ACCESS POINTS CUSTOMIZATION OF BIBLIOGRAPHIC RECORDS
(Pricing Structure and Guidelines)
BACKGROUND
This document refers to requests regarding the customization of access points of
bibliographic records (subject heading, personal name, call number, etc.). This finalizes
the “Access Points Customization of Bibliographic Records” (document dated June 10,
1999) and the motion tabled and carried at the Users Advisory Group meeting of
November 26, 1999.
Library of Congress Subject Headings Changes
Pricing Structure:
$5.00 (charged whether the change is accepted or not.)
- Maximum of two (2) subject headings per college per
bibliographic record will be accepted.
- Additional $5.50 charge for the request to be rushed.
Guidelines:
A college can request an additional subject heading by completing the “Access Point
Customization Request Form”. The college requesting the change will be notified if it will
be done.
a. Subject headings will not be changed; additional subject headings may be
applied to a bibliographic record. Existing headings will not be removed.
b. Subject headings added will only be recognized Library of Congress (including
National Library of Canada and RVM) subject headings agreed by The
Bibliocentre’s cataloguers. The requesting college must make the case for the
addition, which the cataloguers will consider.
c. Subject heading additions will be dealt with by the cataloguers only at times of
low activity in The Bibliocentre, which may result in a delay of 2 - 3 months in
handling the request. (NOTE: these will not be dealt with during the months of
March, June, July and August.)
Call Number Changes
Pricing Structure:
Change to the bibliographic record:
$5.00 (charged whether the change is accepted or not.)
Must be an acceptable Library of Congress
classification number.
Change to the item record only:
$5.00 will be charged to the Non-BiblioNet users.
There will be no charge to the BiblioNet users because
they can change their own. If a Bibliocentre staff
makes the change, there will be a charge of $5.00.
Guidelines:
A college can request a change by completing the “Access Point Customization Request
Form”. The college requesting the change will incur the cost. Any other college holding
the same item will not be charged. There will be communication, suggestions and input
between the colleges affected by the change. The decision to change the Call Number
will rest with the cataloguers as to whether it is suitable or not.

a. Call numbers will only be changed to justifiable alternative Library of Congress
numbers agreed by The Bibliocentre’s cataloguers. The requesting College must
make the case for a change, which the cataloguers will consider.
b. Other colleges holding the item under consideration will be notified of the
request.
c. The integrity of the union database will always be given top consideration.
d. Call number changes will be dealt with by the cataloguers only at times of low
activity in The Bibliocentre, which may result in a delay of 2-3 months in handling
the request. (NOTE: these will not be dealt with during the months of March,
June, July and August.)
NOTE: The locally preferred call number in the item record is not a searchable access point.
However, for the purpose of inventory, the call number appearing in the item record will
appear on the inventory list. If a locally preferred call number has been used in the item
record, please note that it will NOT be altered when changes in cataloguing rules require
the bibliographic record call number to be changed.
Precautionary note:
The Bibliocentre can not guarantee that changes made to the item record call number
will be retained, in the event that The Bibliocentre should change library automated
systems or change the item record handling to the Marc Format Holding Data (MFHD)
record for the purpose of change to DRA TAOS.
Other Access Points

Notes
1. The requesting college agrees to abide by the decision of the cataloguing team even if
the decision is not in favour of the requesting college.
2. The cost for the request is $5.00 (five dollars) regardless of whether or not the request
is fulfilled in favour of the college.
3. An additional $5.50 (five dollars and fifty cents) may be paid to if the college request
is a “Rush” job.
4. The customization request will be merged into the regular work flow but at a lower
priority except for rush requests.
5. No customization requests will be considered during the months of March, June, July,
and August.
6. The colleges may expect an average return time of 2-3 months.
