Activity – Managing Change
This activity is divided into two main tasks. It is intended to give you some experience in analysing and reviewing
your key strategic and planning documents and in planning changes. It is recommended that you view the
presentation ‘ILT and Culture Change’ (PRcultur.ppt) and read the information sheet 'ILT and Culture Change'
(IScultur.doc) before undertaking this activity. You will also need access to key college strategic and planning
documents such as the corporate, human resources, curriculum, staff development, IT/systems development,
accommodation, and ILT/e-learning plans to help you complete the two tasks. You may also find it useful to
download the TALENT organisational profiling tool (http://www.le.ac.uk/TALENT/book/c2p5.htm).

Note: Although you could undertake this activity alone, it would be far more productive and have a greater
impact on practice within your college if you work on the tasks collaboratively, either face to face or on line, with
a group of colleagues, who have various job roles and different levels of responsibility. The tasks may well
require completion over a period.


Task 1
Consider the four quotes below, extracted from conversations overheard in various staff rooms in a number of
colleges. Based on the information contained in your key documents, select two quotes that raise issues you
think could equally apply within your college.

1 "All this talk of technology. My manager barely knows how to use his computer for e-mail so why should
  I use one?"

2 "When I wanted to use a data projector, I was told 'It's not my job any more. In fact, no one seems to
  know whose job it is. I'm really fed up!"

3 "We're all running around like headless chickens. Management doesn't seem to know what they're
  doing or what they need to be doing. It's just one thing after another!"

4 "You mean to say the way I've been teaching for the last 17 years without computers is suddenly all
  wrong. I don't hear my students complaining!"

Imagine that the quotes were uttered by a member of staff working in your college. Examine the information
contained in your college's key documents and from other sources in the college and complete the following
stages with regard to each of your chosen quotes:

     a)   Use the information from your college documents to pick out the problems that need to be resolved
          with regard to the issues raised, and select the two most urgent problems in relation to each quote.
     b)   List up to three priority solutions for each problem.
     c)   Describe the changes that need to occur to begin implementing each solution, and note if any of these
          changes are already included in one or more of the key documents.
     d)   Name the job role(s) responsible for managing each change.
     e)   Outline two ways in which you would include the whole college community in solving the problems.

At this point, you are approaching the identification of problems and solutions from a college perspective. Think
carefully about each solution and its consequences. Are any of the priority solutions already identified in one or
more of the strategic plans? What changes need to occur to bring about that solution? Are your suggested
changes also described in one or more key document? Which job role(s) within the college has responsibility for
ensuring those changes occur? Which of the solutions that are in the key documents are making a difference
and which are not?

By thinking about the consequences, you should be able to list the main changes that need to occur to
implement each solution. You may want to refer to the guidance document for this activity ‘Guidance on
Managing Change Activity’ (IScultgd.doc) for further advice.


Task 2
Now that you have identified the two most urgent problems relating to each quote, and have listed the changes
that need to occur for each of the solutions, it is time to consider what actions you can personally take that will
contribute to the solutions. You may need to copy and paste the changes you have identified in the first task into
the tables below if you are working on line.

For example, if you are a manager and you have identified that you are responsible for managing some of the
changes, your own action points might be specifically targeted at tasks you need to undertake to bring about the
change, including delegating activities to others in your team. On the other hand, if you are a part-time
curriculum practitioner, you may well find that your action points involve obtaining information about staff training
related to a suggested change, or finding out more about a new process or procedure.

In effect, your personal action points will vary depending on your role and level within the college, and while it is
important to be realistic regarding the scope of your influence, do not assume you are powerless. Whatever your
role within the college, remember, be proactive not reactive!
