EXCURSION MANAGEMENT PLAN
The following information is presented to support the development of your school’s Excursion Management Plan for the Cyber Friendly Student Summit. PURPOSE OF THE EXCURSION The Cyber Friendly Student Summit offers Year 10 students an outstanding opportunity to participate in shaping the future safety of the cyber world Participation in the Summit will encourage students to: share their knowledge of key cyber safety issues; develop their thoughts and ideas on solutions to prevent cyber bullying; and gain knowledge and experience in expressing their constructive thoughts and ideas via multi-media technology. *Students who participate in preparing a multi-media submission for the Summit or who attend the Summit may count these hours as contributing toward their Community Service requirement. . 1. ASSESSING THE RISKS 1.1 Environment The Cyber Friendly Student Summit will be held at the Perth Sheraton Hotel from 8.30am to 3.30pm Wednesday the 22nd October 2008. All Summit activities will be accommodated on the Convention Floor of the hotel in the Golden Ballroom, Hamersley and Goldsworthy Rooms. The hotel is fully accessible to students with disabilities.
1.2 Transport Arrangements Describe how the students will be transported to and from the Cyber Friendly Summit. Schools are responsible for organising student transport to and from the venue
1.3 Students’ Capacity Which students are participating in the excursion? (attach list) Which students have identified special needs? What are they? (attach list) The nominated year 10 students were selected as they take an interest in the social welfare of others and in the school community. They are required to create and enter an original multi-media submission in any format for up to 30 seconds in duration but will NOT be required to present their submission at the Summit. The submission will represent one of a range of key topics relating to what students believe young people, adults or the Australian Government should do to help keep young people safe and discourage cyber bullying. On the day of the Summit, students will be provided with a range of interactive activities and facilitated discussion groups that explore key cyber bullying prevention topics and findings from recent cyber bullying research. Students will also have the opportunity to anonymously cast their vote via electronic voting technology on vital issues and concepts relating to cyber safety and cyber bullying prevention. The day will culminate in a declaration stating what students believe needs to be done to increase cyber safety and to reduce cyber bullying. 1.4 Supervisor/Supervisory Team Attach the names of adults attending with the students. Student supervision during the Summit will be provided by approximately thirty Child Health Promotion Research Centre (CHPRC) staff. Accompanying adults are welcome to attend a bullying prevention training program provided by CHPRC staff during the time students are participating in the Summit.
1.5 External Providers The CHPRC at Edith Cowan University has been investigating bullying and its relationship to health and academic outcomes in Western Australian schools for the past nine years including the Friendly Schools and Families bullying prevention project. Staff at the CHPRC have been major contributors to research and practice in school health promotion since the early 1990s. More information about research conducted by the centre and centre staff can be found at http://chprc.ecu.edu.au . All CHPRC staff are experienced in conducting research with secondary students and hold current Working With Children Checks. Several CHPRC staff are qualified teachers and the majority hold St John Ambulance First Aid Certificates. 1.6 Public Liability Insurance Cover The Cyber Friendly Student Summit is covered by Edith Cowan University’s Public Liability insurance up to $250,000,000.00.
2. SUPERVISION STRATEGIES Summit Staff will supervise students on the day of the Summit from Registration at 8.30am to Summit close at 3.30pm. Summit Staff will monitor exits and toilet areas over the duration of the Summit. Each student group will be supervised by a trained and experienced facilitator from the CHPRC. Groups will sit together on round tables comprising seven students and one facilitator. All students attending the Summit will be informed on how to seek support and advice should they encounter any form of bullying. Should any student become distressed, or feel the need to disclose specific information as a result of participating in the Summit, students will be given information and the contact details for the Kids Help Line. They will also be encouraged to talk to an adult they trust such as their parent, caregiver or an adult at school. If it becomes apparent that any student is experiencing distress at the Summit, the Summit co-ordinator or other senior CHOPRC staff will notify the school and routine school procedures for notifying parents and providing students with appropriate support will be followed. 3. IDENTIFICATION OF EXCURSION PARTICIPANTS Students will wear their school uniforms to the Summit. Students will be divided into groups of approximately seven students per group and provided with colour coded name tags to enhance group identification. Summit Staff will be easily identified by a name tag that will be colour coded to match the group under their supervision. 4. INFORMATION TO PARENTS FOR THEIR CONSENT Attach the information to be provided to parents for their consent. The required consent forms are attached. In addition to permission to attend the Forum, consent will be sought for: student contribution to research conducted at the Summit; the use of photos or digital images taken on the day of the Summit; the use of the Multi-media Submission. At no time will the identity of participants and the school be disclosed, except in circumstances that require reporting under the Department of Education and Training; Catholic Education Commission of WA; and Association of Independent Schools of Western Australia Child Protection Policy, or where the research team is legally required to disclose that information. Participant privacy and the confidentiality of information disclosed by participants in any part of the research process is assured at all other times. Additionally, no names or addresses of students or schools will be used in the publication of any results from the study. All information will be stored securely (in locked cabinets and electronically in password protected files) for seven years before being destroyed.
Withdrawing Consent Participation in the Summit is voluntary. Parents or Year 10 students’ may withdraw consent to participate in the Cyber Friendly Student Summit at any time, without prejudice, by contacting the Project Co-ordinator, Debora Brown on 9370 6383 or by email: debora.brown@ecu.edu.au . All data collected from students who withdraw from the Summit will be destroyed, unless otherwise agreed. 5. COMMUNICATION STRATEGIES Generally, all students will be seated in one room. Hence supervisors will be able to use direct communication with them. All Summit staff will have access to mobile phones. The Summit Co-ordinator and Staff can be contacted during the Summit by calling the Perth Sheraton Hotel on 9224 7777. 6. EMERGENCY RESPONSE PLANNING After students are registered to attend, a member of the Summit Staff will contact each school to determine: any student’s special needs (including dietary), health conditions and contact details; and the parent contact telephone number of all students. A nominated supervisor will have ready access to all of these details. In the case of a medical emergency Summit Staff will have access to mobile and hotel telephones to contact the school, parents and emergency care. If it is considered necessary, Summit staff will arrange medical assessment and treatment for students. If an emergency evacuation is required, the Perth Sheraton Hotel’s Emergency Response Team will implement an evacuation plan. 7. BRIEFING STUDENTS AND SUPERVISORS All participating students at the Summit will be fully briefed about emergency procedures and signals, required behaviour and participation, the day’s activities, and the role of supervisors during the morning orientation session. All Summit staff will be fully briefed of all safety and supervision procedures prior to the Summit. 8. EXCURSION RECORDS Describe where the relevant details of this excursion will be retained.
