Step-by-Step Instructions for Adding Inventory Records into Chemtracker
1. Launch Netscape or Internet Explorer. 2. Go to https://chemtracker.stanford.edu/northwestern. 3. At the login page, type your username in the 'User ID' field and your password in the 'Password’ field. 4. Click the ‘Login’ button OR hit Tab, then Enter in order to reach the Search page. 5. Click on the 'Add' button on the blue menu bar in the top frame. This will take you to the Add Record screen. Valid information must be put in the fields indicated by red arrows in order to save a record. 6. Enter your PI’s name (last name – complete or partial) in the ‘Chemical Owner’ field. Hit tab. Select and accept your PI’s name from the presented list. 7. Click into the 'Department' field, and click on 'Find Values' button in the top frame. Highlight and accept the department name. 8. Click into the 'Building' field and type in part of your building name like Tech for Technological Institute or Pancoe for Pancoe-ENH Life Sciences. Highlight and accept the building name for your building from the resulting list. 9. Type in your room number in the Room field and press Tab. If it tells you there is no such room, delete the information from that field and click on the 'Find Values' button, then highlight and accept an appropriate room number from the resulting list. 10. Click on 'Save Defaults' on the blue menu bar in the top frame. This will keep all of these values filled in for future records and sessions. You can change any of these values at any time and save defaults again.
11. Click into the 'Manufacturer' field and type in part of the container’s manufacturer name. Hit Tab. Highlight and accept the manufacturer’s name from the resulting list. If the manufacturer is NOT found, please skip to Step 13. 12. Click into the ‘Product Number’ field and type in the complete product number found on the container. Omit all symbols (such as dashes, commas and periods). Hit Tab. If the chemical information is contained in Stanford’s Reference Database, the chemical name and physical state will be filled in automatically. Proceed to Step 15. If the chemical is not found, please proceed to the next step. 13. If the chemical is not found in the chemical reference database, carefully type the name of the chemical into the 'Chemical Name' field and hit Tab. 14. Type in S, L, or G in the 'Physical State' field for solid, liquid, gas and hit Tab. 15. Type in a number for the amount, like 5 or 250 and hit Tab. Do not include units of measure in this field. 16. Type in a valid unit of measure, like gal or mg and hit Tab. 17. Scroll down to the bottom and enter the CAS number in the first (of three) user-defined fields. Please include dashes in your CAS number entry. This step is only required if you are a member of the Department of Chemistry. 18. Click on the 'Add Record' button on the blue menu bar in the top frame, or if you have more than one container of exactly this item, click on the 'Add Multiple Records' button and enter the number of identical records you want to create in the resulting window.
19. When you are finished with your inventorying session, click the ‘Logout’ button in the upper right corner of the screen to logout. This protects your lab’s inventory data from unauthorized access.
