipts will indicate Receipt Only or Temporary Registration Permit at the top of the receipt, but for typical registrations, the expiration dates provide clues to the registration type. Prorated and Prorate Months
If registration fees were prorated, the number displayed in the Prorate Months field on the registration receipt and online vehicle search represents the number of months taxes were prorated.
Assessed Date
This date represents the date the vehicle value was assessed by the database for fee payment.
Fees Paid
This section displays the title and registration fees that were paid by the customer and the respective fee codes associated with motor vehicle fees. Not all vehicles pay the same fees. The following tables interpret the fee codes in this section of the vehicle record.
