Brief Tutorial Fralin Auditorium AV System Overview The Fralin Biotechnology Center auditorium audio-visual (AV) system is made available for seminars and workshops as a service to the university community. All of the equipment was purchased and is maintained with Center funds without other assistance. In order to be able to continue to provide this service, we simply ask that users:   Take the time to learn how to properly use the system. This brief tutorial should cover most of what the typical user needs to know. Determine your/your guest speaker’s AV needs and compatibility with the system in advance of the seminar date. o Presentation type (e.g., computer PowerPoint presentation)? o Operating system and version? o PowerPoint version? o Media (e.g., 100/250 MB ZIP, CD, floppy)? o USB storage device. o Laptop?       Does it have a standard 15 pin VGA (video out) port? Does the speaker/host know how to mirror the image to the projector if the laptop does not “auto-detect”. Does the speaker/host know how to change the video output resolution and frequency? (seldom have to unless 1600x1200 or greater) The native LCD projector resolution is 800 x 600 and can interpolate 1024 x 768. If you plan to use a laptop follow the instructions through step #4 and then skip to the section on Laptops. Respect and enforce the no eating or drinking rule for the auditorium Leave settings as you found them when you arrived at the auditorium When you enter the auditorium (entrance closest to stairwell) the auditorium light controller is located to the right of the door just past the fire alarm. Press and hold the very top button for a several seconds. The light intensity will slowly ramp up. 10/29/2008 1:34 AM House Light Control Unit This control switch is responsible for various light settings. If you wish to maximize your visibility and create the perfect light environment you may select from the first 4 automatic settings Simply press 1,2,3,or 4 and the light system will automatically adjust the lights. If for some reason you wish to increase or decrease the light intensity please press the up / down keys. Please note that if you do press up / down and adjust settings, these will not be saved for next time, they are only temporary. 10/29/2008 1:34 AM 2 Operation of the AV equipment with built-in PC or Macintosh: When you arrive you will likely find both podium screens asleep and the computers and projector off. The left-hand screen is a touch-screen monitor for the Crestron AV controller unit. Most of the AV system is controlled from this screen. The right-hand screen is a shared monitor for the built-in PC (Dell Optiplex GX-280) and Macintosh G-3 computers. This monitor stays on all the time as indicated by an amber light in the lower righthand corner. The amber light will change to green when the monitor receives a signal from one of the computers. 10/29/2008 1:34 AM 3 1. Awaken Crestron Controler Screen (controls AV system) by touching it anywhere with your finger (actually a light touch with a fingernail works even better). Note: The “Projector Power Off” button is initially black (projector is off). 10/29/2008 1:34 AM 4 2. Turn the LCD projector on by touching the Projector “On” button Note: The “Projector Power On” button is now black (LCD Projector is now turned on). 3. Open the cabinet doors and locate the “Video Source Switch Box”. This allows the projector to receive the video signal from the desired device (PC, Mac, Laptop, or VCR). 4. If the red power light is off, press the power button. Then select the appropriate device (Mac, PC, Laptop, or VCR). 10/29/2008 1:34 AM 5 Video Source Switch Box Note: Red light indicates that the power is on and the green light indicates that when the PC is turned on it will project to podium monitor and LCD projector (large screen). 5. Turn on either the PC or Mac power button. PC 10/29/2008 1:34 AM 6 Macintosh 6. Once the computer is on, select the proper setting for the remote mouse switch box by pressing the purple oblong button to toggle between PC (light at seven oclock position), Laptop (light at one oclock position), and Macintosh (four oclock position). IMPORTANT: This controls the wireless Keyboard and Mouse please select the correct setting so you can use keyboard and mouse on PC or MAC As a default PC is chosen. Note: 10/29/2008 1:34 AM 7 The remote mice are convenient for advancing and reversing slides in a Powerpoint presentation. One can also use the normal mouse or the arrow keys on the keyboard. larger remote also has a built-in laser light (asterisk key). The Remote Mice and Receiver Note: The remote mice are infrared devices and the transmitter (the part you hold in your hand) must be aimed in the general direction of the receiver’s (the part that sits on the podium) red lens. The remote is sensitive and will advance more than one slide if advance button is held down too long. 10/29/2008 1:34 AM 8 Operation of the AV equipment with a laptop: The AV system is compatible with most recent laptop models providing that: 1. Laptop has a standard female 15 pin VGA port. Some Macintosh computers have a different port configuration and must use an adapter (which should have come with the laptop). The Fralin Center does not have adapters. Speakers must therefore bring their own. Standard VGA port on laptop Podium VGA cable for laptops 10/29/2008 1:34 AM 9 2. 3. 4. Speaker should know how to mirror their laptop to the projector (send signal to projector). Some laptops “auto-detect” and nothing is required beyond plugging in and turning on. If in doubt always turn projector on first. Try a reboot in the event that everything is connected and video source box is correctly set to “Laptop”. If laptop is set to ultra high resolution (e.g., 1600 x 1200), speaker will likely have to change the resolution down to 1024 x 768. Rarely the refresh rate (Htz) needs to be adjusted so that projector can properly process the signal. This requires that the speaker know how to perform these procedures prior to the seminar. Sometimes the a display selection needs to be made on the laptop. For instance on most DELL laptops the Function (Fn) key and F4 needs to be pressed in order to toggle between LCD and Projector display. For other laptops it may be a different “F” key. Other cables available at the podium for use with laptops (if needed) USB cable for use with Fralin remote mouse Ethernet (10baseT) Sound 10/29/2008 1:34 AM 10 Operation of the AV equipment with a VCR: Awaken the Crestron Controler Screen (controls AV system) by touching it anywhere with your finger (actually a light touch with a fingernail works even better). 1. To start using the AV video unit with a VCR please touch the Projector Power On button on the display (Warm-up may take up to 1 minute). 2. In order to use the VCR you must select the VCR button. The VCR Control Menu will be displayed on the monitor. 3. In order to achieve sound use this button to increase the sound of the VCR tape. 4. If the VCR video is lower quality or perhaps quite at least this level will need to be achieved in order to hear sound though the auditorium speakers. Further instructions for audio continued on next page. 10/29/2008 1:34 AM Open the cabinet doors and locate the “Video Source Switch Box”. In order for audio to be heard through the speakers in the auditorium the VCR button should be selected and the green light should appear above it. 10/29/2008 1:34 AM 12 6. At this point in time it is possible to insert a VHS tape into the VCR. Audio and video should be displayed on the projector. 7. You may use the controls displayed on the screen instead of the buttons on the VCR. 10/29/2008 1:34 AM 13 Operation of the AV equipment with a microphone. Please obtain this microphone from: Don Ball To begin please push both XMTR and Audio away from the off position, turning the unit on. ATTENTION: The projector must be turned on in order for sound to be heard. Please reference page 4 of this manual to see how to activate the projector. Sound level can be controlled from the menu screen with SPEECH VOLUME on the touch screen where you have turned the projector on. When finished PLEASE turn both microphone toggles to OFF position. 10/29/2008 1:34 AM Using USB Memory Stick or Mass Storage Device: Please make sure you have followed the procedure to turn on either the PC, Mac, Or your laptop before starting this step. 1. After having powered on the PC you may use the Toggle Button to select PC As default it will be selected. 2. If you are using a laptop please make sure you use the toggle button to get the laptop light to be on. Please make sure you have plugged the USB cable into your laptop on the podium. As described in previous steps. Once you have selected the proper system that you will be using. The USB Hub will become active and you can attach up to 3 USB devices. The USB Hub is located next to the VCR. Please do not unplug any of the cables and only use the three available USB ports to attach you memory stick or USB mass storage device. 10/29/2008 1:34 AM 15 Using Zip Disks PC 1. Since the 250MB PC Zip is USB powered the Computer must be turned on prior to inserting your disk 2. This Zip Drive will read both 100MB Zips and 250MB zips. 3. After you have inserted the zip disk and computer is in Windows you can simply double click the Zip Drive shortcut on the desktop. 4. To eject pres the green LED next to where the zip disk is located. 10/29/2008 1:34 AM 16 Frequently Asked Questions If you are having problems using the wireless mouse or keyboard. Example - Keyboard does not respond. Mouse does not move Solution You need to press the purple button and make sure the correct computer is selected. This USB switch box controls which system is using the USB ports and Wireless Mouse and Keyboard. 10/29/2008 1:34 AM 17 Shutting the System Down: To shut the system down please reverse the above steps. Please turn projector and computers off and make sure everything is left the way you found it. If you have experienced problems or notice anything unusual please report them to Don Ball or the Fralin office staff. Note: Please make certain that the LCD projector is turned off (from Crestron screen). The projector bulbs cost over $500. Also please make certain the built-in computers are shut down properly as they generate a significant amount of heat in a closed cabinet. If they’re shut down improperly it takes the next user much longer to boot the system up. 10/29/2008 1:34 AM
