Generalized overview of the conversion process

Step 1: Start EasyConverter

To start EasyConverter either left double-click on its icon on your Windows desktop:




or by selecting All Programs ->Dolphin –>EasyConverter ->EasyConverter 4.01 from your
Windows Start menu:

Step 2: Choose your source document

When EasyConverter’s main window appears on your screen press EasyConverter’s “Open a
document to convert” button (pictured below).




and then from the “Open” dialog box which now appears select the input file that you want to
convert to large print.

Step 3: Choose your output format

In EasyConverter’s main window press the “Convert to Large Print” button (pictured below) in
order to select large print as your desired output format.




and then press the “Preview Large Print output after conversion” button in the middle of the
Large Print orb in order to have EasyConverter preview your converted large print document in
Microsoft Word. This will allow you to check the quality of the outputted large print document
ahead of printing it out, burning it to a CD, or saving it to a mass storage device such as a local
hard disk, network drive, or USB thumb drive.

Step 4: Adjust your conversion settings

In EasyConverter’s main window press the “Show settings dialog box” button (in order to set
your large print conversion preferences, such as the average font size of your large print
document, control the removal of indents and blank lines, and also control how the original
document’s page numbers are displayed in the large print version of your document)




In the “Dolphin EasyConverter Settings” dialog box in the settings category tree-view control
select the top-level tree-view branch called “Output” and then select its sub-category called
“Large Print Fonts” (as pictured below).




When the “Large Print Fonts” category is highlighted in the tree-view control you can
customize such things as the average font size used when creating large print documents in
EasyConverter. In this particular category:
     The “Point Size” option sets the text size to be used for "normal" text in your large print
       document.

     The “Minimum Point Size” and “Maximum Point Size” options control the maximum and
       minimum sizes that the scaled up text in the document can fluctuate between.
     The “Use Document Fonts” option lets you choose to preserve the font types used in the
       original document or set your own.
     The “Use Document Colors” option lets you choose to preserve the colors used in the
       original document or set your own.
     The “Use Document Styles” option lets you choose to preserve the text style (bold, italic,
       or underline) used in the original document, or replace with a style of your choice.


If you now select the sub-branch called “Large Print Layout” of the “Output” category in the
EasyConverter Settings dialog tree-view you will be able to control how the large print
document is laid out.




In this particular category:


     The “Use full printable area” option controls whether the whole of the printable area of
       the output page is used.

     The “Remove blank lines” option controls whether blank lines are automatically removed
       from the output document. The primary purpose of this is where the original input
       document has multiple blank lines then you may wish to remove the extra blanks lines
       from the scaled up large print output document (as these large print blank lines may
       take up an inordinate amount of white space in your large print document.
     The “Remove left indent” option remove indents from the large print output document
       (again enabling you to squeeze as much large rpint text on the page as possible).
     The “For objects that won't fit after scaling” option controls how to deal with objects that
       will not fit correctly in the output document after scaling to fit has been performed.
     The “Wrap shapes inline” option helps shapes, such as diagrams and pictures, to
       maintain their correct position in the document after enlarging, as “floating” shapes can
       often end up in odd locations because they can be positioned relative to other objects.
       (In Microsoft Word shapes can “float” on top of the document or be “inline”, i.e.
       positioned directly in the text of the document. This option forces all shapes to be
       “inline”).
     The “Line spacing” option will let you stipulate the spacing between lines in the output
       document, i.e. single spaced, double spaced etc.
     The “Paragraph Spacing” option controls whether the input document’s paragraph
       spacing is preserved, removed, or scaled relative to the increased text size.


If you now select the sub-branch called “Large Print Page” of the “Output” category in the
EasyConverter Settings dialog tree-view you will be able to control how the original page
numbers of the input document are displayed in their large print counterpart.

In this particular category:


     The “Include original page numbers” option controls whether the original page numbers
       from the input document will be displayed in the large print output document.. (Original
       page numbers can be of great importance when a person using a large print version of
       the document is communicating with a person using the original document itself).
     The “Position” option controls where the original input document page numbers should
       be displayed in the large print document, e.g. bottom right, bottom left etc.
     The “Numbering scheme” option controls the formatting of the original input document
       page numbers.


When you have adjusted your large print conversion preferences press the “OK” button.

Step 5: Ensure “Auto Edit” is on

Back in EasyConverter’s main window press the “Turn Auto Edit on” button (in order to set
Microsoft Word as your intermediate document editor so that you can view your NIMAS, PDF,
Kurzweil, HTML, RTF, plain text, or Dtbook input file before it’s converted into large print.

Step 6: Start the conversion

With your main EasyConverter screen now pictured as below you are ready to start the
conversion process.




Simply press the “Start conversion” button to get the conversion process underway:




The conversion process stage from your original NIMAS, PDF, Kurzweil, HTML, RTF, plain
text, or Dtbook input file into EasyConverter’s intermediate Microsoft Word file format should
now start. You can monitor the progress via EasyConverter’s status bar located at the bottom
of EasyConverter’s main window.

During the conversion process the button will change to an "Abort" button. Selecting "Abort"
will cancel the current conversion.

Step 7: Check document then quit Word

Microsoft Word is the intermediate document editor used by Dolphin EasyConverter.

When you have checked the quality of your intermediate Word input document, quit Word
(press ALT+F4).

Step 8: Wait for the conversion to complete


Now wait for the conversion process to complete (and Microsoft Word to re-open in order to
preview your finalized large print book). You can monitor the conversion progress on
EasyConverter’s status bar, which is located at the bottom-left of the EasyConverter main
window.




Note for large books, say over 500 pages, this may take some time. So please be patient.

Step 9: Preview the large print book in Microsoft
Word


Once the conversion process has completed and EasyConverter has automatically launched
Microsoft Word, use Microsoft Word to review the contents of the finalized large print book.

If you are unsatisfied with the contents of your large print book then quit Microsoft Word and
click on the “Open the document for editing” button right in the center of the main
EasyConverter user interface.




This will re-launch Microsoft Word so that you can re-edit your intermediate Word input
document and correct any errors.

Once you have corrected any issues that you found in your intermediate Word input document
then quit Microsoft Word (press ALT+F4) and then press EasyConverter’s “Start conversion”
button in order to create an updated version of your large print book. Now go back to Step 8 of
the conversion workflow.




Alternatively, if you are satisfied with the contents of your large print book then quit Microsoft
Word and move on to Step 10 of the conversion workflow, “Save your converted large print
book”.

Step 10: Save your converted large print book


Now that you are satisfied with the output of your conversion it is time to save a copy of your
large print book for distribution to your students.

To do this press the "Save Large Print to output folder after conversion" button in the Large
Print orb of EasyConverter’s main window in order to choose on your hard disk the folder in
which you want to save the converted book:

A dialog box similar to the one pictured below should appear. The "Select Distribution Path:"
dialog box even has a "Make New Folder" button in it so that you can press it in order to create
a new sub-folder that you can name as you see fit. i.e. The new folder name that you create
can contain perhaps the grade number and the novel name of your finalized large print book.




Once this is done you can press the "OK" button to copy the finalized large print book into the
newly created folder (or else the folder that you have selected in the distribution path tree-
view). Make a note of the full path where you have saved the finalized large print book.

Alternatively, pressing the "Print Large Print output after conversion" button in the Large Print
orb of EasyConverter’s main user interface will allow you to print one or more copies of your
large print document.

Step 11: Save your project file


If you want to keep this conversion and all of its settings, then press the "Save project" button
in EasyConverter’s main user interface.




Saving an EasyConverter project files means that a re-conversion of the original source
document does not have to be performed in the future if you want to convert this same
document into other alternative formats (such as MP3, or Braille), or make minor adjustments
to the intermediate Word file for this project.

A saved project can later be re-opened by pressing the “Open Project” button.




You have now finished the conversion process. Enjoy your large print book!
