							                JOB DESCRIPTION – ADMIN ASSISTANT

POST                        Admin Assistant – 6 hours per week
                            39 weeks per year (term time only)

GRADE                       Level 1

RESPONSIBLE TO:             Admin Officer and/or Headteacher

POST OBJECTIVE:             To perform clerical aspects in relation to the school
                            meals service.
                            To perform clerical aspects in relation to the
                            schools administration and reception duties

General                     To work with existing technology agreements in
                            accordance with the schools and DCC’s policies.

Relationships

  •    To liaise with all staff, children, parents, governors and other external
       contacts appropriately
  •    To welcome visitors and handle enquiries appropriately, observing
       necessary security checks
  •    To observe strict confidentiality and data protection at all times




MAIN DUTIES & RESPONSIBILITIES

  •    To provide clerical/admin support for the Admin Officer, Headteacher,
       Teaching and none teaching staff including:
       General word processing
       Photocopying and collating
       Maintaining diaries, arranging appointments, meetings and interviews
       Acknowledging receipt of mail and composing routine letters and
       replies where appropriate
       Monitoring and responding to telephone calls and enquiries
       Maintaining and developing filing systems

  •    To help maintain all manual and electronic registers and maintain
       attendance records, late arrivals and absences and ensure absences
       are followed up with a phone call to parents in line with DFCSF and
       DCC policies

  •    To assist with maintaining staff records including SSP and prepare and
       analyse statistics eg: staff absence for SMT and Governing Body.
   •   To assist in the control and ordering of equipment, consumables and
       stationery.

   •   To maintain the school inventory

   •   To comply with the requirements of health and safety and other
       relevant school documentation

   •   To be aware and comply with the whole school policy on Child
       Protection and Safeguarding Children

   •   To understand and comply with the school’s Equal Opportunities and
       Data Protection Policies

   •   To ensure the security of data and electronic systems including secure
       storage of regular backups

   •   To attend any relevant training

   •   To be responsible for the collection of dinner monies and completion of
       all catering returns for school meals and free school meals including
       liaison with parents and DCC

Finance
   • To undertake the safe collection, correct handling, recording and
     banking of cash and related tasks, including the financial administration
     of school meals.

   •   To place orders for, receive and arrange payment for goods and
       equipment under the direction of the Admin Officer / Headteacher and
       in accordance with current financial regulations

   •   To assist in the completion of supply payments and sickness reports
       under the guidance of the Admin Officer.

To undertake other reasonable duties within the overall function
commensurate with the grading and level of the responsibility of the job.
