Information & Conditions

Confirmation:
A confirmation will be sent upon receipt of your exhibition agreement.


Cancellation policy:
The deadline for exhibition (availability provided) is Friday, 26 February in order
that your company advert appears in the conference documentation.

Cancellations received in writing by Monday, 1 February are entitled to a full
refund minus a 10% handling fee. Cancellations received after this date (once ALFI
has confirmed the exhibition agreement) will be subject to the full cost of exhibition
as per this agreement.

Note that no refund can be made for any access tickets included in the package.


Exhibition Booth/Stand location:
   - Please fill in the booth location form and return it to ALFI together with your
      respective exhibition agreement. Note that the floor plan may be subject to
      modifications.
   - Booths will be allocated after the payment deadline on the invoice (~ mid
      February).
   - Priority will be given to conference sponsors and ALFI members. Thereafter
      booths will be allocated according to the date of receipt of payment.
   - ALFI will make every attempt to fulfil your location requests but offers no
      guarantee.

PDF FILES
Files should be Composite PDF, CMYK color space. Files should contain one page
per PDF document.

Images: Color bitmap images, CMYK – effective resolution 300 dpi; Grayscale
bitmap images – effective resolution 300dpi; Monochrome bitmap images
(linework) – effective resolution 1200 dpi.

PDF’s that are supplied in RGB will be converted to CMYK and this may result in a
color variation. This is a standard result of RGB to CMYK conversion. Five
millimeters bleed should be included on all sides where necessary.

The original document, prior to PDF, should not contain copy-dot scans, JPEG
images, Multiple Master Fonts or Pantone colors. Crop marks should be
included and offset by 10pt. Trapping requirements regarding overprint and
knockout should be applied to the document by the originator this must be
highlighted and notification must be given to the production department.
A hard copy of the proof should be supplied which has been generated from the
PDF file. A color proof is required for color checking, all other proofs will be used for
checking content only.


COLOUR PROOFS
In order to ensure accuracy of color reproduction, we strongly recommend that
advertisers supply a color proof that is a true representation of the colors.
Cromalins or iris proofs are the preferred format. Insurance Times cannot
guarantee the accuracy of color of the printed advertisement if no proof is supplied

Booth infrastructure:

Exhibition space and structure:
    - 3m large x 2m deep
    - No separation wall between neighbouring booths
    - Some booths back on to glass windows, others onto concrete or wooden
        walls
    - There is very little space for storage
New: Double or corner booths may be available on request


Storage of Exhibitor’s material:
Unfortunately there is no store room at the new conference centre, therefore:
   - Material has to be brought or delivered on the set-up day (Monday 22
       March). If this is an issue for you, please contact us so that we can find a
       solution (e.g. delivery to your hotel).
   - Materials cannot be stored after the conference!
   - Please also note that during the conference you only have the small space
       between your actual booth and the back wall to store your material.

Internet connection/Telecommunication:
    - The entire exhibition area is covered with WIFI connection which can be
       used free of charge.
    - There are no ISDN, LAN or analogue phone lines available. Please check your
       computer connection with your IT department.
    - Mobile phones work in the exhibition area.
    - ALFI will provide an internet corner as in previous years.


Organisation of a draw:
There is a sound system with loud speakers in each of the three exhibition zones for
announcements. If you wish to organise a draw during one of the coffee breaks,
please contact the ALFI information desk on the first day of the conference and we
will coordinate this with you, announce winners etc.


Set-up:
Monday, 22 March from 14h00 to 17h00
(NOT on Monday and Tuesday morning!)


Move-out:
Wednesday, 24 March, between 17h15 and 18h30
All material has to leave that day, nothing can be stored.

REGISTRATION CONDITIONS
•	 Your	registration	is	valid	for	one	delegate	only.	
•	 CONFIRMATION AND PAYMENT:
   - An email confirmation will be sent upon receipt of registration.
   - The invoice and conference information will be sent by post.
   - Conference fees must be paid prior to the event. Full pre-payment or a credit
     card guarantee is required. See payment options on the next page.
•	 EARLY BIRD FEE:
   Is only applicable if your payment is made by 12 February 2010. After this date, the
   normal fee applies.
•	 CONFERENCE ATTENDEE LIST:
   Registrations received by Friday, 12 March 2010 will be listed on the printed
   delegates list given to all attendees.
•	 NAME CHANGES/SUBSTITUTIONS:
   o Please send a written notice to the registration office ‘Parthen’ (details below)
     by Friday, 12 March 2010 in order to have the correct name appear on the
     printed delegates list.
   o The “2-and 3-days-package-deal” is for one specific delegate only. Splitting the
     package between different persons (1 day each) will be subject to a charge of
     €200/day.
   o Part-time substitution is not possible.
•	 CANCELLATIONS:
   Must be made in writing to the registration office ‘Parthen’ (details below). If the
   cancellation is received by Friday, 12 March 2010, reimbursement of the registration
   fee, minus a €40 handling charge, will be made. For cancellations received after this
   date, or if registrants fail to attend, the full cost is due and no refund will be made.
•	 LATE REGISTRATIONS:
   Registrations made after Friday, 12 March 2010 are welcome (subject to availability),
   but will not be listed on the printed delegates list. A credit card guarantee is required
