TO: FROM: SUBJECT: DATE: Ron Carruth Bruce Briggs’ Team Office of Information Technology (OIT) Monthly Status Report May 7, 2007 Summary of Previous Month’s Accomplishments Newton Campus • Review of schedule to ensure application specific printers (receipts) are relocated & functioning. • Worked with Bellsouth on sign-off requirements for OC-3 circuit • Installed OC-3 card in router at Clarkston in preparation for new circuit • Worked with vendor and Logistical Services to have enclosed racks and possibly UPS’s delivered directly to Newton • Worked with Cisco on NAC (Network Admissions Control) configuration • Configured and tested network equipment at Lakeside • Ordered PRI circuit from Bellsouth for Newton • Planned for server deployment to support campus Collaboration Project (Phase 1 – email and calendaring) • Conducted college faculty, staff (fulltime/part-time) count confirmation for tool licensing. • Finalized focus group software selection • Selected IBM as the vendor • Began preparation of servers for Domino deployment • Ordered storage subsystem Phones in the Classroom • Determined final costs to do all classrooms (approximately 300) • Prepared for project to begin now with a completion date of July 31st Camera surveillance • Finalized first phase scope, budget, and project timeline • Finalized integration with access control system Determined final costs to do all classrooms (approximately 300) XtenderSolution (Phase I – Financial Aid and Admissions) • Project Phase completed • Lessons learned being reviewed for OIT webpage. Axiom (GA411 Application Integration Tool) • Minor issues: Two PCs in Admissions office have software application conflicts. This issue is being researched by GPC Desktop and the Axiom vendor – SSD to ensure the root cause is quickly identified. Several other PCs are functioning with no issues. Help Desk Project • Maximo tool shows promise for this project. The fields and canned reporting being reviewed in plant operation show flexibility and a great deal of process detail. Web Redesign Project • Finding the new web server is slow. Working with Infrastructure team to alleviate this issue. Stress testing has been requested. • The “new” content management system is being reviewed and training continues for the web team. This system is not in the initial deployment of the New Look and Feel. • The web content coordinator position in the department of Public Relations has not been posted. This is a critical component for the success of the upkeep of the departmental pages. This has been an important issue for the college. ARMS/Banner Integration (Campus Police) • Upgrade will be completed in early June. • Concern for the project lie in the dissatisfaction of service the vendor provides the functional department. Chief Albers is keeping OIT posted on the future of this vendor relationship. • Project estimated completion – Fall 2007. Voyager/Banner Integration (Library Services) • Coding for the automation of the Holds process is complete. • Library Services has asked for a deliberation period (until mid May 2007) to consider the need for integration with Banner A/R Raiser Edge SSN Conversion • Completed. • Awaiting confirmation by Alumni office all is tested and functioning as planned. Resource 25/Schedule 25 Project • Events schedule training has been completed for each campus representative and their backup. • Documentation and college rules regarding scheduling is being developed. • Classroom scheduling phase is on hold, awaiting organizational structure confirmation. Online Alumni Giving, Online Deposit to Access Card (UPay) • Collaborating with BoR/OiiT in the evaluation of tool UPay. • Communication with J. Graham based on request of all schools interest 5/8/07 2 Other • • • • • • • • Researched wireless communication solution for public safety at Newton Researched improvements to emergency notification systems Mobile nursing unit – researched remote wireless network connectivity options Completed project to bring all Extron units in the classrooms onto the network Worked with Bellsouth on circuit upgrade to Lakeside Started FY08 budget preparations Started migration of data off of Optika systems ARMS/Banner integration – assisted vendor with preparation work Major Plans for Coming Month Newton Campus Technology • Obtain signoff from Bellsouth and accept OC-3 circuit • Coordinate efforts with Newton project manager to install racks and network equipment in data closets • Move necessary network equipment from Rockdale to Newton on the move weekend (May 25th) • Bring new building online to the GPC network • Install all necessary end-user equipment (phones, system printers, etc.) • Work with Bellsouth and ITC Deltacom on phone number port • Final run through of access and hardware for student processing planned for late May. Maximo - Plant Operations System • Final inventory cleanup; import of inventory to new system • Final asset management cleanup; import of assets to new system • Building operation rules that must be adhered to by call campus locations to ensure the maximum benefits of this system remain on track • Detail GL accounts will be built to capture more detail for accounting purposes. Worked with M. Gerspacher and S. Hardy. • Continued training and process testing • Review Asset Management module for IT assets tracking. Collaboration Project (Phase 1 – email and calendaring) • Reviewing the process duplication regarding the reservation of meeting rooms with Resource25. Planning a resolution meeting with B. Harris to ensure clear delineation of jurisdiction occurs between the tools. • Install and configure new storage subsystem • Install and configure servers • Attend system administration training • Migrate existing mail to new system • Go live with new system May 21st Camera Surveillance • Go live with Newton campus • Work with plant operations, public safety, and access control administration to finalize requirements and timelines • Kick off project and begin ordering equipment 5/8/07 3 IT Security • Create IT security policy • Network Admission Control (NAC) environment – continue testing and develop policy, procedures, and rollout plan • Coordinate MARS (Monitoring Alerting and Reporting Server) demonstration with Cisco Phones in the Classroom • Order equipment for all campuses • Work with plant operations to finalize requirements and timelines • Begin deployment Online Alumni Giving, Online Deposit to Access Card (UPay) • Awaiting BoR/OiiT Purchase of software – verified the desired tool is being considered/negotiated Other • • • • • • • • • • • • • • • • • • Preparation for PeopleSoft Financials 8.9 Upgrade Optika System (Human Resources) - holds old data records – data images are being capture to alleviate this antiquated, out of service system data to a more stable and appropriate environment. This data is accessed infrequently by HR or Payroll teams. These files can not be disregarded, as they are in a protected group of data that must be retained for 7-50 years, based on various forms data for two groups. Online Directory/Department – College Hierarchy awaiting input on college structure (key component) Business Analysis: HR Recruitment Workforce needs (PeopleAdmin). Visiting Kennesaw State along with HR to review tool functionality and fit for GPC Work on solution to migrate old MARS transcripts into Extender Research identity management and single sign-on solutions Prepare Lakeside and Clarkston networks for Lakeside circuit upgrade Gain approval for server consolidation project and kickoff study Work with plant operations to plan for data center build-out and relocation Continue gathering data for fire alarm phone circuits Kick off change control Continue to prepare for budget process Continue separating the SIS development and test environments from the production environment Work with plant operations on parking deck project to determine network, surveillance camera, and phone requirements Start network preparation for public safety move Continue implementing monitoring, alerting, and logging system(s) Review firewall filters for further lockdown Research battery replacements for network UPS devices 5/8/07 4
