                                              IMPORTANT


 IN ARRANGING ANY ACTIVITY THE ORGANISER(S) SHOULD BE FAMILIAR WITH
  RULES 23, 24, 66, 67 AND 68 AND THE DIRECTIVE ON AIR TRAVEL & PACKAGES


This form must be completed for any Region/Branch activity (other than meetings), being organised in the name
of the Association, for the purpose of cover under the International Police Association (British Section) Public
Liability insurance policy.

Any activity not notified may render that activity uninsured and the organiser(s) may be personally liable for any
public liability claim arising from that activity.

The Public Liability insurance policy DOES NOT extend to Personal or Travel Insurance, which should still be
obtained in the normal way. Events organised on MOD property are not covered. It is therefore essential that
adequate Public Liability insurance is arranged.

IF Branch / Regional Funds are utilised please remember that a Balance Sheet along with receipts need to be
submitted to the Regional Treasurer, as per Rule 68.


OVERSEAS INVOLVEMENT

If the activity involves any group from another country visiting the British Section please provide details of the
Section/Region/Branch of the visiting group and the anticipated number attending. A full list of names of
participants should be attached if available, but in any case, one should be submitted as soon as practicable.


COMPLETING THE FORM

IN NOTIFYING AN INTERNATIONAL ACTIVITY (INBOUND) OR APPLYING TO HOLD
A CHARITABLE PURPOSE FUND RAISING EVENT, PLEASE USE A SEPARATE FORM
FOR EACH ACTIVITY.


ACTIVITY        - i.e. Dinner/Dance, Disco, Day Trip to......... etc.

LOCATION        - Enter the main location for each event. If the activity involves a visit to another Region/
                  Branch please state the host Region/Branch.

DATE(S)         - Date or dates of each activity (to include travelling days if applicable).

CONTACT         - Name and telephone number of the organiser/contact. This will assist with any enquiries and
                  in advertising your activity.


OVERSEAS EVENTS (FROM THE UK) – Please use the Overseas Event Notification form.

When organising an overseas event, the conditions contained in the Directive on Air Travel & Packages must be
adhered to.


HAZARDOUS ACTIVITIES - Please use Hazardous Activity Form.

A hazardous activity is any activity which contains a known element of risk concerning life/injury/damage i.e.
parachuting, any race involving machines (motor racing/power boat racing etc.), diving, absailing, climbing etc. If
in any doubt about your particular activity please contact the Secretary General.
