Update Your Contact Information in 4 Easy Steps: 1) Login to SENS 2) Verify General Information (e.g., name, address, etc.) 3) Verify Device Information (e.g., phone number, email, pager, fax, etc.) 4) Verify Custom Field Information (e.g., your District name, Regional Service Center, County Name, job title, etc.)

1) Login to SENS
 

Open your internet browser. Type http://sens.tea.state.tx.us in the address bar and press Enter. The Communicator! NXT Login screen displays. At Login Name, type in your login name. Generally, it’s your firstname, lastname, and last 4 digits of your SSN. (Note 1) At Password, type in your password (the password supplied to you via email or the one you changed it to) (Note 2) At Company, simply confirm it reads TEA. Click Login.





 

2) Verify General Information ( indicates required)
 

The Contact Details page displays General Contact Information. Please verify your contact information and update it if necessary. Click “SAVE” to store all changes. The “This contact can receive Activation Reports” box should be unchecked. If you want more information about this, please contact senstechsupport@tea.state.tx.us. For Country/Region, USA. should already be pre-populated. This field is used by the Communicator! NXT vendor’s customers outside the US. Region, in this instance, does not refer to an ESC region within Texas. At Street, City, State/Province, ZIP/Postal Code, type in/or select the appropriate information (as determined by your organization). Click Save before you move on to another area. Update password, PIN, or the Devices and Custom Fields sections as needed. (Note 3)







3) Verify Device Information


Phone Number



Please verify your contact information, and use the Change button to update as needed. To change or add a phone number, go to the Quick Actions menu, click Add New Phone Number (or use the device tabs). The device-related fields will display. At Phone Type, click to view the list of phone types and select Work, Home, Cell or Other. At Phone Number, click the text box and type in the phone number (e.g., 123-555-1234). At Extension, click the text box and type in the extension number. Use the following format for extensions, a lowercase x followed by a space and then the number(s). For example: x 555 If you added telephone extension information previously, it may not appear and will have to be reentered here (as appropriate). Click Add. Repeat these steps for each type of phone number (Work, Home, Cell, Other). More than one number can be assigned to any Phone Type (e.g., two work numbers, etc.). Click Save before you move on to another area.

Email



  

To change or add an email address, go to the Quick Actions menu, click Add New Email Address (or use the device tabs). The device related fields will display. At the Email text box, type the email address of the contact (e.g., johndoe@domainname.com). Click Add. Repeat these steps for any additional email addresses Click Save before you move on to another area.

Fax



  

To change or add a fax number, go to the Quick Actions menu, click Add New Fax Number (or use the device tabs). The device-related fields will display. At Fax Number, type in the fax machine phone number. Click Add. Repeat these steps for any additional fax numbers. Click Save before you move on to another area.

Alpha Pager or SMS Device

To change or add an Alpha Pager or SMS Device, go to the Quick Actions menu, click Add New Alpha Pager (or use the device tabs). The devicerelated fields will display. At Alpha Pager Service, click and select the appropriate pager service from the list. If the Phone Number text box is blank, type in the pager phone/modem number. If the text box is shaded and a number was placed in the text box by the system, then go to the next step. If necessary, at the PIN text box, type in the PIN number for the pager. Click Add. Repeat these steps for any additional alpha pagers. Click Save before you move on to another area. To add a numeric pager, go to the Quick Actions menu (or to the appropriate device tab), and click Add New Numeric Pager. The device-related fields will display. At Pager Service, click and select the appropriate pager service. If the Phone Number text box is blank, type in the pager phone/modem number. If the text box is shaded and a number was placed in the text box by the system, and then go to the next step. If necessary, at the PIN text box, type in the PIN number for the pager. Ignore the Call Analysis Off check box. Click Add. Repeat these steps for any additional numeric pagers. Click Save before you move on to another area.

 

4) Verify Custom Field Information (e.g., your District name, Regional Service Center, County Name, job title,
etc.)


To add custom field information, go to the Quick Actions menu or use the scroll bar to view the Custom Fields section on the Contact Details page. Two tab headings display titled In Use and Available. Click the Available tab. All custom fields that exist in the system will display. To add information in a field for which information is missing, click the Change link, located on the right-hand side of the page corresponding to the desired Custom Field Name. A text box displays in the Information column. The following Custom Fields are being used:  Automatically Imported: Pease do not change this information.  County: For example, someone in Austin would type Travis County  County District ID: For example, 227901,the 6 digit County District ID code. Please note that this number may be requested during a notification you receive.  District/Organization name: for example, Austin ISD.  ID-Code: this has been pre-populated - please do not change this information.  Job Title: At this time do not use your literal job title; instead, use the job title/role for SENS authorized by your ESC Executive Director, Superintendent, or the TEA. If you have a question about this contact us at senstechsupport@tea.state.tx.us.  Regional Service Center: for example, 13 At the custom field Information text box, type in the desired information. Click Save. Repeat these steps for any/all relevant custom fields.

 

 

Once you have successfully completed the general information, device and custom fields sections you are done. Follow the steps below to Log Out of the system.

Log Out. You will be returned to the Communicator! NXT Login screen. in the upper-right corner of the page to close the browser window.

Notes: The SENS is intended to supplement, not replace, the education communities existing emergency communication efforts and information you will receive from television, radio, and other sources. 1) Your login name and password were sent to you separately (a short time after you completed the survey). If you have never completed the survey, contact the TEA SENS Administrator at senstechsupport@tea.state.tx.us. TEA Staff does not need to complete the survey. 2) Once you are in the system, you can change your password (and PIN) should you wish to change the original password to one that you can remember. Passwords should consist of a combination of upper/lower case letters and at least one special character or number. 3) You can change your password (a combination of upper/lower case letters and at least one special character or number) or PIN (numeric only) by inputting and confirming the new information. Both the initial password and PIN were generated using a generic process and should be changed, as appropriate. Be careful to use an easy-to remember password or PIN number as the change will be automatic as soon as you confirm by retyping it. 4) The PIN number is required for SENS notifications requiring receipt confirmation by a specific individual. If at some point you cannot remember your password (or PIN), please send an email to senstechsupport@tea.state.tx.us requesting that it be reset. Who May Have a SENS Account? ESC executive directors, superintendents, and other organizations specifically identified by the TEA may request a SENS account. You must obtain permission from your ESC executive director, superintendent, or the TEA before requesting one. We encourage all 20 ESC executive directors and three of their designees to have an active SENS account; at the district level, all superintendents and seven of their designees; and other organizations specifically identified by the TEA such as TEPSAC commissioners and the Center for Safe Communities & Schools (CSCS). Note: Depending on the size of the district a superintendent may require more of fewer designees; the number suggested was based on the average number of schools within an ISD.
