                                             Quick Reference

          Why Use Excel?
PeopleSoft reports, such as the Payable Status Report, list records in a predetermined
order. If you want to sort the lines in the report using some other criteria, or process the
data in other ways, you can copy the report data into Excel. In this document we use the
Payable Status Report as an example, but the technique also applies to other reports. The
exception is reports in the Crystal menu paths – this technique does not apply to them.

          Navigate to Payable Status Report:
Home > University of Maine System > Time Labor > Reports > Payable Status Report,
enter the required parameters as shown below and click “Run.”

                                                   Parameters

                                          Defaults to English

                             Not Applicable

payable status(es)
you want to return
on the report.

In the Process Scheduler Request window, make sure that the Type is set to “Web” and the
Format is set to “CSV” as shown below. Then click OK.

Output
When the report is posted and you click “view” in the Report Manager, you will see a list
of logs and the actual report generated by your process:

The report is the item called “umtl001_39157_1.csv” in the example above.

Save Report on your Hard Drive
You need to save a copy of this report on your hard drive so Excel can open it. To do this,
right-click on the name of the report in the list shown above. This will bring up a small
menu. Select “Save Target as” from that list. This brings up the standard save dialog box;
click “Save” to save the file on your hard drive.

Run Excel
The system will save your report as an Excel file, due to that “.csv” in the name. To open
the report in Excel, all you have to do is go to the folder where you saved the report (in the
example above, “MyDocuments”), and double-click the file. Excel will open with the
report correctly laid out in columns.
