Logging In to Encompass
To log in to Encompass, type your Login Name and Password. If Encompass is installed on a network, you will also
enter the name of the Encompass server.




Logging In
You will need to install encompass on your computer from the disk provided by your system
administrator. Your system administrator will create a User Profile for you that includes a Login
Name and Password. When working with loans, log in using your assigned Login Name.


To Log In to Encompass

1. Double-click the Encompass icon on your desktop.

2. On the User Login window, enter the following:

        • Login Name: [assigned by your administrator]

        • Password: [your assigned password]

        • Click Networked.

The first time you log in to the Networked mode, type the name of the Encompass server provided by your system
administrator.

3. Click OK.

Identity Definitions
Your system administrator assigns a identity to each user in their User Profile. The five basic identities are described
below. It is also possible to assign a identity to a user who performs multiple roles, such as Broker/Loan Officer.

• Broker - Manages the business.

• Loan Officer (LO) - Develops business and initiates loans.

• Processor (LP) - Coordinates people and information to construct and finalize loans.

• Closer (CL) - Manages the closing process.

• Administrator - Administers Encompass.


Views and Access by Indentity
The view of the Pipeline and access to many Encompass tools and features are controlled by your assigned
identity.


Encompass Navigation
Navigation between Encompass functions, tools, and forms is simple and intuitive. To access tools and functions,
click a tab at the top of the window. Each window contains buttons, file menus, and shortcut keys for the available
tasks. The menus and shortcut keys dynamically change depending on the requirements of the current screen.

Buttons
Four buttons appear on the top-right of every Encompass window: Loan Mailbox, Calculator, Log Out, and Help.
Additional task specific buttons appear within each tool and form.




Ø   Opens the user’s mailbox to retrieve loan files transferred from other Encompass users.
Ø   Opens the Calculator tool.
Ø   Logs out of Encompass.
Ø   Opens the online help system with help for the current window.

Icons
The following standard icons are used throughout Encompass.

Alert - Appears on the Pipeline, indicating that one or more alerts exist for the loan.

Email Conversation Log - Opens a Conversation Log worksheet and (Microsoft Outlook) for
the contact associated with the Email icon.

Phone Conversation Log - Opens a Conversation Log worksheet for the contact associated
with the Phone icon.

Rolodex - Opens the Rolodex to select and update business contacts.

Rate Lock - Indicates the current rate lock status of a loan: no lock,
locked, or expired lock.

Calculation Lock - Used on forms to indicate the associated calculated
field is unlocked (the value is recalculated if related fields are changed),
or locked (the value is not recalculated).

Go To Field

The Go To Field option locates a field based on the field ID:

1. With a loan open on the Loan Workspace, press Ctrl+G.

2. Type a field ID and click Find. When the field is found, the form opens with the field
highlighted.

The Encompass Pipeline
When you log in to Encompass, your Pipeline opens. The Pipeline is the starting point for viewing key information
and initiating tasks for your loans.The figure below depicts the main areas of the Pipeline. The loans displayed on
your Pipeline are those that you can open and modify (beige background), or open and view, but not update (gray
background).

Content of the Loan Summaries
Each loan on the Pipeline contains summarized loan information including the borrower name, loan number, the
current and next milestone, rate lock, and alert
information.

About Alerts
An alert is a notification that indicates an action is pending or past due. Alert information displays on the Pipeline
and, depending on the type of alert, in the Log and on worksheets. There are five types of alerts: rate lock, milestone,
document tracking, conversation log, and general log. To view details of the alerts associated with a loan, move your
mouse pointer over the Alert icon on your Pipeline. The alert remains in effect until the required action is taken.

Pipeline Activities
The activities you can carry out from the Pipeline are listed below:

The Loan Workspace
When you originate or open an existing loan, the Loan Workspace opens. The workspace is
the focal point for tracking, managing, and carrying out loan activities. The workspace has three
components: the Log, Action Panel, and Work Area. Each component is described below. You
will learn to use the features of the Loan Workspace in Unit 4.

Action Panel
The Action Panel contains 3 tabs:
   • Forms - Click this tab to select from the list of loan forms
   • Tools - Click this tab to select from the list of available tools.
   • Prequalification and Loan Comparison Services - Click this tab to order services (such as credit or appraisals)
      through ePASS.

The Loan Log
The Log communicates historical, current, and future loan-related activities and events. Log entries show completed
and future milestones, email and phone communications, reminders of required actions (Alerts), document tracking
details and general notations.

Types of Log Entries
There are seven types of entries made to the Log: Milestone, Conversation Log, Document Tracking, General Log
Entries, Status Online Updates, Document Requested, and Fax Received. For the purposes of this course, we will
talk about the first four (Status Online Updates, Document Requested, and Fax Received pertain to Licensed Add-
Ons. When you add an entry, a worksheet opens in the Work Area. The worksheet contains detailed information
corresponding to the type of entry selected.

Milestone Entries
Loan processing tasks are divided into stages by milestones. As tasks are completed at a stage, a milestone is
reached, and work begins toward the next milestone. The Log tracks all completed and future milestones.

Conversation Log Entries
The Conversation Log tracks interactions with the borrower, service providers, and other contacts related to the
loan.

Document Tracking Entries
Document Tracking entries are added to and updated in the Log when a document task is completed (or revoked).

General Log Entries
Use the General Log Entry to add entries and reminders to the Log. You can also create alerts for the loan processor,
loan officer, and/or loan closer.

Work Area
The Work Area displays worksheets, forms, and tools based on selections made in the Log or Action Panel. Use the
Work Area to enter data and update loan information.

About Loan Templates
When starting a loan, you then have a choice of applying a predefined template or default template, or not using a
template. Applying a template saves time by populating the various loan forms with predefined closing costs, loan
terms, etc. by state




Components of a Loan Template
A loan template is a set of loan data and documents for frequently-used loan scenarios. Each loan template is comprised
of one to five components that are separately maintained. The components are used in different combinations to
create each loan template.

Borrower Summary
 You will now be in the Borrower Summary. The information you enter on the Borrower Summary is applied to other
forms (such as the 1003) as appropriate. Borrower, property, and loan information is also sent when you order a credit
report and other services.

the Borrower Summary form and other forms described in this procedure.

If your system administrator has created (or imported) loan program and closing cost templates, you can click the Loan
Program and Closing Cost buttons within the Borrower Summary form to select and apply appropriate templates for
your state. You have two options for applying the data to the loan.




    • Append - If you select the Append check box, data is only applied if the field in the template has a value. Data
      from the template overrides data in the loan.

    • Override - If the Append check box is not selected, all data from the template is applied to the loan. This
      includes overriding the data in the loan with data and blank values from the template.


Ordering a Credit Report

After entering the required borrower information, you can order a credit report
directly from the Services tab or the Borrower Summary form.

To Order Credit
   1. On the Borrower Summary form, click the Order Credit button. Or, on the Services tab in the Action Panel,
      click the Order Credit Report button.

    2. On the Credit Report window, click one of your ePASS credit providers, and then click Submit.

3. On the provider’s request window, type the Username and Password assigned to you by the credit provider
assigned by your system administrator.

1. Enter additional information as required by the provider, and then click Finish.

Viewing the Credit Report
Within approximately 30 seconds the credit report is returned. You can access and view the report directly from the
Borrower Summary form.

To View the Credit Report

1. On the Borrower Summary form, click the View Credit button.

2. In the View Document window, click the credit report, and then click View. The credit report displays.

3. Click the Close button in the upper right corner to return to the Borrower Summary.

2. Click the Credit Report received entry in the Log. An entry is added to the loan Log, and the corresponding
   worksheet contains order and receipt information.

3. To return to the Borrower Summary form, click Borrower Summary from the list of forms on the Forms tab.

Importing Liabilities
You can import liabilities from the credit report into Encompass using the Import

Liabilities button on the Borrower Summary form.

2. Click the liabilities that you want to import, and then click Import.

1003 Loan Application
Enter additional borrower, loan, and transaction information on Pages 1, 2, and 3
of the 1003 application form.

Truth-In-Lending Disclosure (REGZ-TIL)
The Truth-In-Lending (TIL) disclosure provides the borrower with an overall view of the terms of the loan and its costs
over time. Enter additional disclosures and costs not already transferred from entries on the
Borrower Summary and 1003 forms.

Good Faith Estimate (GFE Itemized)
The Good Faith Estimate (GFE) is the written estimate of closing costs and other
charges that must be satisfied before the loan closes. Enter additional disclosures and costs not already transferred
from entries on forms or applied from selected templates. The GFE contains options for designation of the pay or of
each item as well as a Closing Costs Summary section.

Once you have completed the preliminary loan forms, you can print forms for the borrower, or send the forms using
the Secure Form Transfer tool.

Printing Forms
Use the Print feature to preview and print selected forms. You can:
• Print individual forms or groups of forms
• Print forms with borrower data, field IDs, or blank

To Print Forms
1. Open a loan and click the Print button.
2. Click the forms to print.
3. Click Print to send the forms directly to a selected printer.

Sending Forms Using the Secure Form Transfer Tool
Use the Secure Form Transfer tool to securely send loan forms to the borrower and other appropriate individuals.
• Transferred forms are converted to .pdf format and an e-mail is sent to the designated recipient(s).
• The e-mail contains instructions for accessing the forms through a secure channel.
• The recipient(s) must know the last four digits of the borrower’s social security number to retrieve the forms.

To Send Forms Using Secure Form Transfer
1. Open a loan, click the Tools tab in the Action Panel, and then click Secure Form Transfer.

2. In the Send window, click to select the form or forms and click Send.

3. In the Secure Form Transfer window, type sending information (email addresses, subject, and message) and then
click Send Forms.

4. The recipient opens the e-mail, clicks the link, and follows the instructions to
view the forms.

Peoples Mortgage has agreed to reduce its
underwriting fees by $300.00. The $300.00 reduction
in underwriting fees will be replaced by a $300.00
TLG Administrative fee. This $300 fee must be put
on the broker fee sheet as a separate line item in
order for the branch to receive a credit of $150.
You may not originate loans in California, Colorado, Indiana,
Maryland, Mississippi, Massachusetts, Nevada, New York, Ohio,

prior to ordering closing documents.
Make sure your TLG processor or Contract processor closes the
loan correctly (lender or broker). Remind them to include the TLG
administrative fee on the closing fee instructions (if appropriate)
when ordering documents for closing.

$150 for using a preferred lender and $175 for using a preferred title
company.
