					Top Concerns regarding HRMS Upgrade

(Dates after answer indicate most current update.)

    1. I have a concern with BI training and materials being available so that we are ready for
       the June 2 implementation.

        Information on BI workshops and production lab availability was presented at the May 14
        meeting. On-line training materials are currently being updated. Tentative date for posting to
        web site is end of May. (5/15/08)

    2. I received conflicting information about who was generating the passwords from DIS
       and DOP.

        DOP is generating the Passwords. The passwords will be ready for pick up on May 19 .
        Pick up information was distributed at the May 14 meeting. (5/15/08)

    3. When will we be told that June 2         is a “go”?

        We should have an answer after the User Acceptance Testing (UAT) has been completed.

    4. The FAQ document says that the forgotten password feature will not be available June
       2, but DOP will “consider” it in the future. Can you explain that?

        We will implement this when E-Recruiting goes through the Portal, but not by June 2.

    5. Will we have to have new passwords for E-Recruiting when E-Recruiting is integrated
       into the portal for state employees?

        This is still being determined but the intention is not to not change E-Recruiting passwords for
        external candidates. For state employees, the plan is to use access E-Recruiting through the
        portal with their portal username and password. (5/15/08)

    6. Regarding separate user ids and passwords for security administrators and
        employees. How will this be resolved? What is the plan for minimizing the number of
        user accounts and passwords?

   7. Will the Security Administrators Handbook be updated?

       Yes, we are working on this and will have them available as soon as possible before June 2.

   8. Will we need to reestablish our Business Intelligence Power Users roles in BI on June
      2?

       No. They will be there, roles assigned, on June 2 with their new passwords. (5/15/08)

   9. Are you accepting feedback from agencies about their comfort level with the stability
       of new applications, e.g., the SAP GUI situation, or anything we have to put on
       desktops?

       We encourage and appreciate any feedback from agencies, and you can always e-mail us
       with your concerns. (5/15/08)

   10. What impact would it have if, instead of June 2, you waited until July when E-
       Recruiting can be done at the same time?

       Launching the portal on June 2        enables agencies expedite the upgrade to Internet Explorer
                                                    nd
       7 (part of Vista). Launching BI on June 2         allows for the maximum amount of preparation
       time for power users to re-build queries in preparation for the next HR Management report.
       These two factors provide enough incentive to launch BI and the portal ahead of the launch
       of E-Recruiting through the portal.

   11. There’s a lot of work ahead for both DOP and agencies. I’m hearing a lot of
       “unknowns” today, and go-live is only two weeks away. I am concerned about the

       push to make the June 2 date.

       Most of the “unknowns” are not related to the 65,000 users, but rather the BI users (which is
       approximately 1,200 users). Also, on June 2 when we go-live, most employees probably
       won’t access ESS until the June 10 pay date, which may give us some additional time to
       address issues with the Portal. (5/15/08)

   12. With the continuing unknowns related to the Portal, if payroll processors continue to
       have issues getting into the system, then that is a risk to payday. What is your
       contingency plan for that?

       The launch of the new portal does impact payroll processing for agencies that are not on the
       SGN. These agencies use the HTML GUI to enter time and perform other payroll processes.
       To minimize the risk, DOP is conducting thorough user acceptance testing on the portal,
       including the HTML GUI application. If there is any reason to believe that the HTML GUI
       application is not completely stable, the launch of the portal will be delayed until the problems
       can be remedied. (5/15/08)
