1 HOW TO USE E-JOURNAL? The address: http://sa.imnetti.fi/sasem/project/www/training The coding type for the text of the eJournal is UTF-8 (Unicode), which means that the language of the program can be changed to all different languages on the Earth and that the typing style also is the same everywhere. Ejournal has been planned so that new languages are easily set in if needed. For now our common language will be English. We were using Finnish in Finland when the teachers were having their training for eJournal, but we should use English all the time now. (In future when the server can be set in South Africa then it will be possible with your own language) POSSIBLE FOR EACH USER: The first page shows you the name of your school. Now you can read "Training" in the place where the name of your school will be shown in the future. You see the logo "Globe" in every page. By clicking it you always get to the first page. The front page can be edited by chief editors. You all will get the rights of a chief editor. You can define the front page from the Information Page. You can put a certain article or articles to the front pages or set some pictures in there. Also, if you set so, you can see in the front page the most read articles, the newest articles, the articles that have been evaluated the best, the content of the magazine and also the information of the owner. By clicking a headline of an article you get to read the article. As you can see, there are the name of the writer(s) and the date after the text. Everybody can read the published text and that enables the teamwork for us. Everybody also can comment the article or evaluate it. In Read magazine you see the content of the magazine. By clicking one you get to read it. The content of the magazine could be set to be seen also in the front page. In Magazine comments you can naturally give the comments for the magazine as a whole. Every reader is permitted to do it. In the Information page you are able to see what are the three most read articles or rate the magazine. You get information of the owner in the page, too. This information could be set to be seen also in the front page. In the Information page you can study the magazine numbers, like how many visitors have visited the magazine, when it was created, how many people have been evaluating the magazine and how it has been rated by evaluators or how many published articles are there now in the magazine. These three pages and the front pages are open for every reader in the web. You can practice now the program for a little while and feel how it is for the normal user. Then you get your passwords for being the normal editors. 2 http://sa.imnetti.fi/sasem/project/www/satraining With the rights of an editor POSSIBLE FOR AN EDITOR: You can get to Editor's office by clicking the spot on the left side of the screen. Then type there your usernames and the passwords (we gave you while you were practicing). As you can see, there are much more options for you to do now. The editor gets the rights to Articles editing, to Media library, to the Personal settings and to see the Colleagues. The other users can be a trusted editor or just an editor. The editor can be a student who is writing the article, but is not able to get to the scheme and the settings of the magazine, publish it or edit it after publishing. Let's see deeper what an editor can do! ARTICLE'S EDITING: In Article's editing an editor can create a new article or upload it from web or from your own files. When you create a new article at first you give it the title and then you describe it shortly. Then you save it. Then it automatically gives you the name of an author. If you want, you can add there another name. When you click the "save" it will take the article to the Articles editing pages and to the Unpublished articles where the editor can pick it again and edit or view it. If a normal editor goes back to edit the article, she/he just clicks the edit. She/he can now add a new section, which can be header, paragraph, table or a link. She/he gets now to shape the article content. She/he can give a header for the text and choose the font size, color and style. The Header size must be between 1-5. After making definitions save it. It is very handy that you see all the time the changes in the same screen. You can add many headers, paragraphs, tables or a links to the article by choosing which one you want and then clicking add. You can edit the section you want by clicking Edit in the section you want to edit. You also can switch the places of the section upper or lower. If you want to add a table you get a box where you can edit it. You can define the size, borders or highlight a row or a column and give the data for the table. The plus-mark means that you can add a new column before the one you are in. The cross-mark means that you can delete the column. The same is valid with the rows, too. You probably want to add a paragraph of text to your page, too? Click it and add it. You get a box where you can type the text. You also can define the size and color of it and the amount of the columns. Again you can add or delete a column from plus- or cross-mark. From the mark that is on the right side of plus- and cross -marks, you can insert an image to the column. You can see in the screen where the image will be set. You get a new box into the paragraph editing section. If you click the green little box on the line of Filename you get an ImageSelector shown and that is a tool that you can choose an image to the column. Now you have a collection of pictures. Of course somebody had to set the pictures to the Media Library beforehand. Choose a picture by clicking it. That way you automatically get a Filename. To the empty box under Filename-box you can give a description of the picture. You also can choose if you want a border around the picture. Save it. Notice that if you add a picture to the column then you can't have any text in it. What to do to make it look integrated in the web-page is to create more paragraphs and set as much text as the picture requires to the section that has a picture. Pictures will get to the column with the size that it fits to 3 the column. If the picture has been stored smaller to the library than you would like to have it, you can't make it any bigger. If you want to add the link, choose it and click add. You can create a link to file from MediaLibrary or you can create a link to external source or to e-mail address. If you create a link to file from MediaLibrary, click the first picture in the Target row. You get to the MediaLibrary where you can choose your target by pressing OK of the line you want to have a link. In editing the link you can edit, insert new links or delete it. Here you can also define the size and color of the link. Save it to get it to the real page. Creating a link to external source you click the second picture in the Target row. Write to the target row the address you want the link to lead you. Give it a title and a little description. Define the size and color. Choose if you want to show an icon before each link. Save. Creating a link to e-mail address you click the at-sign. To the target box now appears mailto, and after that you can write there the e-mail address you want to. Give it also the title and the description. Save. After the editor is ready with the whole page she/he needs to click save to get to the Articles editing and there to the section of Unpublished articles. The editor can see the details, edit it further, view, delete or to ask the chief editor to publish the article. If the editor asks the chief editor to publish the article it goes to the section Waiting articles. If the editor wants she/he can take it back to the section Unpublished articles. If you want to delete it from Unpublished articles it will drop to the section called deleted articles. There you only can undelete it so the articles never can get lost by the normal editor. If the chief editor thinks that the article is good enough she/he has the right to publish it. You also can upload an article from your own files by clicking Upload article. In articles editing you can order to show the article by title, author or by the last change. MEDIA LIBRARY: In media library an editor sees all the material that is available for using in the articles, for example images. You can upload more images to the Media library from your own files by clicking Upload files. You get a box where you can browse your computer files and choose the picture(s). Then click Upload. By clicking the name of a picture you get it to another window. There you also can move the picture to another place or delete an image from the Media library. MY COLLEAGUES: There you can see the users and their permissions. You can ask program to show all users, editors, trusted editors or chief editors and you can order them by username, full name or by rights. Then click Show. Editor is a blue character, chief editor is red and trusted editor green/yellow. There you can send a message to somebody personally or to all checked users. E-mail is a tool inside of a magazine. It is an easy way to communicate if the editors for the magazine come from different countries. When you send a message to somebody the program automatically sends a copy to your own address, too. MY PERSONAL SETTINGS: Your name and e-mail appear here. You can set your language to be automatic or select the language you want. You also can change your password there. And remember to save. That is what an editor can do. Now it is your turn to practice on being an editor. Make an article to the page now with the instructions we gave you. While you are working we will give you the permissions of a chief editor. 4 POSSIBLE FOR THE TRUSTED EDITOR: Everything mentioned earlier and publishing as an extra ability. POSSIBLE FOR THE CHIEF EDITOR: with the rights of the chief editor Enter the Editor's office with the same passwords now. You have the key to every place of this magazine now. What are extra now on the page? (The scheme and the settings of the magazine) Read Magazine, Magazine comments, Information page and My personal settings are still exactly the same. ARTICLES EDITING: In Articles editing you still can create or upload articles, edit, view, delete and see the details, but what you have more as a chief editor is that you can publish or unpublish an article. You can ask the program to show you all articles, own articles, user articles, published, waiting, unpublished and deleted articles. The chief editor has also a permission to make the real delete from the list of the deleted articles. MEDIA LIBRARY: Otherwise it is the same as for editors, but as an extra you can create your own folders by clicking Create folder. Write the name of the folder to the empty space. MY COLLEAGUES: As you can see, the color of the chief editors are red now. The chief editor can in addition to what a normal editor can do is to create new users and give her/him the rights or edit or delete the old ones. MAGAZINE SCHEME: The saved article always goes automatically straight to the root folder. Soon the root folder will be full of many different articles. To keep the root folder more understandable and to give a structure to the magazine the chief editor can administer both folders and the links. To create folders click Create folders. Give the name to the folder and describe its contents shortly. You also can choose the 3 options. In the upper part of the screen you can see if the thing you have done have been made successfully. You can go to the folder you want or edit or delete the folder. As you have seen the articles are organized in folders. The organizing of the articles in the folders is called linking in this program. If you want to move an article into a folder you first click on the empty box left to the name of the article you want to move. Then click on the “move” right to the heading. Next open the folder you want to move the article in by clicking the name of the folder. Now that you’re “inside” the folder, click “paste links” which appears in the upper right corner. Now your article has been “linked” or moved to a folder. On the page Magazine Scheme the gray part means that it is a link. The articles under it belong to the folder that is said above. 5 This part you will get deeper when the eJournal specialists are coming for one week. No panic, if this part feels little confusing. It all is about making a reasonable structure for the magazine. It is creating and deleting the links, articles won't get deleted here. This all also enables for example teachers to share their teaching material with each others. You can take, use and read the folder somebody has made but you are not able to edit the original version. You can paste it to for example Word and edit it, and then it is your own version, but the original version always belongs to the one who has made it. The symbol of the shared folder is a folder with a little globe. How to make a shared folder? At first go to the folder that you want to share. Then click Create new link. You get a box Create link. On the target row choose the symbol of the folder with a little globe. There you get to the folder that has the articles/(folders?) that other editors have shared. Choose one folder by clicking ok. Then save it again and you got the folder under the folder you wanted to. If you want to delete a link you cross the little empty box in front of the title and then click Delete. The program still makes sure that you want to delete the link. If you are sure, click yes. If you want to create a new link, you make it either to article, to your own folder, to the shared folder or to the external source. (In PedaNet there were no possibilities for sharing the folders or making this kind of structures.) MAGAZINE SETTINGS: The chief editor can edit the title and description of the magazine. She/he can choose the language and the access mode (public, private, disabled). The chief editor can choose the options. She/he can allow the article rating and comments giving and decide if she/he wants to display date and author below each article. She/he also can disable the Information page. The chief editor can define also the appearance customization. She/he can choose the magazine logo, which now is the globe. That takes you to the front page. The chief editor can choose the style for the magazine by clicking Show. The chosen style will then exist in each page. There she/he can define the colors and background image for the magazine. The chief editor can define the front page properties by clicking Show. She/he can choose a certain article to the welcoming page or let it be automatic or to have nothing in the first page. Clicking the little picture in the welcome article line after the box you get a box where you choose another published article to the front page. The chief editor can also define the informative sections of the front page. That means that she/he can choose to have in the front pages things like 3 most read articles, 3 newest articles, 3 best rated articles, magazine content, about owner, magazine rating and the magazine numbers. Show information page properties enables you to define the information page. There is also possible to choose a welcoming article or let it be automatic or to have no welcoming article. There you also can choose 3 most read articles, 3 newest articles, 3 best rated articles, about owner, magazine rating and magazine numbers to the information page. 6 HELP ME: You will find instructions here if there are any problems. In South Africa eJournal will also have an offline version. You can create the articles offline, but in order for others to see them, you have to move the articles into the eJournal while online. Always remember to save! Always remember to logout when you finish your session online! THE OFFLINE VERSION: The offline tool enables you to create articles offline. Anyway you need to link pictures and other links online in the real eJournal. You can create a new article either from the files or then simply from clicking the image of an article. You can also edit the article you already have started before and saved it on C:/, D:/ or a diskette. You click Open an existing article from the image next to Create new article or from the File. You can open only the file there that you have made with the eJournal Offline tool. You save the article from File or clicking the third image on the row. First time you save it you should get to File and Save as. There you give the name to the article. It works like a normal saving for example in Words or WordPerfect. It gets saved to the hardware of your computer and later you can edit it further. First you create a new article. Clicking to create it you get the same box where you are supposed to write the name and a short description of an article, like you did in the normal version. Then click ok. When you want to add a new header section click the symbol T. Then you get the similar box you got in online version. You give the name of the title, the size, the color, the style and define the line under the header. Color setting is even more advantaged here. It works exactly the same like in online version. In the screen you can see all the time the contents of the page. Next to T you can add new paragraph section. You get a box where you can write your text and choose the size, color and the amount of columns. Then click ok and you get a paragraph section to the screen. As you can see, you can move the sections already here up and down in the page. Next symbol lets you add a new table section. You get a box where you can edit the size of a table. To update the new definitions for the table you click Update. That enables you to see the table 7 immediately in the right size. You can choose also the borders and highlights by crossing the little empty boxes. Type in the text you want into the table and click ok. You get a table section to the screen. The last symbol enables you to add a new link section. You get a box where you should type the title, a short description and the target of a link (its address). You can add more links here by clicking Add link. If you want to remove a link click Remove link. Here you also can define the size and color and choose if you want the program to show the icon before the links. Then click ok and you get a link section on your screen. All of these work same way as in online version. It is very easy! It is important that you remember to save the article! Next symbol on the right side enables you to edit the article properties, edit a title and description. The last symbol before help shows the preview of the article. There you see how it really looks on the magazine page. Of course it still is without the pictures and the last shaping. Help symbol will offer help in the future. As you can see, you can edit, delete or move a section. GOING BACK TO ONLINE First go Article editing and click there Upload article. You can browse the article file of your computer. Find the article you want to upload and what you have made with the offline tool and open it. Upload it. (The articles you maybe have written with Word or WP you should upload to Media library.) Here you can upload only the articles what you have made with the offline tool. Now the article is in Unpublished articles and the chief editor can publish it normally.
