Outlook Express 6 as an IMAP client
for connecting to the University of

Introduction
from within the University. Outlook 2002 can also be used from outside the University as
an IMAP client. This gives users access to both new and stored e-mails and to public
folders on the server but not to calendars. Outlook Express can also be used to connect
to the Exchange server from home via the IMAP protocol but its use is not recommended.
This document has been produced for the benefit of those staff who work from home but
who for some reason do not want to use Outlook.
ISS strongly advises against the use of Outlook Express as an email client. Outlook
Express is a totally different program to Outlook and doesn’t have the relatively advanced
email security features that Outlook possesses. It is frequently targeted by writers of
trojans and viruses because (a) it can be used to propagate viruses to everyone in the
user’s address book and (b) it is so tempting to just double-click on any attachment that
may be sent to you. Please ensure that if you do chose to use Outlook Express that you
have the options set at indicated in Step 11 below. Unfortunately setting these options
means that you won’t easily be able to access any Word documents sent as attachments
to an email. To do so you would need to go into the Security Options dialogue box, turn
off the option which says “Do not allow attachments to be saved or opened that could
potentially be a virus”, extract the Word document and then turn this option back on.
Whether or not you use Outlook Express it is strongly advised that you run anti-virus
software on your PC at home and that you keep it up-to-date with the latest virus
definition file.
Configuring Outlook Express
1. Open Outlook Express
2. Select Accounts… From the Tools menu
3. Click Add, then Mail… to start the
account setup wizard.
4. Enter the name you wish to appear
on sent e-mail messages.
Click Next>
5. Enter your Leeds e-mail address.
Click Next>
6. Enter the server details. Select IMAP
from the drop-down list and enter
outlook.leeds.ac.uk as the
incoming mail server. For the
outgoing mail server, you must use
that supplied by you own Internet
Service Provider.
Click Next>.
7. Enter your ISS username and
password. Check the Remember
password box only if you are using
your own secure PC.
Click Next>.
8. Click Finish, then OK to close the Accounts dialog box.
9. If asked:
Would you like to download folders from the mail server you added?
Choose Yes.
If you are not automatically prompted to do this, you can display the dialog box below
by selecting IMAP folders… from the Tools menu.
10. Select which folders you would like
to appear in your folder view. Only
message headers from selected
folders can be downloaded.
Click OK.
11. As an added security measure, set
Outlook Express to block
attachments which may potentially
contain a virus. To do this, select
Options.. from the Tools menu and
click on the Security tab.
Ensure that “Do not allow
attachments to be saved or opened
that could potentially be a virus” is
checked.
You are now ready to use the account. Click on Send/Recv to synchronise your inbox.
