Basic introduction to the hale Northeastern Show Accounting System The HNSAS consists of the following 3 applications: Show Code Builder – Enables users to build unique show codes to use to track revenue and expenses through the order entry and accounting applications. Show Data Scrubber – Allows the user to scrub the data that gets output from the current accounting application (Intuit QuickBooks) so that it can be used by the last application to generate P&L reports. Show Data Reporter – Allows the user to filter the data and generate a P&L report based on the filter criteria. The purpose of this application suite is to allow The Hale Northeastern Executive staff members understand the P&L for a specific show, group of shows, single or group of account managers, region or group of regions and or all combinations of the above. It will help them more accurately track where money is being spent and help tie that to revenue generated to better understand the ultimate expense to earnings ratio of the work they perform. Show Code Builder This first screen shows the opening screen of the Show Code Builder application. This allows the user to select from each drop down box the correct criteria for the show code they need to create and then have the application build a code for them to use to label the show in the show tracking application and accounting application. This second screen is opened by selecting the second tab at the top of the page and enables the user to reverse a show code back into it’s appropriate components. Show Data Scrubber This application is used to clean and validate the data file generated by the Intuit QuickBooks accounting application for use in the reporting application. This application is needed because the data that comes from the accounting application is a comma delimited data file but each of the fields can contain commas that can create problems and lower the delimitation hit rate significantly. This application is designed to churn through the data in steps making sure that each field is clean of any extra delimiters and then converts the entire data file into a data source that is pipe (|) character delimited. It also has the job of expanding each of the show codes found back into their normalized full test descriptions so each part of the show code can be used to filter the data. To use this application the user browses to the data file generated by QuickBooks and selects that file as the ‘File to scrub’. They then select a file folder and name to use as output, and click the ‘Scrub’ button. The status of each stage of activity is output to the status area and the progress bar gives a hint of the process completion as it progresses. Show Data Reporter This application is used to create a report based on the data that was scrubbed by the previous application. The user is walked through a wizard interface allowing them to: Validate the data file to make sure that it has all the proper columns needed to build a report. • • • • • Select a date range for the report. Select a show region(s) or use all regions contained in the data file. Select the account manager (s) or use all contained in the data file. Select the show type(s) or use all the types contained in the data file. Run the report. Once the report is complete it will have generated a single Microsoft Excel compatible XML file that contains two worksheets. The first being a summary P&L statement of all the filtered data, and the second being a detailed P&L statement. The machine running this application does not need to have Microsoft Excel installed to create the file as no part of the actual excel program is used. The file is written using a custom library that writes out native XML tags in the format required to be MS Excel compatible.
