					INFORMATION IN RELATION TO YOUR VACATION

YOUR AUTHORITY MUST BE ABLE TO READ YOUR E-MAIL DURING YOUR
VACATION
If you work for a public authority and you have a personal e-mail address you have to make
sure that somebody else at the authority can go through your incoming e-mail when you are
on vacation. Messages that may constitute public documents must be accessible. The Swedish
Parliamentary Ombudsman (JO) has decided this. E-mail messages which enter the mailbox
of an official may be public documents. The matter has to be tried speedily, which requires
that the document is accessible to the authority. The state of things is not altered by the sender
of the message receiving a reply message saying that the receiver is on vacation.

If we use the “Out of office”-function during our vacation or other longish holidays, we must
refer to another person, one who has at least the same authority of decision-making as the
person who is on leave.

The same applies for personally addressed/direct-addressed items of mail when a person’s
name is at the top of a letter with the BTH address. Such letters are considered to be public
documents if they concern the activities of BTH. They must not be opened without special
permission from the person to whom the letter is addressed. The permission may be oral or in
writing, but for practical reasons written permissions are to prefer. An official is not in duty
bound to giving such permission, but incoming public documents may not be left in unopened
envelopes due to the addressee being on a business journey or on vacation without the
possibility of opening her/his mail. There is a form - “Permission to open personally
addressed mail” that you can use.

INFORMATION ABOUT LOCATION IN TIME OF TEACHERS’ VACATION
Teachers at Blekinge Institute of Technology who have chosen so-called “flexible vacation”
[“förtroendesemester”] will according to our local ALFA agreement get their vacation located
in time from Midsummer and onwards the number of days that they are entitled to for the year
of 2008.

Teachers who in agreement with their schools will work, e.g., with a summer course or
participate in a conference need to notify this to respective school and to the Personnel
Department. The agreement is done with the department/school concerning the taking of
vacation at another time. If you wish to save vacation days for such reasons there are rules for
how this should be handled in our local ALFA agreement. All absence must, in such cases, be
reported as self-determined work hours [“förtroendearbetstid”] are no longer applicable.

Teachers who will be going on a business journey during the period of the vacation that has
been located in time according to the above practice also need to notify this to ensure that
insurance rules will apply should there be an accident. Do not forget the insurance card that
you obtain via the Personnel Department for business journeys outside the EU.

IF YOU FALL ILL
If you fall ill during your vacation and desire to substitute your vacation for a sick leave, you
should as soon as possible contact your school/department or the Personnel Department.
IF YOU HAVE AN ACCIDENT
During your vacation or compensatory leave for overtime done, neither the occupational
injury insurance nor the personal injury settlement is in force. Among other things this means
that if an employee has an accident during the vacation, and still finds himself or herself at the
place of work, it will not be counted as an occupational injury. If such an accident happens it
is necessary to have a private accident insurance.
