This Employee Computer Use Policy outlines a policy for an employer to adopt
regarding the use of computers in the office by employees and the use of company
supplied computers and software services. The policy restricts certain computer and
software uses in order to minimize personal use of computers and to reduce office
distractions. It also provides the proper procedure for an employee to request a
company computer. Employers should use this policy to clearly lay out employee
expectations, protect company property, and shield itself from liability arising from
improper computer usage.
EMPLOYEE COMPUTER USE POLICY
This Employee Computer Use Policy (the “Policy”) is hereby made one the ____ day of
__________, 2____, by ___________________________ (the “Company”).
This Policy affects any employee who is provided with and authorized to use a Company
computer and/or associated software services for the transaction of Company business and for all
employees in respect to the use of Company computers and/or associated software services while
at the Company’s place of business.
I COMPANY-SUPPLIED HARDWARE AND SOFTWARE SERVICES
A. Any employee of Company who is supplied a computer or has access to software
services by Company is at all times prohibited from using the computer or software
services for any purpose that is offensive or harmful to Company or its employees, or
that violates any Company policy, or any state or federal law in any way.
B. Any employee who uses computerized or web-based services, including email, that
have been supplied by Company should be aware that computerized communications
can be intercepted and any such employee should take all proper precautions when
discussing confidential information relating to Company or Company’s business.
C. Any and all equipment, including any email account(s) supplied by Company to an
employee, shall remain the sole property of Company.
II USE OF COMPUTER IN OFFICE
A. Employees of Company, who use their personal or Company-supplied Computers,
login services, or software services including email, while at Company’s place of
business, should take all steps necessary to minimize the distractions associated with

including email accounts, whether personal or Company-supplied should be used
only for official Company business. Any use of Company computers for personal use
is a violation of Company policy.
III EMPLOYEE REQUEST FOR COMPANY COMPUTER
A. Any employee who wishes to obtain and utilize a Company-supplied computer for
purposes of transacting business of Company shall make a request in writing to his or
her supervisor or designee.
B. Such supervisor or designee shall evaluate each employee request for a Company-
supplied computer and shall determine if such request is reasonable and warranted.
Upon determination by a supervisor or designee, the supervisor or designee shall

promptly notify the employee as to whether his or her request was accepted or

Company, which may result in employment termination and/or loss of employee’s
Company-supplied computer and/or privileges.
IV SERVICING OF COMPANY-SUPPLIED COMPUTERS
A. Any Company-supplied computer that requires servicing shall be serviced by an
authorized agent or computer/IT representative duly appointed by Company.
B. All employees who have been provided a Company computer shall be responsible for
its safekeeping, reasonable wear and tear expected, and shall promptly notify
Company or an authorized agent of the Company in the event that any Company-
supplied computer or software requires servicing.
