Office Moving Instructions
Modify and distribute this checklist to staff the day before the move.
TO ALL STAFF: Please be advised that the moving of your workstation, computer, and effects will
be done by color-coded labels and number, NOT by your name. Be sure to label boxes on their sides
and NOT on top, as stacking will obscure the labels. Items without a label will not be moved. Labels
and corresponding numbers will be assigned to you.
LABELING – Be sure to label all items, boxes, parts, and packages. Ensure that parts of all
dismantled pieces are labeled as well. You may place personal notes on your boxes (i.e. “files,” or
“office supplies,” etc.)
DESKS and FURNITURE – Label the desk on the top surface.
Dismantle the desk, place hardware inside a zipped bag, and tape the bag to the inside of a
Put accessories such as pens, stapler, supplies, etc. inside a zipped bag, and tape the bag securely
to the inside of a drawer or inside a box.
Your desk will likely be flipped over, so tape drawers shut tightly.
Place all files, folders, books, desk lamps, etc. into the box(es) provided, seal the box(es), and
place label(s) on the side of the container.
FILING CABINETS and SUPPLY CABINETS – Place contents of cabinets in boxes. Label the
cabinets on their top drawers. Ensure that pressure plates are adjusted so contents will not be loose
inside. Secure the drawers and doors with strapping tape, or lock them if possible. Make sure the
labels on content boxes correspond with the label on the cabinets they belong to.
BOOKCASES – Contents should be packed in boxes and labeled with same number as the
bookcase. Label the bookcase itself on the top side. Loose or free-hanging shelves must be fastened
down to the frame to prevent loss.
