					     SPSS WORKSHEETS WITH OUTPUT
      (The commands are for SPSS Version 10, other versions may differ slightly.)

     Throughout this tutorial selections from menus, dialogue boxes or buttons are shown in bold
     italics separated by the slash sign /; VARIABLES in capitals; and characters you need to
     type in bold.

     The assumption is that you have not used SPSS previously even though you are probably
     familiar with Windows. The tasks are numbered as in Business Statistics.


     WORKSHEET 15.2.1               GRAPHICAL PRESENTATION WITH SPSS
     During this tutorial you will learn how to use SPSS to explore data graphically and also how
     to edit your graphs and, hopefully, have a bit of fun with them!. We shall use the data from
     Question 2 of the Tutorial sheet 2.2.

2.1.1 Opening SPSS
     Menus on your local network may be set up in a variety of ways and the method of opening
     SPSS will differ from one to another.
     Open SPSS for Windows and select Type in Data / OK
     You are now in the ‘SPSS Data Editor’ into which you can type your data. If you enter data
     from an existing file the heading changes to the name of that file. The ‘SPSS Viewer’ window
     will open automatically after your first use of the data to keep a listing of all your commands
     and output, including the Charts. From each of these windows output can be edited, saved,
     pasted to another Windows application and/or printed out in the usual manner.

2.1.2 Putting your data into SPSS
     Select Variable View using the tab at the lower edge of the screen.
     Under Name type in Age.
     Click in the cell under Decimals and change the number to 0.
     Under Label type in Age of Employee
     Select Data View. Age has appeared at the top of the first column. Click in the top cell of this
     column and type in the first age, 35. Type all the values in the table below into column 1, one
     number per cell, using the down arrow between each. Work down the first column from 35 to
     34 then continue down with 44 to 39, etc., until you have all 60 ages in the first column.

     The following figures represent the ages of a sample of 60 male employees of a firm called
     Merlin plc:

     Check that the final row number is 60.

2.1.3 Checking your input
      By printing the data into the Viewer you can check it at this stage and also have a record of it
      printed out at the end of the session.

      Analyse / Reports / Case Summaries Select Age and then click on the arrow to move it over
      to the active Variables box.

      Any analysis is performed on the variables in this box and not on those left unselected in the
      original list. On pressing OK the data is printed into the Viewer window. Check the values
      with those above. If any is incorrect, just overtype the correction into the data editor.


2.1.4 Saving your data as a file
      If you are happy with the data save it to a disc.

      With the data window on top File / Save as a: Merlin and Save. Your data has now been
      saved as an SPSS data file Merlin.sav on your floppy disc in the drive A.


2.1.5 Producing a Histogram
      We shall first produce the default histogram and then another more refined version.

      Graphs / Histogram Select AGE as your variable and then OK.

      The default histogram appears as a chart which can be printed out, saved as a separate file or
      exported into a Word file. It has no title and the mid-intervals are labelled. We can improve
      on this.

      Graphs / Histogram Select AGE, then Titles and type in something like Histogram of Ages,
      and Continue then OK. Your graph has a title. Don't worry about the mean and standard
      deviation; we shall be considering those in Chapter 3. We shall edit this histogram further as
      the next task.


2.1.6 Editing a Graph
      Double click anywhere within the graph to open up the SPSS Chart Editor tool bar. Pointing
      with the mouse at any of the icons tells you its purpose. Single clicking on any element within
      the chart window selects it for editing. Colour and pattern can be applied to the histogram
      bars using the ‘pencil’, ‘colour’, and the ‘fill pattern’. Text and fonts can be altered, lines
      added to the graph, etc. Have a good play changing colour, pattern, text, etc.! The range of
      each interval can be displayed but not just the value at each interval boundary.

      When you have finished editing select File / Close to return to the SPSS Viewer.

      SPSS does not offer the options of producing frequency polygons or cumulative frequency
      polygons.

2.1.7 Producing a Stem-and-leaf plot and a Boxplot
     Analyse / Descriptive Statistics / Explore Move AGE into the Dependent List, Display Plots
     rather than Both.

     Among other output you will find a stem-and-leaf plot with stem width of 10 and each case
     represented by one leaf and a Boxplot. You can see from both that the data distribution is
     symmetrical, that the lowest value is 17 and the highest 64 and, from the boxplot, that the
     middle half of the data ranges from about 31 to about 46. Make sure you can interpret both
     these graphs.


2.1.8 Printing out the Session contents
     When you have completed your tutorial you probably have many errors in your session
     window. These can be deleted by selecting each of the unwanted sections in turn by clicking
     on them and deleting them with the Delete key. When you are happy with the remaining
     material, make sure that your cursor is in the Viewer window, then print it out:

     File / Print / OK


2.1.9 Saving data and session output (if required)

     With the cursor in the data sheet:
     File / Save as a:Merlin.sav to save the data as an SPSS file on your floppy disc.
     (You will be told that you already have the file as you saved it earlier. If it has not been
     changed there is no need to resave it.)

     With the cursor in the output window:
     File / Save window as a:Merlin.spo to save your output window as a text file.
