NEWTON-CONOVER CITY SCHOOLS LAPTOP AGREEMENT
Newton-Conover City Schools (NCCS) is providing laptop computers to the faculty to assist in the
development and delivery of curriculum in the classroom and will have full use of the laptops for
professional needs while employed by NCCS.
Authorized use of laptop computers
The computer is primarily intended for school use, including the communication with the general
public, the acquisition of information needed by members to perform instruction, and for the
performance of administrative duties. The computer and software may not be used for purposes
that violate any state or federal law, regulation, policy or procedure, including privacy and
copyright laws. Faculty use of an NCCS laptop is governed by the NCCS acceptable use policy.
The computer and software may not be used to disrupt normal network use and service, including
the propagation of computer viruses, e-mail spam, and unauthorized access to protected and
private network resources.
Faculty laptops are not for student use. If students are seen using your laptops, your laptops may
be confiscated.
Never allow friends or family members to use your school laptop. Your laptop has access to
specific sensitive network resources. If your laptop is used to inappropriately access those
resources or those of another network you are still responsible.
Although each faculty member accepts responsibility for the care and use of the laptop, the laptop
remains the sole property of NCCS.
Loan period
The distribution of laptops to faculty takes place at the beginning of the school year. Faculty are
required to sign for the laptop and other items. The computers must be returned, with all
accompanying cables, drives, and other items (such as carrying case) by the end of the last
teacher workday or last working day.
In addition, faculty should expect to turn in laptops to the media center and/or technology
department periodically throughout the year for scheduled maintenance. Advanced notice will
be provided when possible. Laptops will be returned to you as soon as possible.
If a staff member terminates their employment prior to the end of the school year they are
expected to turn in their assigned laptop to the media specialist and / or technology department
prior to their last day of service.
Storage/backing up
All faculty members should store files to their D: drive on the laptop and / or saved to an USB flash
drive. NCCS will not be held liable for any lost data.
Since files stored on the D: drive will be deleted at the end of the school year, faculty should save
their data to an USB flash drive.
Under NO CIRCUMSTANCES should any files containing personally identifiable information
(student data) be stored on the local hard drive. This practice can place the school and district at

risk in the event that the computer is stolen (Board Policy 3003).
Network access
Use of the NCCS network is governed by the NCCS’ acceptable use policy. NCCS’ acceptable use
policy must be followed even when outside the school system.
NCCS does not provide access to the internet from outside the schools. Faculty members are
permitted to set up their laptops to access the internet from home, but these network
configurations or any home configurations will not be supported by the NCCS technology
department.
Troubleshooting
Faculty should report any other laptop problems immediately to the media specialist who will then
contact the NCCS technology department.
Software requests and installation
NCCS owns licenses for the software installed on the laptop. Under no circumstances may any of
this software be transferred to any other computer, which violates Copyright Compliance (Board
Policy3255). In addition, no other software should be installed on the laptop unless approved by
the NCCS technology department. Only software selected following the proper approval from
NCCS’ technology department and that follows the Media Selection policy (Board Policy 5140).
Any installation of operating system changes, plug-ins, or productivity tools will be completed
during the next scheduled maintenance, unless an immediate instructional need is evident.
NCCS will not provide maintenance or technical support for any applications or hardware not
installed by the NCCS technology department personnel. Should routine troubleshooting fail to
address software problems, only software that was originally installed on the laptop will be re-
installed. This means the laptop’s hard drive will be erased and restored with the original
software. ALL existing data will be lost, so be sure to keep a good backup.
Security and damage
Laptops are the #1 item reported stolen from classrooms, offices, cars, and public areas. You
should use extra care to be sure that the laptop is secure at all times. Use the same precautions as
you would with your wallet or purse. The laptop should be with the faculty member or locked in
his or her classroom at all times.
All physical damage to the laptop must be reported immediately to your school media specialist.
The media specialist will then contact the technology department for repairs.
NCCS purchased an extended warranty contract on all laptops. In the event of damage, the laptop
will be returned to the manufacturer. As a result, faculty members will be provided with a
replacement computer. This replacement computer is based upon availability of existing
computers and may not be a laptop. Therefore, faculty should note that they may be without their
issued laptop for as long as needed for the manufacturer to repair and return. In addition,
member are reminded to keep a backup of files as the damaged machine will, in most cases, have
the hard drive erased and reimaged.

Negligence
Staff members will not be held responsible for computer problems resulting from regular school-
related use; however, staff members may be held fiscally responsible for any problems caused
by abuse or negligence. For the purpose of this policy, negligence is defined as knowingly
causing or allowing to be caused the loss or damage of the laptop computer or its peripherals.
In the event the computer is stolen, misplaced, or damaged due to negligence, the staff member
will be required to replace or pay for the repair of any laptop computer provided to them. The
determination of negligence shall be made by the NCCS technology department. The value for
the laptops are set at $1,000.00. Because NCCS will pay $500.00 for the insurance deductible to
replace the laptop, the staff member will pay the remainder $500.00 for the first year, $400.00 for
the second year, $300.00 for the third year, $200.00 for the fourth year, and $100.00 for the fifth
year. After the fifth year, the value of the laptop will never go lower than $100.00.
Care and Handling
• Laptops are fragile and should be handled with care.
• Laptops should not be left in temperatures below 35 degrees or above 90 degrees.
• Food or drink should not be stored next to your laptop.
• Cords, cables, and removable storage devices must be inserted and removed carefully
from the laptop.
• Laptops must remain free of any writing, drawing, stickers, or labels that are not the
property of NCCS.
• You are responsible for keeping the laptop’s battery charged for school/work each day.
The technology department does not have spare chargers for those that are forgotten. If
your charger is lost, your school will be charged for its replacement.
• You should never carry the laptop while the screen is open.
• Laptops should always be transported within the provided laptop bag. The carrying case
can hold other objects (such as folders and workbooks), but these must be kept to a
minimum to avoid placing too much pressure and weight on the laptop screen.
• The laptop screens can be damaged if subjected to rough treatment. The screens are
particularly sensitive to damage from excessive pressure on the screen. The guidelines
below should be followed:
• Do not lean on the top of the laptop when it is closed.
• Do not place anything near the laptop that could put pressure on the screen.
• Do not place anything in the carrying case that will press against the cover.
• Do not poke the screen.
• Do not place anything on the keyboard before closing the lid (e.g. Pens, pencils, or
disks).
• Clean the screen with a soft, dry cloth or anti-static cloth.

This agreement applies to all computers connected to the NCCS network. Any attempt to violate
the provisions of this agreement will result in revocation of the user's privileges and laptop,
regardless of the success or failure of the attempt. The decisions of NCCS regarding
inappropriate use of the laptops, technology, and/or telecommunication resources are final.

Provision for staff members not wanting to take financial responsibility for a laptop.
I the undersigned do not wish to take the financial responsibility for the laptop issued to me.
By signing this section I understand my laptop is never to leave my school for any reason.
In the event I decide to take the laptop from school I will automatically become financially
responsible and all aforementioned policies and guidelines will apply to me and my laptop.
