									Creating a Good Project Scope Statement
What makes a good scope statement? Just ask yourself:
1. What is/are the project deliverable(s)? 2. Based upon the project life-cycle, which processes will be involved in this project? (E.g. analysis, design, development, implementation, evaluation. Note that implementation may also include integration components like testing and training). 3. Who is the initiator or sponsor of this project? 4. What is the major functionality of the product or service that will be an outcome of this project? 5. What is the timeframe of the project? 6. What, if any, are the primary constraining factors (e.g. fixed delivery deadline, fixed budget, fixed resources, etc.)? 7. What, if anything, WILL NOT be involved in this project? (E.g. …build the product/service but will not develop or deliver end-user training)? 8. How, with what frequency and with whom will project status be delivered? Of course, the key is in the details but, if your scope statement can, at least, answer all of these questions, you have the makings of a good statement that will go a long way toward keeping the project out of the “the scope creep” zone.

Sample project scope statements:
SAMPLE #1 Poor—warning of “scope creep” The NCED Brick Upgrade project will replace the bricks on the building. Ideally, the project should be completed within six months. Acceptable The NCED Brick Upgrade project will consist of multiple phases in which work strategies will be determined. The project, ideally to be completed within the shortest time possible, will determine estimates for acceptable replacement bricks. Removal, relocation, and installation options will be reviewed and a report presented to the NCED Brick Upgrade committee for approval. Work on the replacement project will then begin. Ideally, the project should be completed within six months. Good scope statement The NCED Brick Upgrade project will consist of multiple phases in which work strategies will be determined for replacing the bricks on the main campus buildings. The project will use current structural materials guidelines to evaluate the condition of the bricks currently on the building and determine various grades and estimates for acceptable replacement bricks appropriate for the weather conditions in this area of Oklahoma. Removal, relocation, and installation options will be reviewed for the most cost- and time-effective options that will be 1

least disruptive to on-going classes. Choices of all options will be decided by the NCED Brick Upgrade committee within three weeks of the initial review report. Progress status reports will be presented to the committee on a bi-weekly basis throughout the project. Ideally, the project should be completed within six months. Project status will be delivered in writing to project sponsors weekly. SAMPLE #2 Incomplete: Create a corporate identity package for Megalith Records. Acceptable: Create a comprehensive corporate identity package, press kit, and web site for Megalith Records. Work should be completed within six months of contract signing. Good: Design and build a comprehensive corporate identity package and press kit for Megalith Records. Project team will complete market analysis to determine most profitable design for corporate identity. Identity will include a brand logo to be used on all paper publications, on web site and all future album releases. Press kit will consist of logo-branded business cards, letterhead and album release dates with band photos. Project team will design logo-branded web site to include information on all Megalith artists, upcoming album release dates, tour dates and information for bands on signing with Megalith. Work should be completed within six months of contract signing. Project status will be delivered via face-to-face meetings and in writing on the first Thursday of each month. SAMPLE #3 Incomplete: Install new point-of-sale hardware and software at ABC Company. Acceptable: The purpose of this project is to replace the point-of-sale (POS) hardware and software at ABC Company. This project will involve the purchase of new PC hardware from a select vendor, the purchase of POS software from XYZ Company, removal and disposal of all old POS hardware at ABC Company and the installation of the new hardware. This project must be complete by October to beat the holiday shopping season. Good: The purpose of this project is to replace the point-of-sale (POS) hardware and software at ABC Company. This project will involve the purchase of new PC hardware from a select vendor, the purchase of POS software from XYZ Company, removal and disposal of all old POS hardware at ABC Company and the installation of the new hardware. This project must be complete by October to beat the holiday shopping season. This project will not include training for ABC Company employees as that phase is being handled by ABC project sponsors via other means. Project updates will take place between the project manager, the project sponsors and the VP of Finance at ABC Company on the first and third Wednesday of each month via teleconference or face-to-face meetings and in written project status form.
