Development

Donor Activities

On 3.3.08, Dean Diedrichs, Terry B. and Sharon met to discuss strategies and coordination of donor activities. Terry and
his staff sometimes work directly with donors and his knowledge and experience is useful. We are actively working with
100+ donors and prospective donors in various stages of discovery, cultivation and stewardship. Specific actions were
planned for about half of all donors engaged in the Libraries. There were 12 gifts acknowledged and in-kind contribution
were submitted to gifts receiving.

Sharon met with director of annual giving at central development to discuss strategies for 2008 phonathon and other
annual giving around the Young anniversary. She completed a proposal for matching funds for phonathon gifts for the
Dean’s presentation to a donor. Preliminary “messaging” was formulated and an estimate for a brochure secured. The
phonathon will be conducted during the last week of Aug. and completed in the first two weeks of Sept. 2008. A revised
giving opportunities web page was submitted to central development to link to the on-line giving page.

At the request of her father, a plaque was designed and displayed in the Kim Stricker Room.

WTY Celebration Activities

Development staff assisted with identifying VIPs for personalized letters of invitation for the anniversary celebration,
drafting of custom letters and tracking of letters and mailings. The result was personalized letters to 205 “VIPs”
including major donors, library retirees, library building campaign volunteers, UK administrators and others who were
played significant roles. We also worked with central development to incorporate this list into our Millennium database
to insure that these people also receive an invitation as well as continued mailings to insure they are informed and
aware of the Libraries activities.

Jessica provided graphic support for the posting of logos, electronic signature, announcement to the web site, etc.
Sharon arranged feature on central development home page and Alumni Association blast email as well as providing
information, coordination and editing of other public relations and news releases. She also worked with Dean Diedrichs
and Cornett to review the text and design of the invitation and brochure. Jessica and Sharon provide support in locating
photographs and other collateral materials and Jessica shot some additional pictures for the brochure.

Sharon worked with Toni and her student Gary to find the best approach to updating the kiosk in the lobby of Young so
visitors might look up named rooms, carrels and other areas. A plan was developed and approved by Dean Diedrichs for
completion before the May 13th celebration.

Speaking Volume, Off the Shelf, Development SharePoint Site

Sharon edited press releases and created original articles for the spring edition of Speaking Volumes. As was our goal,
we continue to reduce the outside consultation and cost of the newsletter production. Speaking Volumes has been
submitted to the ALA marketing and publication competition for 2007. Jessica continues to serve as editor and produced
two volumes of Off the Shelf in this quarter. Development Sharepoint pages were developed and submitted to the Dean
for review. We will be following up with IT to make appropriate pages available for staff view.

Other activities

Job standards for the Development Assistant’s were revised to reflect permanent assignment of fiscal operations and
reception duties. The Development Officer completed the move to cubicle # 1 adjacent to Pat Wilson, including
telephone exchange, moving collateral materials and files and upgrading to Microsoft 2007.
