					                                                  LMS ADMINISTRATOR USER STEPS

What would you like to do in the LMS? Click on one of the Step links below.
        Set up classes for Community or Full Service (Steps 1-18 and 27 - 32)
        Create and Enroll students in a scheduled class (Steps 9 - 18 and 27 - 32)
        Set up Authorized Provider classes (Steps 1-18 and 27 - 32)
        Enter data from a course record (Steps 1a - 17a)

Blended Learning
If you have not done so already, you must contact programadmin@usa.redcross.org when offering Blended Learning for the first time. Your
students will not be able to access the online content if you do not do this.

        Set up Blended Learning (Community or Full Service) (Steps 1-18 and 27 - 32)
        Set up Blended Learning with a class date (AP) (Steps 1-18 and 27 - 32)
        Set up Blended Learning without a set class date (AP) (Steps 19 – 29, then Steps 7a - 17a)
        Set up Blended Learning for DSHR volunteers (online portion only) (Steps 19 – 26).
        Set up Blended Learning for DSHR volunteers (online and skills session) (Steps 19 – 26, 27 - 32 and Steps 7a - 17a)



    Class Setup
    1.         If customer is part of a group or organization, Create      (REFERENCES module)
               Organization (If none already created)
                                                                           Data Entry Rules:
               −   Org IDs help make for easier searches and data entry
                                                                                Domain ID (chapter code) MUST precede organization ID
               −   Only the Chapter can create the organization ID
                                                                                ID is an abbreviation: 1st letter of each word in name OR 1st 1-6
                                                                                 letters of single word name
               * If students do not belong to larger group, skip to next        Description = company‘s full name
               step

    2.         Search for Instructor‘s student record                      (STUDENT MANAGEMENT module)
               If NOT in the database, go to next step                     Search Rules:

                                                                   First 1-3 letters ONLY for last and first names
                                                                   Use STARTS WITH from drop down box

3.    Create Student record                                     Change student password to: <last name in lower case><first initial in
                                                                lower case>

4.    Create Instructor (make student an instructor)            −   Check instructor box on student record (middle left on page)
                                                                −   System creates instructor record under Resources

5.    Add Authorizations to instructor record                   (RESOURCES module)

6.    Create Schedule Instances (class schedule)                (SCHEDULING module)
      (For Blended Learning)                                    (For Blended Learning) Options:
      - schedule instances are for 2nd part of the BL course—
                                                                −   Schedule one session per month for next 6 months
      the instructor-led skills assessment sessions
                                                                −   Increase number as enrollments increase

7.    Assign the organization ID to the schedule instance       Located on the summary tab
      If not applicable, go to next step

8.    Assign Instructor(s) to schedule instances                Can be done later if not known at this time



Creating and Enrolling Students (Prior to Scheduled Class)
9.    If working with customer in-person or on phone            SCRIPT:
      * Skip this step, if it does not apply                    ―What class/date would you like to take?‖
                                                                ―Have you taken a class with the American Red Cross before?‖
                                                                −   If YES—―Do you know your student ID?‖
                                                                −   If NO—Search by student‘s name (use search rules in next step)

10.   Search for schedule instance                               (SCHEDULING module)

11.   Under the Enrollment tab, click on ‗add one or more from
      list‘ under the ‗Add A Student‘ section

12.   SEARCH for student                                         Search Rules:
      If NOT in database, go to next step                           Enter Student ID if known, otherwise enter
                                                                    First 1-3 letters ONLY for last and first names
                                                                    Use STARTS WITH from drop down box

13.   Click on ADD NEW at top right of screen

14.   Fill in student information and click ADD                  Follow Data Entry rules:
         First and Last name (also mid-initial recommended to   −   ONLY the first initial is capitalized
          assist with identifying duplicates)
                                                                 −   NO periods or commas
         Organization ID (if part of larger group)
                                                                 −   Domain = local chapter code
         Domain
                                                                 −   Organization ID = what was created above
         Address, City, State and Zip code
                                                                 −   Enter an address to distinguish duplicate names
         Email
                                                                 −   Enter an email so that student receives email notifications

15.   Write down student ID—you will need this later

16.   Record Payment on the Payments tab (if applicable)

17.   Enter a student password (scroll to bottom);               (STUDENT MANAGEMENT module)
      Under Online Status tab, check online access checkbox      −   Search on student ID and Edit
                                                                 −   Change student password to: <last name in lower case><first
                                                                     initial in lower case>
                                                                 −   Box must be checked for student to launch the content

17a.    (For DSHR Enrollments)                                   <Domain ID><DSHR><DSHR#>
        Go to Custom Field tab, in Preferred Name field enter    example: 05503DSHR118492
        DSHR number per format at right
                                                                 **If you do not fill in this field with above code, your chapter will
                                                                 be billed a $5 online access fee

18.     (For Blended Learning)                                   −   Use sample email template, located on the Blended Learning web
                                                                     site on CrossNet
        Give and/or send the customer their student ID and
        password to begin the online content listed in their
        development plan

Blended Learning Without a Class Date
19.     If customer is part of a group or organization, Create   (REFERENCES module)

24.     Under Dev Plan, assign Blended Learning course             −   Click on ‗add one or more from list‘
                                                                   −   Component type = COURSE

        Assign Component ID = HSBLD407                             −   SEARCH
                                                                   −   Select appropriate course check box >> ADD

25.     Under Online Status tab, check online access checkbox      Box must be checked for student to launch the content

Bring to Class

        Print out the Student Online or Component Completion         −   Reports > Student Reports
        Status report
                                                                     −   Click on select one or more from list link to pull up a group of
                                                                         students by organization, component, date, etc

28.     (For Blended Learning)                                       If student has not completed content:
        Verify Student Completion of Online Content—student          −   Not allowed into the skills session, as they will slow down the class

Entering Data After Class (from Course Record)
Setup Instructors and Students

                                                              −   Enroll whole block of students at once by searching by the AP
                                                                  organization

Complete Class

15a.    Record completion status                              (ROSTER module)
                                                              Pass/Fail/Not Attended

16a.    Close Class                                           (COMPLETE CLASS module)
        (Done ONLY by Chapter)                                Enter Demographics, Instructor and FOCIS information

17a.    Print Certificates                                    (REPORTS module)
