Haas Alumni Office Guidelines and Best Practices for Student Club Leaders

Thank you for working so hard to provide a stellar Haas School student-led conference or special event! A great addition to Haas events are the inclusion of alumni. We in the Alumni Office would like to ensure that our Haas alumni are being taken into important consideration early in the planning stages of your events. In the interest of optimal involvement of our alumni, we would like to suggest the following checklist of items for you to follow in your events’ planning and execution.
Guidelines:
1. Alumni Participation/Trinkets/Information Table If you are seeking alumni for your event (i.e. speakers, etc.), during the “visioning/planning” stage, we encourage you to come to our office or email us to consult on who the most appropriate alumni might be, given the event and topics to be discussed. Please also consult the Haas@cal online directory (https://haasalum.berkeley.edu) as you can do easy searches for alumni by field, function, company, geographic area, etc. Please also consult with us if you need any additional support in the way of trinkets, etc. for your event. We are also often interested in having an Alumni Relations table present, if that is appropriate for your event. 2. Alumni Event Pricing: Offering Haas alumni a discount for your event (i.e. a discount off the general price) is strongly encouraged. Please consider this alumni discount when determining the cost/revenue proposal for your event and make sure to advertise this special discount on all registration forms and online announcements. 3. Event Promotion to Alumni: The alumni office is happy to help you promote your event or conference online to all alumni or any special groups of alumni you wish to target (Special Interest Groups, geographic regions, Haas website, and through the bi-weekly Haas Alumni Network newsletter- eHAN). Please contact Meg, early in your planning stage to discuss the different ways we can help get alumni to your event. 4. eHAN This Haas Alumni Network newsletter is sent to all Haas alumni who have provided their email address to the alumni office. eHAN provides information about all events at Haas, updates on Haas alumni, etc., and is a terrific tool to share information about upcoming student led events. To have your conference/event/workshop information included in the eHAN newsletter, please send all information to Meg, no less than 4 weeks prior to the event so that adequate time is available to promote the event. 5. Capturing Alumni Information: All conferences and events will need to collect degree and class year information on all alumni participants. We in the alumni office need this information to track overall alumni participation, which is a key performance indicator for us. Please make sure to send Meg your final registration list immediately after your event takes place so we can note which alumni attended. This also helps us to track the dedicated alumni who give back their Time and their Talent to Haas. 6. Recognizing Alumni who are in Attendance: It is vitally important that alumni in attendance are easily identified by other participants as Haas alumni. Please remember to highlight their alumni affiliation (degree and class year) on nametags and in any networking or registration rosters you create for distribution. 7. Haas Alumni Network Trinkets Trinkets are fun items with the Haas Alumni Network logo, provided by the Haas Alumni office that can be used as giveaways and gifts at student led conferences, events and workshops. These items can include (but are not limited to): pens, key chains, lapel pins, luggage tags, book lights, mugs, business card holders, etc. Should you need items to provide to your guests and/or speakers, please contact Meg at least 3 months prior to the event date to discuss how many items are needed and what can be provided.
BEST PRACTICES
Please utilize the following best practices at all of your workshops, conferences, events and panels when applicable.
1) INFO TABLE – Located close to the entrance with nametags for the guests, and any information needed for the event. 2) ALUMNI NAMETAGS - It is important for Haas alumni to have their degree and class year on their nametags. It makes them feel proud to be closely affiliated with the School. Please make sure this is a mandatory question on the registration form. For example, their nametags could say "Haas MBA 1993" 3) NETWORKING LIST - Have the registration form ask participants for permission to be included on a networking roster. 4) PROGRAM - It is critical that Haas alumni panelists have their degree/class year highlighted when they are listed in the program. It should be proudly noted in their listing as part of the panel description. 5) KEYNOTES/PANELISTS - The alumni office is happy to meet with student conference and event planners to plan out the keynotes and other panelists. It is always wonderful to showcase Haas alumni on the panels. Staff in the alumni Development department also have some great speaker ideas and need speaking opportunities to offer to our major donors as cultivation activities. A goal would be to marry panel needs with Developments major prospects! 6) MODERATORS – The alumni office is also happy to serve as moderators for any panel or can suggest great alumni volunteer leaders to assist as moderators. This is another great way to show our alumni in action, supporting the school and the student programs. 7) SPONSORSHIP – The alumni office would like to be a primary in-kind sponsor. We can supply you with HAN advertising and branded trinkets and similar HAN items. We ask in return that the Haas Alumni Network logo be placed in the event program and on the website.
