Paymate Data Transfer Information

Technical Overview
To facilitate the transfer of GL and Cheque Register information from Paymate to Blue Link data files the BlueLinkPaymateIntegration.exe installation package was developed.  BlueLinkPaymateIntegration.exe can be downloaded from the Blue Link ftp site at ftp://ftp.bluelink.ca/paymate  After Paymate is installed, BlueLinkPaymateIntegration.exe must be installed into the same folder Paymate was installed into.  The following files are installed into the Paymate installation folder by the above installation process. 1. BLUELINK.ICO 2. PayInfo.exe 3. PaymateTransfer.mde 4. PayrollConversion.mde 5. rates.DBF 6. Rates.exe 7. tmpGL.dbf 8. Uninst.isu  A shortcut to PaymateTransfer.mde and PayrollConversion.mde is created in the Solutions Accounting Start Menu folder by the above installation process. The Conversion shortcut is used only upon initial set-up of Paymate. The Integration shortcut is used after each payroll run.

PaymateTransfer.mde is the application file created by Blue Link Associates which reads the information from tmpGL.dbf and rates.DBF and then updates the Solutions data file. Run this program from the Start menu PayInfo.exe and Rates.exe were created by Paymate to populate tmpGL.dbf and rates.DBF. rates.DBF and tmpGL.dbf are installed into the Paymate installation folder and then transferred into the Paymate data/2001 folder when you browse to it while mapping the path to the data while in PaymateTransfer.mde (more info) Failure to browse to the folder (i.e. transfer the files) can result in “Error 5004”

Paymate Data Transfer Information

Operational Overview
After posting your payroll in Paymate, please run an Integrity Check. Now it is time to update Solutions Accounting. The Blue Link Paymate Integration utility MUST be installed into the same folder Paymate was installed into.   To open the Blue Link Paymate Integration utility program, click Start; Programs; Solutions Accounting; Blue Link Paymate Integration. You will be required to set the Paths to: 1. The Blue Link data file (S:\Demo Data.mdb) 2. The Paymate data folder (S:\Paymate\Demo.cpy\2001)

Once these are set you will only need to change them if you are running multiple payrolls for multiple companies.

Next click the Transfer Information to Solutions button

Paymate Data Transfer Information

To transfer information to Solutions simply provide the cheque date of the payroll run you wish to transfer and select which bank account you wish to use.

Click “Create PayInfo” and let the system update the information, click OK when it stops calculating. Click Import and let the system transfer the information to Blue Link Associates Limited

You have just successfully transferred your payroll information to Solutions Accounting.

Known Issues
“File Not Found”
Rates.exe and Payinfo.exe are not in the Paymate installation folder. Run BlueLinkPaymateIntegration.exe and install into the Paymate installation folder.

Bank Reconciliation Report is out of balance, but Reconcile Check Register is fine
This is caused by an old version of PaymateTransfer.mde, an updated version is available from ftp://ftp.bluelink.ca/paymate, which will stop any future problems, but the data must be repaired. The Check Register Setup table must be updated. Add the value of the cheque run to the Credit field and the Balance field for the bank account affected.

Paymate Data Transfer Information

“Error 5004: Either Ace could not find the specified file, or you do not have sufficient rights to access the file”
There is a space in a folder name leading to the Paymate data

This error can occur even if you don’t see a space, but there is one that is hidden by a mapped drive. Use the UNC path and put quotes around the path to avoid error message. OR tmpGL.dbf and rates.dbf, must be in the paymate data folder (2001) before transfer can take place. These 2 files are places in the Paymatew folder when installing BlueLinkPaymateIntegration.exe and then transferred to the 2001 Paymate folder when browsing to it from Paymate Transfer Setup.

“There are no records to be processed at this time”
Ensure that the Payroll date chosen matches the Pay Cheque date, NOT the End Date

Double check that the “Path to Paymate Data File” is the path to live data.

Data Type Conversion Error
    A cheque that is being imported is null. Restore backup prior to posting, find the time card that does not contain a cheque number Delete the time card and reenter it. Reprint only this cheque (adding correct cheque number) Post payroll and redo the paymate transfer

  Copy ADS.INI from C:\PaymateW to C:\Program Files\Blue Link\Solutions SQL\ Edit ADS.INI, change o MTIER_LOCAL_CONNECTIONS=0 to MTIER_LOCAL_CONNECTIONS=1
