SUBJECT: Jobsite / Office Setup Information for __________________________________________ ________________________________________________________________ This memo should provide you with a detailed checklist of items that you should consider for your Jobsite / Office Setup. There are two attached documents, The Facilities/Field Services "Trailer / Office Mobilization Planning Checklist" and the IS Department "Trailer / Office Equipment Planning Checklist". You may use this document for any and all jobsite or office setups. This is YOUR CHECKLIST to make sure you budget and consider everything that is involved in setting up an office. Once you and your Superintendent have had an opportunity to review this document then a meeting should be held with the Facilities and IS Departments to discuss and coordinate your various needs and desires. Please forward this to your Superintendent for his input and review as well. Once both of you have reviewed the items and filled out as much as possible then we will need to set up a brief meeting to discuss the items for any additional clarifications or questions. Please keep in mind that these processes CAN NOT AND DO NOT HAPPEN OVERNIGHT. There is a great deal of planning and coordination involved, just like any construction project. We strive to make ourselves available to review and discuss this documentation with you so we can properly plan the mobilization. DEMOBILIZATION PLANNING CHECKLIST
The process for demobilizing a job is similar to setup. The job site team is responsible for the following. 1) Disconnect Temporary Power 2) Disconnect Plumbing/Sewer (If applicable) 3) Cancel all outside services (Coffee, water, etc.) 4) Notify Facilities of the desired move off date. 5) Notify IS of the same for disconnection of phone and Data. 12/26/09

Demobilization Planning Checkoff List
During demobilization there are several things that must be considered to ensure that the equipment and services are properly transported and disconnected as needed. The last thing you want to do is have to continue paying for a service that you are no longer using like telephones or a data circuit. 1. What date do the trailers need to be moved off site? Is there any flexibility on this move date or is it locked in? 2. For a single-wide trailer we need about a day to complete our work. A double-wide trailer will require a bit more work. All IS Department costs to demobilize will be charged to your project or office cost code, including travel time, travel mileage, overnight lodging as required, and any parts needed to perform the demobilization. 12/26/09

3. All office and electronic equipment shall be removed from the trailer prior to any relocation and shall be moved independently of the trailers and other equipment. This includes all fax machines, copiers, computers, servers, networking components, monitors, etc. AN IS DEPARTMENT PERSON SHALL BE ONSITE DURING THIS EQUIPMENT MOVE. 4. ALL COMPUTER USERS MUST make sure their files are on the main server at the site before we demobilize the site. The IS Department is NOT RESPONSIBLE FOR FILES LEFT ON A USERS HARD DRIVE. 5. 7. Upon completion of the Demobilization the IS Department will transfer the files from the server back up to the main San Diego F: Drive. The files will then be the responsibility of the project management to team to properly archive them when the job closes out. 8. Are there any remaining costs on a term agreement for High Speed Data lines that needs to be allocated to the job? Remobilization Planning Checkoff List
A re-mobilization required everything that demobilization requires along with several other items to ensure that the equipment and services are properly relocated, transported and disconnected as necessary. 1. Can the trailer be pre-wired up front to make it easier to split apart the trailers prior to the relocation to save some time and money? Good planning up front can save thousands of dollars in the end when it comes time to re-wire the trailer. The cables running between relocated trailers shall NOT be cut unless absolutely necessary. The on site IS person can back-pull the cables for later re-use. 2. Will the trailers require re-wiring and a new phone or data feed? If so then all costs associated with this will be charged to the jobsite or office. 3. All office and electronic equipment shall be removed from the trailer prior to any relocation and shall be moved independently of the trailers and other equipment. This includes all fax machines, copiers, computers, servers, networking components, monitors, etc. AN IS DEPARTMENT PERSON SHALL BE ONSITE DURING THIS EQUIPMENT REMOVAL, MOVE, REINSTALL AND RECONFIGURATION AT THE NEW LOCATION. 4. ALL COMPUTER USERS MUST make sure their files are on the main server at the site before we demobilize the site. 5. Will any phone lines need to be relocated by the Phone Company? Can all the phones be moved on site without involving the Phone Company? 6.
