Introduction
Welcome to Assets Made Easy the new Asset Management database
from Zebsoft, the Internet Trading division of JA Computer
Solutions Ltd.
This manual will provide you with details of how to use Assets Made
Easy. Designed using Microsoft Access, the database will provide
an easy to use Asset Management system which is accessible to all
organisations both large and small.
The database is fully functional with all facilities available to all
users; there are no hidden functions and no limit on the number of
records which can be held within the database.
There are two versions of Assets Made Easy, Individual and
Business. The only difference between the two versions is that the
Business version allows for your equipment to be stored securely on
Zebsoft’s servers.
If you are familiar with Microsoft Access, then Assets Made Easy will
be very familiar to you with standard buttons and routines utilising
Microsoft standards.
If you have purchased the corporate version, Assets can be emailed
directly to Zebsoft so that your information can be stored off site
securely in case of any disaster.
We hope that you will find the database easy to use and that it will
help you with all of your Asset Management. If you have any
problems, please see the Where to go for help section of this
manual.
HINT – Please do not delete or rename any queries on the
database which begin ‘jac –‘ as this may affect the running
of the database.

Installing your copy of Assets Made Easy
If you have not already done so, installing your copy of Assets Made
Easy is simple. Download the version from our web site and save
the executable (.exe) to a location on your machine. (If you have
received a CD from us, then the installation will automatically start
once the CD has been inserted into the CD drive).
Find the executable file that you have downloaded and double click
it; you will be presented with an installation screen which will ask
you certain questions.
Follow the prompts given during the installation process (it is very
important that you do not change the installation directory as this
may cause routines to fail)
The installation program will create an entry on your start menu
called Assets Made Easy. You can create a shortcut on your
desktop if you wish.
The installation version of Assets Made Easy has sample data which
you can choose to use or delete depending on your preference.
Assets Made Easy has been tested on all versions of Microsoft
Windows, but please remember that Microsoft Access must be
loaded on your machine (or you have ordered a runtime version
from us) before it will run.
Assets Made Easy will run for 30 consecutive days and then you will
be asked for a licence code in order to carry on using the database.
If you decide that Assets Made Easy does not meet your
requirements, just remove it from your system using the
Add/Remove programs in the Control Panel.
HINT - If you are not already aware, registered Charities can
claim generous discounts from Microsoft for the purchase of
any Microsoft product.

When opening the database for the first time, you will be presented
with the following screen:
Enter your details, including your name and address, country and
telephone number.
Please enter the postcode of your organisation in the postcode field
as it is used when purchasing a licence code.
Once you have entered your organisation details, click the
button. You will be presented with the following message:

Each time you login to the database, you will be presented with the
following message until you register the software, click the
button to login to the database.
As each day passes, the number of days decreases. If you wish to
purchase a licence before the 30 days has expired, please do so by
emailing Zebsoft using license@zeb-soft.com.
If the 30 days runs out, you will be presented with the following
screen on login to the database:
Click the button and you will be asked to enter an
activation key for the database:

Unfortunately the database will not allow you to enter any further
details until a licence code are purchased and an activation key is
entered for your version.

Standard Buttons
Throughout the database, standard buttons are used to control the
movement between records and the deletion of records. The use of
these buttons is explained below:
Button Usage
Goes to the first record on the current form
Goes to the previous record on the current form
Shows the current record number of the current form
Goes to the next record on the current form
Goes to the last record on the current form
Creates a new record on the current form
Shows the number of records available on the current
form
Allows you to delete a record (Please note that this
may not be highlighted at all times)
If these buttons are not active, then they are not available for the
current form. Certain forms do not allow records to be deleted, and
if you are at the first record on the form, the previous record button
will not be highlighted.

The Main Menu
All functions are controlled using the Main Menu, as shown below:
Displayed on the form are who the database is currently registered
to and a copyright warning. All of the buttons displayed on the
screen perform different functions, as explained below:
Button Usage
Opens Microsoft Word.
Opens Microsoft Excel.
Opens this manual for help.
Allows you to enter an activation code to register the
software for continued unlimited use.

Button Usage
Maintains details of all the different types
of Equipment.
Maintains details of all the rooms where
the equipment is held.
Maintains details of the Insurance
Companies that you deal with.
Maintains details of the Insurance Policies
that you have.
Emails details of your equipment to
Zebsoft for secure storage. (Corporate
Version only)
Prints a list of Items by type for your
records.
Prints a list of items covered by a specific
policy.
Prints a list of all equipment whose
warranty is due to expire.
Also displayed on the main menu is a list of your Insurance Policies
and their renewal date. To view a policy, double click the Policy
Number.

Entering Equipment Types
The first step after installing Assets Made Easy is to enter
Equipment Types. To do this, click the button on the
main menu. The following form will be presented to you:
Enter details of the types of equipment that you want to categorise
your items into. (A listing can be printed detailing each piece of
equipment by their type)
Each piece of equipment should have a type allocated to it so that
classification of items is made clear and easy.

Entering Rooms
The next step is to enter your list of rooms for entering the
equipment in. To do this, click the button on the
main menu. The following form will be presented to you:
Enter details of the rooms that are present within your property so
that you can break equipment down into rooms.
Each piece of equipment should have a room allocated to it so that
classification of items is made clear and easy.

Entering Insurance Companies
The next step is to enter your list of Insurance Companies that you
deal with. To do this, click the button on the main
menu. The following form will be presented to you:
Enter all details relating to the Insurance Company, including their
name and address and any web site that they may have.
All details are printed on claim reports produced from Assets Made
Easy.

Entering Insurance Policies
Once the setup is complete, you can enter details relating to the
Insurance Policies that you currently have. To do this, click the
button on the main menu. The following form will
be presented to you:
Enter the Policy Number, the Insurer, the telephone number for
claims, the start date, the renewal date, the policy excess and any
further details relating to the policy.
Within the screen, you can enter full details relating to the items
that are covered within the policy. Enter an item description, the
item type, the room that the item is in, the purchase date, the
purchase cost, serial number and whether the item is covered
specifically on the policy.
Enter any warranty information relating to the equipment including
who the warranty is with, the end date and the telephone number
of the warranty company.
Multiple entries can be entered, once an entry is started, a new
blank entry will be created underneath.

Entering Insurance Policies
To create an excel spreadsheet of all your items covered under this
policy; click the button on the screen. Microsoft Excel will be
opened and the policy details will be listed. An example is shown
below:
This excel spreadsheet can then be saved to any location on your
computer.

Email Details to Zebsoft
If you have purchased the business version of Assets Made Easy, all
of your policy details can be emailed to Zebsoft for secure storage.
If you have purchased the Individual version, the email facility is
not available and you will be presented with the following message:
The Business version displays the following form:
To email all of your equipment to Zebsoft, just click the
button. Your details will be saved and attached to an email
automatically. (If you have a firewall or antivirus protection, you
may be asked to confirm to send the message)
If the email is sent successfully, you will be presented with the
following message:
If you have a disaster and need your details, simply call Zebsoft and
Zebsoft will send them to you or your Insurance Company direct.

Print Items By Type
To print all of your entered items, classified by type, click the
button on the main menu. Once clicked, the report
will be displayed on screen, an example is shown below:
To print the report to a printer, click the button on the toolbar.
To send the report via email, right click the report and choose the
Send To option, the following is an example:

the button. Your email client will be opened and an
attachment will be added, you can then send the email. An

Print Policy Listing
To print a complete policy listing, click the button
on the main menu. Once clicked, the report will be displayed on
screen, an example is shown below:
To print the report to a printer, click the button on the toolbar.
To send the report via email, right click the report and choose the

Warranties Due to Expire
To print a report listing items whose warranty is due to expire, click
the button on the main menu. You will be asked to
enter a date range for the report:
Enter the date that you want to run the report from. (Enter a full
date including the ‘/’ e.g. 01/01/02 or 01/01/2002) Click the
button. The following prompt will be displayed:
