Region XVI 9/11/2009 How to Print Interim Progress Reports Reports and tables to check BEFORE printing progress reports: 1. Current Cycle Averages Pulled From Grade Book (SGR1155) Grade Reporting > Reports > Grade Reporting Reports This report is for current year only. The report prints only working cycle averages from txGradebook. If Rpt Type = B or F and Course Number is blank, students in all courses with a blank or failing grade are displayed. If Rpt Type = F and Course Number is blank, only students in courses with a failing grade are displayed. If Rpt Type = Blank (All) and Course Numbers are entered, a message is displayed indicating whether to include all students in the selected courses. If you select Yes, all students in the selected courses will be displayed. If you select No, all students in the selected courses will be displayed with their other courses and grade 2. Missing Averages Report txGradebook > Reports > Missing Averages Report.... The Missing Averages Report is only available to users who log on to txGradebook with a district- or campus-level security administrative user ID. The report displays by campus the teachers who have students with no working cycle averages. If you are logged on to txGradebook with a district-level security administrative ID, you may produce the report for multiple campuses. Otherwise, you may only run the report for the campus displayed. IPRs 1 Region XVI 9/11/2009 The report is sorted by teacher and includes the total number of students who do not have averages and the teacher's course sections. To access the Missing Averages Report, select Missing Averages Report from the Reports menu. The Missing Averages Report Selection page will be displayed. Select the semester and cycle for which you wish to print the report. 3. Set Control Numbers if Report Card Print Sequence is set to Control Number If you selected to print report cards by control number for a specific period of the day, you may need to assign control numbers to the students. Grade Reporting > Utilities > Assign Control Numbers Select the way in which you want to assign control numbers. Cntrl by Period is displayed. Select Semester 1, Grade Level, and Period. Click Retrieve, and click Execute. Save. Printing Interim Progress Reports and Failing Lists: Once you are ready to run the Interim Progress Reports, your campus will need to decide who will run the reports. There are two choices of running the reports; one is the campus office can run the Interim Progress Report (SGR1160) from the RSCCC Grade Reporting Application which will pull from the txGradebook the current working average, comment codes and notes as saved by the teacher or the teachers can run the Interim Progress Reports from the txGradebook system. Before IPRs are printed teachers must insure that all working cycle averages are up to date; and IPR comments and notes have been saved in the txGradebook system. It is recommended that you: 1. Go to: RSCCC Grade Reporting > Maintenance > Grade Book Options > Campus… Select: Options tab Select: Type of Posting: Attendance IPRs 3 Region XVI 9/11/2009 2. Create a message State in the campus wide message box that the teachers can still post attendance but will be locked out of the grade screens until the office has run all of the IPR reports. This will give the office time to run all reports without teachers working in the grade screens and making any changes that would affect the reports. Remember all of these reports pull the Current Working Cycle grades, which means if any grade is added the students cycle grade will change. At this time you do not post cycle grades; therefore it is not necessary for instructors to mark grades ready to post. The 1160 IPR automatically pulls the current working cycle grade when it is generated. 3. Go to: RSCCC Grade Reporting > Reports > Grade Reporting Reports > SGR1160 Interim Progress Reports from Grade Book (Make sure you are on the SGR1160 report, there is another Interim Progress Report that is not used with the txGradebook system. The 1160 will pull the current working cycle average when you run the report.) This report is for current year only. The report prints on plain paper and can print courses and the working cycle average from txGradebook for all students, for only students with grades posted, or for students with blank or failing grades. All five comments for each course are also printed. An explanation of up to 14 different comment codes used appears after the course information. The report page breaks by student. If Std Sel (student selection) = G (Only w/Grades), only courses with a working cycle average, including 0 and I (Incomplete), will be included on the report. If Std Sel = F (Failing/Blanks), a grade of 0 will count as blank/failing, and only students with at least one blank or failing grade will be included on the report. The failing grades will be bolded also. If Address to be printed = P (Parent), the address for the guardian contact that has the lowest relationship code will be printed. If the parent address is blank or no guardian contact exists, the student address will be printed IPRs 4 Region XVI 9/11/2009 Once you select the parameters click to execute the report, the SGR1160 will print an Interim Progress Report that will include all of the student’s current courses. The report will include a parent signature line at the bottom, all comments and notes from the teacher’s grade book. 4. Run a Failing, Incomplete, or Blank Grades Report After printing the Interim Progress Reports you may want to create and run a Failing, Incomplete, or Blank grades report. For this report you will need to run the SGR1155 again, the same report you ran for blanks, but now run it for failing cycle averages. Go to: RSCCC Grade Reporting > Reports > Grade Reporting Reports.... If you select Yes, all students in the selected courses will be displayed similar to the Class Roll Report. If you select No, all students in the selected courses will be displayed with their other courses and grades similar to the Extra Curricular Report. IPRs 5 Region XVI 9/11/2009 You can print the report out to paper after clicking run preview or SAVE your documents as PDF files for future viewing. To save as pdf click file and save as… Take your time here; you want to be able to find your document once you have SAVED it. Notice the top field of the SAVE AS box, the Save in field. Within this field you will select where you want the report to be saved on your computer. Once you have selected where the report will be saved look to the File name field, give your report a title. Next in the Save as type, select PDF. PDF files can be opened by Acrobat Reader. The click save. IPRs 6 Region XVI 9/11/2009 5: Go back to: RSCCC. Reminder Grade Reporting > Maintenance > Grade Book Options > Campus… Select: Options tab Select: Type of Posting: Both Once you have completed all of the above steps, return to the Posting Type field on the Grade Book Options screen and set it to ‘Both’, instructors will be able to work with attendance and grades.
