					              BRAINTREE & BOCKING SWIMMING CLUB

        JOB DESCRIPTION – CHAMPIONSHIP SECRETARY
RESPONSIBILITY: To enter swimmers for the annual County, District and National
Championship competitions.

ESSEX COUNTY CHAMPIONSHIPS - January/March

1. Upon receipt of the relevant details from the County Officials, prepare a master
sheet showing each event and the relevant qualifying times for each age group,
males and females.

2. Using the latest available Club Personal Best records, list the swimmers who have
achieved the qualifying times and their P .B. time.

 3. Pass the master list to the Chief Coach who will SO through the list and discuss
entries with the swimmers.

4. Enter swimmers for events indicated by the Chief Coach on the master list.

 5. Complete the entry forms sent from Essex together with the club master list of
names of swimmers, AS.A registration number and address, using the club
membership list details.

6. Pass entry forms to Club Secretary for authorisation.

7. Request from the Treasurer a cheque to cover the total cost of entries and
Coach passes.

8. Send recorded delivery the entry forms and entry fee to the relevant County
Official, retaining a copy of the master list of entries.

9. Prepare and place on the notice board a listing of those swimmers who have
qualified the events entered and the individual entry fee due.

10. Collect monies and when complete pay over to the Treasurer.

11. Entry cards will be received 2 - 3 weeks before the event. Hand all entry cards
to the swimmer or parent.

SOUTHERN COUNTIES CHAMPIONSHIPS April/May

1. Upon receipt of relevant documentation, prepare master list as for Essex
(together with conversion times to a 50-metre pool if necessary) and hand to Chief
Coach.

2. Complete an individual form for each swimmer and enter name, address, AS.A
number and events for which the qualifying time has been achieved The form must
be signed by the swimmer so prepare in good time.

3. Pass individual entry forms to Club Secretary for authorisation.

4. Request cheque from Treasurer to cover entry fees and send recorded delivery
to relevant district official.

5. Prepare listing of swimmers who have qualified as for Essex and put on the notice
board.

6. Collect money and pay over to Treasurer and distribute cards.

 7. After championships, obtain from Chief Coach a set of results in order to
complete the application for return of monies to those swimmers who achieved the
qualifying time on the day.

8. When cheque is received, hand to Treasurer.

NATIONAL CHAMPIONSHIPS - Summer/Winter

1. The Chief Coach will advise the swimmers who have achieved the qualifying times
and provide the relevant forms.

2. An individual form is required for each swimmer and needs to be signed by the
swimmer.

3. Qualification for National Championships can only be achieved at a Designated
Meet and this must be entered on the form (together with conversion times to a
50-metre pool if required). This information needs to be obtained from the Records
Secretary.

4. Pass entry forms to Club Secretary for authorisation.

5. Request cheque from Treasurer and send with entry forms to relevant National

6. The Club pays entry fees to National Championships - no further action required.

7. Entry cards are usually directed to the Chief Coach but the Pass will come to
Championship Secretary for handing on to chief coach.
