                                                                Person in Charge Guide

The intention of this guide is to provide some guidance and recommendations on how the
Worldwide Training Team recommends implementing, monitoring and using the Person in
Charge training initiative.
The recommendations included in this guide should help to reduce the administrative ef-
fort needed to execute this program and will cover the following areas:
Administration

•   Creating user accounts

•   Assigning the Person in Charge learning program
•   Reporting on activity


User

•   Enrolling

•   Testing system requirements

•   Accessing/Navigating LP
•   Printing Certificate/My Progress


Additional Notes
This guide has been written with the understanding the store owner has accessed the
University of SUBWAY® via Partners.
DA’s using this guide for reference can complete all the actions described in this guide.
However they will need to navigate within the available administration tool to locate the
desired owner and supporting structure using the Territory Master Account specific to
your office.

Creating User Accounts
*Starting from the University of SUBWAY® home page. Following the steps listed below will allow an
administrator to create an account at the store level.
1. Access the Manager Admin Tool from the left hand shortcuts menu
2. Scroll down and review the STORES box to determine if the store in which you create
   a user account is listed.
     a. If it is not, the account being accessed is most likely associated to multiple
        agreements or territories.
     b. Click Select Store
     c. Select the agreement that contains the store which you are looking to administer
     d. Click submit

     e. You’ll be returned to the MAT main page
3. Select the desired store from the STORES box. The page will refresh.

4. The chosen store should now be
   displayed as the Currently
   Selected Store:

5. Click Add User

6. You’ll be provided a form. Once
   the required form details have
   been entered click submit to
   complete user creation process.

7. At this point you can; continue
   registering accounts in the selected group, navigate to the main page to select a
   different store, or exit the tool.

Additional Notes
•   Users can only be created in groups that start with ST.
•   Email is not required but recommended to support Forgot Password and My Plan
    reminders.
•   It is critical to confirm with the employee that they do not already have an existing
    account. WE DO NOT HAVE THE ABILITY TO MERGE PROGRESS BETWEEN
    ACCOUNTS.
•   If a new hire indicates they have previously been provided site login creden-
    tials please use the Move Account Form to request that the account be
    moved to your group.
•   Created accounts can be immediately accessed.
•   There are no character requirements for passwords, although we do recommend that
    they be unique.

Assigning the Person in Charge using the My Plan Assigner
*Starting from the University of SUBWAY® home page. Actions detailed here will cause the Person in Charge
Learning Program to appear in the My Plan section of the user account to which it is assigned.

1.   Access the link labeled Admin Tasks from the left hand shortcuts menu
2.   Click Management from the left hand menu to expand the menu and click User
     and Course Management.
3.   A new window should open displaying the
     group structure to which the account being
     accessed is associated.
4.   Locate the user that you would like to as-
     sign the Person in Charge Learning Program
     to by either: Using the Search function to search for the user by registration
     information or, navigate the group structure by expanding the displayed groups.
5.   Once the user has been located; click on the username as displayed in the group
     structure. A red arrow will appear indicating it has
     been selected.
6.   Click the Edit My Plan button from the right hand
     side of the window
7.   The group structure will be replaced by the
     catalog.
     Navigate the catalog by expanding the
     folders to locate the Person in Charge
     learning program or; use the search function
     to search for Person in Charge.
8.   Once the Person in Charge learning program
     has been located, click the title to select it.
9.   A red arrow should appear indicating it has
     been selected.
10. Click the Assign button from the right hand
    side of the window
11. A Goal and Due date can be assigned but
    are not required. If a Due Date is assigned
    and the user has been registered with an
    email, the site will send a reminder two
    weeks prior to the assigned date. This
    email will include the assigned course
    detail as well as any entered Goal infor-
    mation.
12. Click Submit
13. The learning program will appear in the
    users My Plan on their next login.
14. At this point the process can be
    completed again for another user or the window can be closed.

Reporting
*Starting from the University of SUBWAY® home page and with the understanding that users must enroll in
the Person in Charge Learning Program in order to appear in the report detailed below.

1.   Access the link labeled Admin Tasks from the left hand shortcuts menu
2.   Click Reports from the left hand menu to expand the menu and click Advanced
     Reporting Module
3.   Once the Advanced Reporting Module has been accessed, you will land on the home
     tab.
4.   Select Public Reports from the Home sub reports.
5.   Review the list of publically available for the following:
     •   PIC Person in Charge Full User Detail
         °   Displays usage user by user and course by course for each accessed item
             associated to the Person in Charge Learning Program.
     •   PIC Person in Charge User Summary
         °   Displays summarized totals of the data provided in the above report on a user
             by user basis.
     •   PIC Person in Charge Summary
         °   Displays a summarized total of the data provided in the above report for all
             users within the scope of your account participating in the Person in Charge
             leaning program.
6. To view the content of the report, click the title.
7. At this point you can:
•    Filter the provided report for a specific user, group, and/or time frame.
•    Navigate/review the provided details 25 records at a time
•    Export the report so it can be manipulated with another application such as Microsoft
     Excel or Access.

Our recommendation is to start with the PIC Person in Charge User Summary as it
will contain the information you will likely be most interested in initially.
Additional Notes
The Advanced Reporting Module is a robust and interactive reporting tool which gives its
users the ability to:

•    Generate custom reports about user and course data
•    Filter and sort these reports
•    View a report one page at a time
•    Export reports as spreadsheets (.csv) and HTML files
•    Print reports from your browser
24hrs must pass before a user’s enrollment and associated usage data will be visible in
the Advanced Reporting Module.

User
The purpose of this section is to guide users on how they can enroll; access and complete
the Person in Charge learning program. We will also provide insight on how to ensure the
system being used is compatible with the U of S.

Enrolling
*Starting from the University of SUBWAY® home page

1.       Navigate one of the following paths:
         •    If the Person in Charge learning
              program has been assigned to
              the My Plan of your account, it
              should be visible in the My Plan
              section of the home page. Click
              the title Person in Charge.
         •    If the Person in Charge learning
              program has not been assigned
              to the My Plan of your account,
              Access the Course Catalog,
              followed by the English folder.
              Click the title Person in Charge.


2. After reviewing the description and
   associated requirements*, click the
   Enroll button.
     *Credit will be immediately assigned for all items
     already accessed/completed

Navigating
*Starting from the Person in Charge Leaning Program description page.

In order to start tracking your progress through the Person in Charge Learning Program
you must enroll. This will help you determine what course is next to be completed and
help administrators report on the group of courses.
1. Once you have enrolled, the learning program will update indicating your standing in
   the courses associated to the learning
   program with one of the following labels:
        •   Completed
        This course has already been
        completed.
        •   Started
        This course has been accessed but
        not completed
        •   -
        This course has not been previously
        accessed.
2. Review the list of courses determining
   which completions are outstanding.
3. Access and Complete each of the
   outstanding courses by clicking on their
   title and using the Play this Course link
   provided on the course description page.
4. Once the accessed course has been
   completed, return to the Learning
   Program to determine which course needs to be completed next.
5. Repeat this process until all associated courses are complete.

Additional Notes
•   Courses can be completed in any order.
•   The status of a completed course should immediately update after the course has
    been exited and the Learning Program page refreshed.
•   Be sure to document and resolve any technical issues experienced with our
    Customer Support team before continuing through the Learning Path.

Completion Certificates
*Starting from the University of SUBWAY® home page

When you complete a course or Learning Program, a certificate of completion is made
available in the My Report area of your account.
To print a completion certificate:
1. Access the My Report page.
2. Scroll down until
   you locate the
   Person in Charge
   Learning
   Program

3. Select the    View Certificate control button next to the name of the completed
   learning event. The Certificate will open in a new window.
4. Select File | Print

Ensure system being used meets site requirements
1. Using an internet browser (IE, Firefox, …etc) access the site:
   http://browser.skillport.com/bh/default.asp
2. Input an email address in the required field*
3. Click Submit
4. The test will automatically begin by displaying Please wait while we test your
   browser; this could take up to 20 seconds.
5. Once complete the screen below will be displayed:




6. Review the Results column to determine if all requirements have been met
7. If an item is returned with a Fail, we strongly recommend taking one of the following
   actions:

   •   Use the troubleshooting steps linked in the requirement box for the item in an
       attempt to resolve.
   •   Use the Live Help feature to chat with a live agent for guidance on how to resolve
       the failed requirement*
   •   Contact our 24/7 Support center by phone for assistance*
   •   Email support@skillsoft.com for email support*
*Be sure to take note of any provided case numbers when investigating an
issue. This will ensure all information is captured and provides us with insight
and are necessary should escalation be necessary.
8. Once all requirements have been met the system tested should be fully compatible
   with the site and our course player.
Note: We do recommend testing your system settings on a regular basis and that the
support center be contacted to detail and troubleshoot any issues being encountered that
impact your ability to access and use the site with ease.
