Private contacts list in CardiffMail Notes with
Sametime
How to setup a Sametime private contact list in CardiffMail Notes

Sametime allows you to see which CardiffMail users are available online at any given
time through its presence awareness facility.

However, you may not want to appear available to all CardiffMail users but still want
to use instant messaging. Sametime contains a privacy feature that allows you to
decide which people can see you as available when you are online.

 Note:
 The ability to set up a private contact list is only available in CardiffMail Notes
 Standard. Whilst you cannot set up a private contact list in CardiffMail Web, or
 Notes Basic, any preferences set in Notes Standard will apply when using all
 versions of CardiffMail.


To set up a private contact list in CardiffMail Notes Standard:

   1. Click on the drop down arrow next to your Sametime status in the sidebar and
      select Privacy Lists:




       Alternatively click File > Preferences and open the Sametime > Privacy
       section:

   2. In the Preferences dialog box, on the When I am Online tab tick the Enable
      this list to control who can see you when you’re online check box. The
      greyed out controls become available:

   3. Ensure the ONLY those on this list can see me online option is selected.

   4. In the search box enter the surname of a contact you wish to add to your
      private contact list. Click Search Directory for <surname> to find the correct
      contact, then click on their name. The contact will be added to the private
      contact list.

   5. Repeat Step 4 to add more people to your private contact list, then click OK.

Now when you are logged into Sametime only the people that are in your private list
will now be able to see your online availability. They are the only people able to send
you instant messages. To people not in your private list you will appear as offline.

Similarly, you are only able to see the availability status of contacts in your private
list. You can not see the availability of those outside of your list.


Tips:
   • You can only send an instant message to a contact that is online as Available,
      Away or In a Meeting.

   •   There is also the ability to set up a private list of contacts that can see your
       availability as Available even though you have set it to Do Not Disturb.
       Therefore to the wider community you will appear unavailable, but to your
       private list you will still remain free. To do this, repeat the above process on
       the When I am on Do Not Disturb tab in the Sametime Preferences.

   •   You can edit your private contact list at any time by adding and removing
       contacts as appropriate.


         Note:
         If you remove all contacts from your private list and you wish to be visible
         to all, you must also uncheck the Enable this list to control who can see
         you when you’re online check box. If you do not uncheck this option, you
         will appear offline to everyone.

   •   There is an option to exclude certain individuals or groups from seeing your
       Sametime availability. Do this by selecting the Everybody EXCEPT those on
       this list can see me online option in Step 3 above. Then populate the list
       with the people you want to appear as offline.
