EXECUTIVE ADMINISTRATIVE ASSISTANT JOB DESCRIPTION The Executive Administrative Assistant will be required to provide specialized administrative work and professional secretarial support services for the Programme Director, Vision 2020 Office. Work is performed with a degree of independence, initiative and judgment within the framework of the Department/Ministry’s policy and is subject to review of the Head of Division/Unit. Duties and Responsibilities Co-ordinates the provision of administrative and professional secretarial support services required by the Programme Director, Vision 2020 Office. Ensures the effective functioning by adherence to established policies and procedures. Develops, manages and maintains a Management Information Manual and automotive system. Utilizes automated Registry Software for tracking correspondence and files. Prepares agenda, minutes of meetings and composes and prepares letters, memoranda and reports etc. Attends to telephone enquiries, the business of callers and arranges appointments and meetings. Performs other duties as may be assigned by the Vision 2020 Office. Required Skills and Core Competencies Proficient in Microsoft Office 2000 and accessing the Internet. Considerable knowledge of the methods and techniques of office management. Ability to provide administrative and office management services for a professional and technical team. Ability to communicate clearly and concisely both orally and in writing. Ability to establish and maintain effective working relationships. Educational Requirements and Experience A minimum of five (5) years experience in complex secretarial work. A recognized Certificate/Diploma in Administrative Professional Secretaries. A minimum of five (5) Ordinary levels subjects including Mathematics and English Language Grades I, II or III at CXC General Proficiency or CXC Grades I or II Basic Proficiency or GCE.
