Signup Options

1. Fill out the signup form on the usher web site at http://www.overturevolunteers.org
   and click “submit my signup choices.” Use this form whenever possible.
2. Send e-mail to: ushersignup@overturecenter.com. This is your second best option.
3. Call and leave a message: 608-258-4962. Use this only if you are unable to e-mail.
   Please remember to leave your name, the number of events you want to usher, at
   least 4 choices and your job preferences.

You are eligible for an early signup choice if you have veteran status or if you ushered
four or more events in January. Ushers with veteran status have ushered since 1995.
We keep track of this information so you do not need to check it on the form.

IMPORTANT DATES

   Signup Deadline/Form Closes: Monday, February 22 at 3:00 PM
   You must have your choices in by this time. After this time, the form is closed and
   that web page is inaccessible. If you miss the deadline, you can do an “Add Event”
   on the usher web site. “Add Event” will go live after the notification deadline.
   Selecting that page will bring up a list of the month’s shows and the number of
   ushers still needed (if any) per show.
Notification Deadline: Wednesday, February 24, 9:00 PM.
   If you have not heard from John, Diana or Mary by 9:00 PM, e-mail immediately to
   ushersignup@overturecenter.com or call the usher line at 258-4962.

                                        NOTES:

We’ve lately been hearing such wonderful responses from our customers about the
front of house staff that I hesitate to bring up a negative comment. But, in the name of
customer service, learning from mistakes and striving to be even better, I will.

A lady called the ticket office and asked to exchange her tickets because she needed
an oversized seat. There were many e-mails back and forth while the patron and our
ticket office staff discussed options, and in the end, the patrons decided she would be
most comfortable in a transfer seat with the arm rest taken out. She related that it
“killed” her to give up such good seats (row CC of the Orchestra) but she exchanged
them for a transfer seat at the end of row A in the Circle.

After the performance, she wrote an e-mail expressing her dismay at being put in a seat
just like the one in the Orchestra. She said she could not figure out how to move the
arm rest, she said she and her companion “messed with them for the longest time. We
tried everything we could think of.” She said the usher she asked did not seem to know
how to work the seat, and she was too embarrassed to push it too far. She said she was
so disappointed and could have cried.

The first thing I ask you all to do is review the transfer seats in Overture Hall, Capitol
Theater and The Playhouse. Each venue has transfer seats where the arm rest lifts off
entirely, swings up, or swings out. These seats will always be on the end of a row, and
are scattered throughout the theater. When you are assigned to seating, add this to the
list of things you check before we open, along with the nearest primary and secondary
exits, bathrooms, wheelchair locations, boxes, storage areas, etc.

Secondly, and what is most crucial to this feedback, is the embarrassment the woman
felt. It was difficult for her to ask about oversized seating and exchange great seats for
mediocre ones in order to be comfortable. When the usher she talked to did not seem to
know about transfer seats, she was too embarrassed to say, “Well, could you find
someone who knows?” Or, “I purchased a seat with a removable arm rest and this seat
is not what I was promised.” I know that if she had, the usher would have promptly
gotten help. So, please remember this incident and be sensitive. If a patron expresses a
problem but does not, as she said, “push it,” take a moment to think about whether you
should follow through anyway.

More Volunteers/More Paid Staff: In preparation for Lion King in May, and for a
2010/2011 season that promises to be chock-full of diverse programming, we are
adding new volunteers and lead staff. Here are the details:

New Volunteer Usher Training in January went very well. Thank you very much to those
who have worked with the new volunteers, guiding them as they learn to usher. As you
all may recall, ushering in the beginning can be pretty daunting, so please continue to
do what you can to welcome and guide our new volunteers.


Information Desk Training: We have scheduled new Information Desk Volunteer
training for February 25 from 6:00 PM to 8:00 PM. If you have friends or family
members that are interested in volunteering at the information desk, have them call or
e-mail to register at ushersignup@overturecenter.com or 258-4962. They do not
have to be members of the Friends organization to register, but must plan on joining, for
$30, before or at training. They can also download the donor form
(http://www.overturecenter.com/contribute/volunteer) and mail their contribution.

Hall. Popular, one time, shows like Lily Tomlin or Gladys Knight will fill up quickly. For
events in smaller venues, we need fewer ushers so those events traditionally fill-up
quickly too. With all this in mind, please be sure to give us at least 6 choices.
