GUIDELINES AND INSTRUCTIONS FOR AUTHORS AND SPEAKERS OF
37th International IGIP Symposium 2008
The deadline for submission of full papers to symposium2008@igip.madi.ru is 30 April 2008. At least one of the authors of each paper has to be registered and paid the registration fee by 30 April 2008, in order to have the paper published in the Proceedings of the 37th International IGIP Symposium 2008. Authors should also send to the conference organisers a signed Transfer of Copyright Agreement. Your full paper will be available on CD-ROM and the abstract in printed format, providing the full paper has been received by the organisers on or before 30 April 2008. Papers received after that date may not be included. Papers which appear in the Proceedings have undergone the review process by two members of the Programme Committee for IGIP2008. Full papers to be included in the Proceedings. shall be of sufficient quality, not requiring corrections by the organisers, and prepared according to the instructions described in section 1. Basic instructions on how to guarantee readable visual presentation material for oral presentations are included in section 2. Instructions for poster presentations are found in section 3. After section 3 a detailed instruction as an Annex follows for the preparation and finalisation of the full paper. This latter document entitled as 'Paper title for IGIP2008 bold 16 pt and centred' describe, the layout of papers to be submitted to the Proceedings. Papers should consist of original material that has not been published before. 1. FULL PAPERS PREPARATION The full texts of the papers presented at the Symposium will be published in the Proceedings (CD-ROM). It is expected that after submission, your paper can be published directly from the file you send without any further proof-reading. Therefore it is advisable for you to print a hard copy of your final version and read it carefully. The PDF format will be the final format under which the papers will appear in the Proceedings but you are strongly asked to submit your paper also as a *.doc or *.rtf document. The paper size is A4 (210 x 297 mm). Left margin shall be 30 mm, top, bottom and right margins shall all be 25 mm, meaning that no text or diagram may extend less than 25 mm from the paper edges. The paper shall not exceed 10 pages (A4) including references and CVs. Papers must be written in English using MS Word. Document format should preferably be *.rtf. If this is not possible, *.doc form. The text shall be typed in letters Times Roman or Times New Roman. Do not place any header or footer and do not number the pages. 2. ORAL PRESENTATION For oral presentation of papers the time for the lecture may not exceed 15 minutes. After every lecture there is about five minutes time for questions and answers. When a
paper is presented within a workshop other times may be applicable. Invited speakers will have a timeframe of typically 30 minutes. PC with Power-Point and projector are available in each presentation rooms. Please bring a CD-ROM disk or Memory Stick with the viewgraphs in Microsoft Power Point format. If other technical equipment is required please contact the organisers on the symposium2008@igip.madi.ru e-mail address in advance. The Programme Committee requires that all visual presentation material is clearly visible and readable from all parts of the conference hall. If in doubt about the readability of your slides, please try them out on a screen width of about 2 m and viewing distance of 20 m (or scaled down as appropriate). If this proves acceptable, you shall be confident to have a good visual presentation at the Symposium. Speakers are kindly invited to report to the session chairperson well in advance (15 minutes before the session starts) to provide the paper on disk to the technician. It is recommended to e-mail your well-designed *.pps contribution to the symposium2008@igip.madi.ru on or before 1 September 2008 to complete all presentations within each session in advance. 3. POSTER (DIALOGUE SESSION) PRESENTATION AND GUIDELINES The full texts of the papers presented at the poster (dialogue) sessions will be published in the Proceedings (CD-ROM). Typescripts shall be prepared according to instructions given in section 1. The maximum size of your poster should be A0 size, which is 840 mm width and 1188 mm height. Your poster number will be displayed with large printed figures in the upper corner of the poster board. Your poster material should be attached on the surface by cello tape provided by the meeting staff. Velcro fastening will not be possible. Generally one board (1 side) is available for each poster. Some poster boards will be attached next to each other. Since the aim of a poster presentation is to stimulate questions and promote discussions, it should give a general impression of the work that has been performed and the results achieved, without too many details. That should be left for the paper that will appear in the Proceedings. Text should be easily readable from a distance of 1 - 2 m, and headings from a distance of 3 - 4 m. An easily readable font should be used and the following character sizes are recommended: for titles 24 mm high, for sub-titles 18 mm high, and for text and figure captions 16 mm high. Drawings and graphs should be kept as simple as possible and should be easily legible at a distance of at least 2 m. Detailed tables and small photographs should be avoided. 4. WORKSHOP PRESENTATION Workshop presentations would be implemented in a similar way as found in section 2. Further information will be received from the chairpersons.
5. SUBMISSION OF FINAL VERSIONS Please note to study carefully the “AGREEMENT FOR PUBLICATION OF CONTRIBUTIONS PRESENTED DURING THE 37TH INTERNATIONAL IGIP SYMPOSIUM 2008” (State Technical University MADI). By submitting your abstract for contribution to IGIP2008 you as author also must accept these conditions by sending the appropriate format duly filled as Transfer of copyright agreement either by e-mail, mail or fax.

The abstract should consist of a concise summary of the material discussed in the paper below. INTRODUCTION [Heading 1, bold CAPS letters 12pt, left aligned and numbered] [Skip 1 12 pt line between headings and the following text] All papers should be organised with the following sections in this order: Title, Author(s), Affiliations(s), Abstract, Keywords, Introduction, Main text, Conclusion, Acknowledgements (if appropriate), References, and Curriculum Vitae (CVs) of the author(s). The author‟s affiliation should include institution and country, plus e-mail address of the corresponding author. If authors belong to more than one institution, number marks shall be used to establish the correspondence. The main body of the paper should at least consist of sections Introduction, “Main text” and Conclusion. Headings shall be boldface, for details see Table 1. The body text is 12pt with single spacing and full width alignment. Paragraphs are separated by 6 points and with no indentation. Use a logical way of discrimination between headings, such as suggested here. Thus, decades should be referred to as follows: 'The 1980s [not the 1980's] saw...'. Possessives associated with
acronyms (e.g. APU), should be written as follows: 'The APU's findings that...' but note that the plural is 'APUs'. All acronyms for national agencies, examinations, etc., should be spelt out the first time they are introduced in text or references. Thereafter the acronym can be used if appropriate, e.g. 'The work of the Assessment of Performance Unit (APU) in the early 1980s...' and subsequently, 'The APU studies of achievement...'. Common abbreviations, acronyms such as EU, SEFI or IGIP, do not have to be defined. Use SI units. Numbers in text should take the following forms: 300, 3 000, 30 000 (not 30,000). Spell out numbers under 10 unless used with a unit of measure, e.g. nine students but 9 mm. For decimals, use a zero before decimal points: '0.05'. „%' and not „per cent' should be used. Single quotation marks rather than double are used unless the 'quotation is "within" another'. Punctuation of common abbreviations should adhere to the following conventions: 'e.g. ', 'i.e. ', 'cf. '. Authors are asked to take account of the diverse audience at the Symposium. Please avoid the use of terms that might be meaningful only to a local/national audience, rather to provide a clear explanation where this is unavoidable.
1.2 Diagrams, figures and tables Diagrams, figures and tables shall be placed where appropriate in the text if this can be achieved with sufficient readability, otherwise at the end of the paper. In both cases, references to the diagrams etc. in the text must be clear. Diagrams, figures and tables should be centred, with one blank line above and below each, numbered consecutively throughout the text, and with a caption underneath it. Do not use coloured photographs and figures. 2. EQUATIONS Equations should be typed within the text, centred, and should be numbered consecutively throughout the text. For equation symbols use the font Symbol (12pt). They should be referred to in the text as Equation (n). Their numbers should be typed in parentheses, justified right. Reliability of scores = 2 (reliability for ½ test) + 1 (1)
3. SUBMISSION OF PAPERS Rename your file with abstract reference number_family name of corresponding author (e.g. 789_Schmidt.rtf), and save it as a doc or rtf file. Send the completed paper as an attached file by e-mail to: symposium2008@igip.madi.ru by 30 April 2008 at the latest. After submission of your paper, you will receive confirmation by e-mail within 14 days. If no confirmation is received within 14 days, please get in contact with us at: symposium2008@igip.madi.ru
4. CONCLUSIONS The full texts of the papers presented at the conference will be published in the the Proceedings of the 37th International IGIP Symposium 2008 (CD-ROM). Expect that after submission, your paper is published directly from the file you send without any further proof-reading. Therefore it is advisable to print a hard copy of your final version and read it carefully. The PDF format will be the final format under which the papers will appear in the Proceedings and you are strongly advised to submit your paper as an RTF or DOC document. The paper size is A4 (210 x 297 mm). Left margin shall be 30 mm, top, bottom and right margins shall all be 25 mm, meaning that no text or diagram may extend less than 25 mm from the paper edges. The paper shall not exceed 10 pages (A4) including references and CVs. The text shall be typed preferably in letters Times, Times Roman or Times New Roman. Do not place any header or footer and do not number the pages. Use italic print to emphasise words; bold type and underlining should be avoided in the running text. Papers must be written in English using MS Word and presented in English.
Acknowledgement [bold letters 12pt and left aligned] This is an optional section. The acknowledgement for funding organisations etc. should be placed in this separate section after the main text. Financial support for work reported or a grant under which a study was made should be noted in the Acknowledgements. The text should be 12pt with single spacing and full width alignment. All references should be cited in the text, using square brackets such as [1]. The list of references should be given in a separate paragraph in 12pt. All references shall be sufficiently detailed and complete to allow anyone desiring to retrieve referenced documents to succeed. Papers that have not been published, even if they have been submitted for publication, should be cited as "unpublished" [2]. Papers that have been accepted for publication should be cited as "in press" [3]. Capitalise only the first word in a paper title, except for the proper nouns and element symbols.
