Helpful Tips For Installing and Using AIM Word Templates You only have to follow through on this once to have the procedure down easy. It may look daunting but it really is a cinch. INSTALLING THE TEMPLATE After downloading the file which you will note has the extension .zip, unzip it wherever you wish. If you do not have an unzipping file go to http://www.winzip.com/ for one. Then you must copy or move it to the right place on your computer for Word to use it right. In the wisdom of Microsoft, the templates for Word can be installed in several places depending on the version of Word and your configuration. In Microsoft Windows 95 or 98, the Templates folder is located by default in either the C:\Windows_folder\Application Data\Microsoft folder or the C:\Windows_folder\Profiles\User_name\Application Data\Microsoft folder. In Microsoft Windows the Templates folder is located by default in the C:\Windows_folder\Profiles\User_name folder. The most common spot is C:\WINDOWS\Application Data\Microsoft\Templates. Look there first and you should see other templates – at least the Normal.dot. Copy or move the file there. If your templates are not in one of the default spots then I am afraid you will have to go looking! OPENING A NEW FORM TO PROCESS If you succeeded in placing the AIM template in your regular Word Template folder then life is simple. With Word open, go to File-New. Your Templates will open and you choose the AIM one you wish. Word will open a new document based on the template ready for you to use. USING THE FORM As the document opens it places your cursor in the field to enter the client’s name. Just fill it in. Now you can use your Tab key to move to the next field to fill in. If you wish to jump then use your mouse or Tab several times. Note: a) if you use your mouse be sure and click in near the left side of any space to filled in as that is where the code s for the field. b) When you get to a Table section like the Pilot section in the application, Tabbing moves you down the first column and when you reach the bottom Tabbing moves you up again to start on a second column. If you have no information to fill in the second column you can either mouse to the section and field below or use the Tab key many times. IMPORTANT – Complete the whole form before saving. The saved form is ‘locked’ for security reasons and no changes or additions can be made to it. If you complete only part of the form and save it then to complete it you will have to start a new document a re-enter all the data. Once you are done Save the form in whatever directory and folder you usually save completed Word documents. If you click just the Save button it will ask you where you for a name and where you want to put the file just as if you used the Save As command. SENDING THE FORM The most common way to transmit the form to AIM is to send AIM an email. Put whatever you wish in the subject and message section in the usual way ant then attach the Form file you saved to the email and Send of the email to AIM at firstname.lastname@example.org. An alternate is available in some Word installations. Go to File – Send To – Mail Recipient and follow the instructions. AIM will receive the document exactly as you saved it in Word format with it locked so there can be no alteration of the form at their end. Anytime you want to complete an AIM form just follow the same USE instructions. Pretty soon you will be a whiz at it. We look forward to seeing your forms flow into the AIM office.
