First Aid First aid cover is available throughout the event. Please contact a venue member of staff or an event organiser if assistance is required. Health and Safety / Demonstrations Health and Safety / Demonstrations ALL shell scheme exhibitors MUST complete and sign the following Health & Safety Declaration form TH and return by FRI 10 AUGUST 2009 to TTEC. If you are planning any live demonstrations on your stand, then you must also complete the Jockey Club / Cheltenham Race course risk assessment form (see enclosed), along with submissions of method statements and copies of insurance documents then return all to Drain Trader Ltd by Fri 6th July. Failure to comply may result in you not attending or a request to leave the event. As an Exhibitor, Contractor or Agent you have a duty under the Health and Safety At Work Act 1974 to ensure that all personnel, contracted by you are aware that they have a responsibility, so far as is reasonably practicable, for the health, safety and welfare of all employees, and that any systems of work which may be used are so far as is reasonably practicable, safe and without risks to health. Particularly during the build-up and breakdown periods your staff or contractors should be constantly reminded by you of the need for extra vigilance regarding the health and safety of themselves and those building / working in their vicinity. You must ensure that all portable electrical items are PAT tested and used with the minimum length of trailing leads and that such equipment is not left unattended for any long periods of time with a live power supply to it. No electrical cables are allowed to cross gangways, passageways and fire exits. Extension leads are not permitted – extra power sockets should be ordered. Any queries regarding your requirements can be made to TTEC. Packing cases and other goods/materials or waste must not be allowed to obstruct gangways, passageways and fire exits and must be removed from the room as soon as possible. Insurance and Security Whilst every reasonable precaution will be taken to ensure the safety and security of personnel and equipment, TTEC, the organisers and the venue cannot accept any responsibility for any loss or damage to any persons, vehicles, property of the exhibitors, their employees, contractors or visitors. Access doors to the room will be secured at the end of each show day. However, we recommend that valuables particularly of a portable nature are not left unattended on your stand. This is particularly relevant on the build and dismantle days of the event. Storage There may not be any storage facilities for packing cases or any other materials at the venue. Please note ranges of storage plinth units are available to hire from TTEC. Order forms are included in this manual.

Health & Safety Policy Statement & Declaration
ALL shell scheme exhibitors please read,sign and send back this declaration by FRI 10TH AUGUST 2009 It is the policy of the exhibition organisers to seek the co-operation of all concerned in order to achieve the highest standards, in all aspects, of health & safety. The exhibition organisers have a responsibility to ensure that safe working practices are maintained at all times, which includes ensuring that provision is made whereby persons other than employees, are reminded of their responsibilities whilst working at the exhibition venue. As an Exhibitor, Contractor or Agent you have a duty under the Health and Safety At Work Act 1974 to ensure that all personnel, contracted by you are aware that they have a responsibility, so far as is reasonably practicable, for the health, safety and welfare of all employees, and that any systems of work which may be used are so far as is reasonably practicable, safe and without risks to health. Under the COSHH Regulations 1994 (Control of Substances Hazardous to Health) exhibition stands are considered to be a workplace. It is therefore your responsibility to ensure that all your staff and subcontractors have received sufficient Health and Safety training and are provided with the correct protective clothing and equipment to enable them to carry out their work in a safe manner in accordance with the COSHH. You are also required to have in your possession a copy of your own Health & Safety policy and a copy of the Health and Safety policy document of each contractor employed by you, which may be requested during the exhibition. You must also ensure that you have a copy of the Health and Safety Policy for each subcontractor employed by you excluding those appointed by the Organisers. General Regulations Listed below are principal areas, which need to be brought to your attention and those, employed by you during the exhibition. The list is by no means comprehensive and a responsible attitude must be taken on all matters of Health and Safety whilst on site. A person must be appointed who is responsible for health and safety matters on the stand. All stand materials must be non-combustible, Inherently non-flammable, durably flameproof or self-extinguishing plastic, all to the satisfaction of the Local Authority. 3. No parts of the stand may protrude into any gangway. The organisers reserve the right to remove any such part or items. 4. No fixings other than hook Velcro should be made to the shell scheme walls or fascias and no tape or such like is to be used on the aluminum frame, without prior permission from TTEC 5. Travel distance from any part of the stand to the nearest gangway MUST NOT EXCEED 10M without obstruction. 6. During the build-up and breakdown periods your staff and sub-contractors should be constantly reminded by you of the need for vigilance regarding the health and safety of themselves and those working in their vicinity. 7. Venue Notice to Exhibitors
Welcome to Cheltenham Racecourse. The following is intended to ensure the event is run safely and smoothly for all concerned. If you are doing any sort of demonstrations on your stand i.e. cooking, steam ironing, chopping with knives etc. please ensure your risk assessments, methods statements and insurance documents have been given to the show organiser. The same applies for any stand with live animals as the welfare of the animals must be monitored. Failure to comply may regrettably result in you being asked to leave the exhibition. Please ensure your vehicle is moved to the exhibitor car park at least 30 minutes before the published show opening time. Failure to do so will result in a delay to the show being permitted to open until all vehicles have been moved. Please ensure you do not encroach into the aisles as this hinders wheelchairs and pushchairs as well as being a Health & Safety hazard. The event stewards are there for the safety of everyone, please follow their instructions. Please do not block fire escapes and fire fighting equipment or leave anything lying around which could hinder an emergency evacuation or cause a fire, including rubbish. Please ensure you familiarise yourself and any employees on your stand with emergency exit routes. If the fire alarm sounds please switch of any machinery on your stand and calmly leave the building by your nearest exit. The meeting point for evacuation is in front of the main grandstand adjacent to the race track. Please report any hazards, concerns or suspicious packages to your show organiser or an event steward. It is your responsibility to ensure you work safely! Please ensure all electrical equipment is switched off overnight. At the close of show, please leave any rubbish in the aisle way or alternatively please place it in the appropriate Biffa bin situated in the loading yard. Please breakdown cardboard. At the end of each day please return any glasses or crockery etc. to the catering areas. Please DO NOT commence breakdown of your stand until 15 minutes after the show closes on Thursday at 4pm
