The information contained inside this Manual will provide you with everything you need in order to plan a successful exhibition. The Exhibition Manual has been compiled in the belief that it will remove most of pre-exhibition concerns and help you enjoy a smooth trouble-free run-up to the exhibition. It also contains a complete set of forms for all available services. Please take time to read all its contents thoroughly, fill out the orders carefully, ensuring that any necessary action will be taken prior to the deadlines. This is the Floralis Generica: a 23 mts tall and 18 tons weight sculpture located in Figueroa Alcorta street (the very heart of Buenos Aires). It is a mechanical flower which has a photosensitive system that opens its six enormous petals everyday at 8 am and it closes them at noon, just when the city lightens up and the sun comes down. Together with the Obelisco (located in the world famous 9 de Julio Ave.) they are the two items that are part of WAC 2009´s logo.

The exhibitor must dismantle the stand within the allotted time. The Exhibitor must leave the stand area clear and the floor clean. Exhibitors will be liable for charges incurred in the disposal of any materials remaining at the Exhibition Hall after this time. Each Exhibitor must be present during dismantling to supervise the safe removal of exhibits.

Cancellation & Refund Policy
Should an Exhibitor wish to withdraw from the Exhibition, a written notification must be sent to the Organizers. Cancellations received before 1 September 2008 will entitle payees to reimbursement of the deposit paid, less administrative fees of USD 1.000. If cancellation is received between 2 September 2008 and 28 August, 2009, 50 % of the contract price shall be paid by the Exhibitor. For cancellations received after 28 August 2009, there will be no refund whatsoever.

Special Obligation
The signing up for a funding contract, sponsored symposium, booth or any form of participation implies a commitment to abstain from organizing or encouraging meetings, venues or events to be held during the four days prior to the congress, during the schedule of the official program and during the two days immediately after the congress, without the acceptance of the Organizing Committee.

Force Majeure
In case of Force Majeure, the Organizers reserve the right to modify dates, time schedules, floor plans and programs. In case of forced cancellation of the Event, the money paid by the Exhibitors will be reimbursed, previous proportional deduction of expenses incurred in. Under no circumstances, will indemnification apply.

Section 2: Rules & Regulations
The following rules require strict compliance by Exhibitors and their personnel. The Organizing Committee is entitled to control, correct, forbid and/or close down any booth which does not comply with these regulations. These rules and regulations also include those of the Sheraton Buenos Aires Hotel & Convention Center. If the Exhibitor fails to comply with any of the terms of these regulations, the Organizers shall have the right to resell the space and all money paid by the Exhibitor shall be forfeited. The Organizers reserve the right to alter the layout, plans and disposition of stands if, in their opinion, this is advisable from the point of view of the complete Exhibition

Ordering of extra services Subletting of exhibit space Exhibitors may order the following: Furniture Cleaning Internet access Hostesses Catering Services Data capture reader Surveillance Subletting of exhibit space is not permitted. Sharing of exhibit space is not allowed unless it is within divisions of the same company. Names of products There is no Argentinean legislation prohibiting the inclusion of names of products either at an Exhibit's booth or in promotional publications. Setting up of booths No object may exceed the limits of the rented space. The maximum height of any construction, including illumination appliances, is 2,40 meters as from the floor. For the purpose of providing a better architectonic development of stands, the San Isidro Room will allow constructions up to 4,00 meters high. These constructions must maintain a distance of 1 meter between each of the walls of the utilized space. Projects of island stands that block the view in more than 40% of the neighbouring booths will not be approved. The following is not allowed: hammering, use of nails, drawing of holes, weldings, painting, hanging objects and/or damaging the walls, columns, ceiling or installations of the Exhibit Hall. The mouldings must not be removed. All kinds of masonry material such as bricks, lime, sand, cement, glue, etc. are forbidden. The air vents must not be obstructed. All elements must be placed at a minimum distance of 40 cm. The assigned decoration, such as plant-pots, plants, pictures or furniture, must neither be moved nor removed under any circumstance.

All the items are listed in this Manual. Please contact the appropriate supplier for each item and copy these communications to exhibition@worldallergy2009.com in order to follow up with your company’s participation in the Congress. Insurance Exhibitors are required to take full responsibility on their own insurance. Build-up and dismantling personnel must present a personal accidents insurance or ART. A copy of the policies together with Form D must be submitted to the Exhibition Manager and it will also be required at the venue. Promotion, Advertising Exhibitors are not allowed to use public areas to publicize their booth and/or any activity. Flyers, leaflets or any other publicizing item are not permitted unless it is an sponsorship opportunity item from the Congress or if they are distributed inside the exhibition stands. Flyers or leaflets placed in any other point of the venue will be removed by the Organizers.

Exhibitors will be responsible for the cost of all damages caused by their own doings. No work in the booth is permitted after the exhibition is open. The Organizing Committee reserves the right to demand changes if regulations are not followed. Carpets All lower bases of booths or any other structures built in or outside the room, must have a wooden base or a base of another material to protect the carpets. The use of any adhesive material, paint or carpentry is absolutely forbidden. Only double-coated tape is permitted. Electricity The Venue provides up to 150 watts per square meter. Exhibitors should inform the estimated consumption of its booth. This information must be submitted together with the Stand Builder Form B before 9 October 2009. Under no circumstance are Exhibitors, their agents, contractors or employees allowed to manipulate any electrical, water or compressed air installation except to connect authorized apparels, at specified points. For the purpose of safety, all Exhibitors who do not follow this rule are liable to total disconnection of their supply. Only the Official Electrical Contractor, authorized by the Organizing Committee, is allowed to provide electrical connections to the individual stands. However, Exhibitors may use their own certified electrician to install electrical outlets and fittings within the perimeter of their own exhibition booths. Cleaning The Organizers are responsible for the cleaning of the aisles and public areas within the exhibition on a daily basis. It is the responsibility of Exhibitors to have their booth space clean and tidy during the exhibition, as well as during move-in and after moving-out. Daily cleaning of the stands can be ordered from the official contractor: Pallissó Diseño.

Space rental: included / not included
The space rental includes: Net stand area 3 exhibitor badges per set of 6 square meters (these badges will not give access to the scientific sessions) Care taking of public areas Listing in the final program (Exhibitor’s Directory) The space rental does not include: Partition walls Furniture Telephone Stand cleaning Electricity supply Carpets Staff Insurance

Storage A small storage place will be made available to Exhibitors at no extra charge. Exhibitors are advised to make their own arrangements for additional space to store fragile material. Under no circumstances packing materials of any kind may be left in the aisles or inside the stands. Surveillance We will inform which is the official surveillance company for WAC 2009 once the supplier is selected by the Organizing Committee. The Organizers will provide security personnel for common areas, who will be responsible for keeping order and dealing with unexpected events, but will not be held responsible for thefts, robberies, personal injury, loss and/or damage to any property from any cause. While the Exhibition is closed, no personnel other than security and accredited staff of the Exhibitors will be allowed inside this area. Personnel in charge of general security shall be entitled to check vehicles carrying exhibit material and parcels entering or leaving the exhibition areas.

Packing Material For reasons of space, packing material must be removed from the Exhibition area before the Exhibition begins, at the cost of the Exhibitor. Packing material will be readmitted when the booth is dismantled. Any materials left in the aisles will be cleared by the Organizers and destroyed. Insurance

Dangerous materials No naked lights and lamps or temporary gas devices may be used in the Exhibition Hall. Neon lights in the halls are allowed provided they fitted with the necessary precautionary devices. No explosives, petrol, dangerous gases or highly inflammable substances are allowed in the halls. If radioactive materials are to be used, prior written approval of the Organizing Committee is required. Publicity and special presentations

Neither the Organizers nor the Sheraton Hotel & Convention Center will be responsible for the safety of any exhibit or property of the Exhibitors or of any other person; nor for the loss or damage or destruction of any exhibit or property of the Exhibitors due to theft or fire or any other cause whatsoever; or for any loss or damage sustained by the Exhibitors by reason of any defect in the building caused by fire, storm, tempest, lightning, national emergency, strikes or lockouts, explosion, force majeure or any other cause whatsoever beyond the control of the Organizers or the Exhibition Hall. As no insurance coverage is provided, Exhibitors are responsible for the safety of their products, displays and booths. During both move-in and move-out periods, no material should be left unattended at any time. Exhibitors are reminded that their insurance for goods and exhibits should take effect from the day that such goods are delivered to the exhibition venue and should remain in effect until their exhibit is removed. Exhibitors are required to take their own insurance against the kinds of risk they will incur in connection with the exhibition, especially Public Liability, all risks on property, employers liability and personal accident to staff. Due to rulings from the Labour Ministry, personnel responsible for construction of the stand (carriers, constructors, assistants, etc.), as well as the persons working during the time the exhibition takes place, must be covered by the Occupational Risks Act (ART) which is an obligatory insurance covering labour / occupational accidents. In the case of foreign workers, they must have a similar insurance in their country of origin; otherwise, they must contract insurance in Argentina that covers the risks described.

All Exhibitors will be the producers, importers or representatives of the goods and/or services to be displayed. Exhibitors are not allowed to display in their booth any advertisement or services provided by a nonexhibitor. Marketing of any products in any part of the Exhibit Hall or meeting rooms by anyone representing a non exhibiting firm is strictly prohibited. Distribution of advertising material by an Exhibitor will not be permitted outside of the Exhibitor's booth space. Exhibit signs, displays or other materials are prohibited in any public space or elsewhere on the premises of the Congress Venue. Audio-visuals and other sound and public address devices will only be permitted in those locations and subject to an intensity that, in the opinion of the Organizing Committee, do not interfere with the activities of neighbouring exhibitors. Exhibitors may be requested to discontinue such activities in the best interest of the Exhibition. No raffles are allowed to take place during the time in which Sponsored Satellite Symposia are being held. Representatives are not allowed to videotape or photograph another Exhibitor's booth without permission. Selling at the Exhibit Booth Selling is prohibited in the Exhibit Halls. Product order forms may be distributed, but no cash, checks, credit card information or other methods of payment can be accepted by the Exhibitor. Editorials are permitted to sell obeying the local requirements of invoicing.

Demonstration of working exhibits Working machinery must be fitted with safety devices when the machines are in operation. These safety devices may be removed only when the machines are disconnected from the power source. Working machines must be placed at a relatively safe distance from visitors. Use of safety guards is strongly recommended. No motors, engines, contrivances or power-driven machinery may be used without adequate protection against fire risk. No exhibits, working demonstrations or special displays, such as lasers, which involve substances of a dangerous flammable or objectionable nature may be brought into the Exhibition Hall without prior written consent. Special requirements Should Exhibitors wish to hire other special services for the booth such us phone lines or internet, please contact the Sheraton Hotel: Laura.Matajurc@starwoodhotels.com Should Exhibitors wish to hire TV or DVD services, please contact WAC 2009´s official contractor: Pallissó Diseño: info@pallisso.com.ar Function room space To reserve meeting space for company meetings or other approved activities, Exhibitors should contact the Congress Secretariat at exhibition@worldallergy2009.com. Deadline is: 1 October 2009 as the available space is limited. Catering services Companies who are in charge of a Symposium and would like to organize a catering service for the attendees, should contact Mrs. Laura Matajurc from the Sheraton Hotel at Laura.Matajurc@starwoodhotels.com before 16 October 2009 to co-ordinate different space and time options. All catering services should be provided by the Sheraton Buenos Aires Hotel & Convention Center. The Organizing Committee must be notified of any distribution of food and beverage in the Exhibit Halls.

Hostesses and extra personnel for stands Exhibitors who wish to hire hostesses or extra personnel for their stand should contact the official supplier: May Day Services Group. avecchioni@maydayservice.com.ar

Traps, service openings in floors, fire alarms and hydrants, exit signs Trap doors and other service openings in floors must be accessible at all times. By no means, should fire alarms, hydrants, exit signs be masked, obstructed, moved, altered or covered up. The installation of a fire extinguisher in all stands may be requested. Further information will be provided to all exhibitors through the Exhibition Technical Manual. The existing exhibition plans are subject to any modification arising from the new norms or fire safety measures implemented by the venue, such as new emergency exits, hydrants or spaces for fire extinguishers, without prejudice to WAC 2009. Delivery of exhibits Entrance address: Av. Madero 1250, Buenos Aires. As access to the Exhibition is restricted, all exhibitors and constructors delivering exhibits, equipment or materials are required to have special passes obtainable only from the General Secretariat. When delivering products as special machinery or equipment, the Exhibitor shall submit a form describing such materials to the Event Security Officer at the entrance. This form must be completed in duplicate, one copy for the control of the Event Security Officer and the other, duly signed, shall remain with the Exhibitor to permit the exit of such goods or machinery. This form only refers to the entry and exit of material to and from the Exhibition Hall but in no manner whatsoever can it be deemed as insurance of said machinery or goods. Exhibitors requiring special equipment to lift or remove their goods must arrange this service with the Official Freight Forwarder. During Exhibition, loading and unloading activities are only allowed from 07.00 to 08.30 h.

Exhibitor’s Shipments – Permanent and Temporary Importation All Exhibitors can freely choose their own freight forwarder and must make their own arrangements for the permanent or temporary admittance of goods. All expenses connected with these arrangements are for the exclusive account of the Exhibitors. The Organizers assume no responsibility or liability over related expenses, or taxes, or materials held in Customs and not cleared in due time. Exhibitors shall ship the goods with enough time in advance of the Congress opening date in order to assure their Customs clearance and delivery on time. We suggest following local forwarding agent’s deadlines. To make this a smooth and simple procedure for Exhibitors, we suggest contacting the international shipping and forwarding agent: HOBBIT® WORLDWIDE LOGISTICS S.A., who will circulate details of shipping procedures and Customs documentation to Exhibitors directly or via their appointed agent in each country. We strongly recommend Exhibitors to seek the advice of the above mentioned company for shipment of goods in order to avoid delays at Customs, or even suffer non-clearance of goods, as Customs regulations are very strict in Argentina. It is the Exhibitor’s responsibility to ensure that their exhibits are covered by adequate insurance for the shipment to, duration, re-packing and re-export from the Exhibition. Badges and passes Exhibitors are entitled to receive exhibitor badges, free of charge. These badges do not allow access to the Scientific Sessions. The build-up and dismantling passes allow access to the Exhibition Halls only during buildup and dismantling days and hours. Exhibitors will receive them in advance. They can be collected at the Exhibitors' Registration Desk. Social functions Date and time should be submitted for approval of the Organizing Committee before October 1, 2009. No event can be scheduled in conflict with the Congress timetable, other special and/or social event hours or exhibit hours.

Section 3: Company Sponsored Symposia

CONDITIONS FOR HOLDING A CSS It will be listed in the program as part of the Official Program, and will be held in one of the rooms of the Congress Center during the Official Congress timetable. Promotion or advertising prior to the Symposium is not permitted in the venue other than in the stand. Handing out programs and brochures at the entrance of the Symposium is allowed 15 minutes before the beginning of the session. Posters or other means of guiding participants to the Symposium are strictly forbidden at all times. The Symposium must be open to all Congress participants. It is strictly forbidden to hold a CSS outside the Congress premises during the seven days before the Congress, during the official hours of the Congress or during the two days immediately after the Congress. The Congress logo may not be used without the expressed written consent from the Committee. The CSS must comply both the times as established between the Industries and the Organizing Committee, no other time slots will be considered. SERVICES INCLUDED Room in the Congress Centre Standard audio-visual equipment, consisting on PowerPoint projector, microphones and viewing screens appropriate to room size. Access to the Speakers Pre-view room Publishing of the symposium title, schedule and room in the Final Program, after submission to and endorsement of the Organizing Committee (the sponsor agrees to respect printing deadlines) Use of the Congress logo on invitation cards, inserted in Congress bags if supplied before 2 November 2009. Permanent imports of electrical equipment require a Product Registration as per voltage, prior to entering our country. This process will take, at least, 3 months for registering product and high expenses will apply for registration purposes. Documents required will be informed upon request. We strongly recommend temporary import of this kind of products.

TEXTIILE PRODUCTS TEXT LE PRODUCTS
Certificate of Origin legalized by the Argentine Consulate in the Country of Origin is required for textile and fabric products and for all goods in which the country of Origin is not a member of the WTA. Please check with us before shipping this kind of goods.

Exhibition goods shipped through courier services have restricted regulations in Argentina. Courier companies may not deliver shipments weighing more than 49 kg and for a value exceeding USD 700. Data hunting for Exhibitors
A very important decision at the moment of planning a commercial exhibition is to determine how you will store the data of those who visit your stand; each one of them is a future client. Then, once the event has finalized, the way to maximize the commercial success will depend on the quality of the released information.

An excellent alternative is DataHunter® which captures electronically that information on the same stand. The information is captured from the identification card that each participant of the congress is given from the organizers at the time of accreditation. Each participant of the Congress is given a registration number, saved in its badge as a BarCode, which will be scanned by the provided reader. ConTI Tecnologia Informatica, in charge of the technical administration of the accreditations, provides the service of Bar Codes (LCB) rental to the exhibitors interested in creating or increasing its own Data base, an essential tool of Marketing. The service of DataHunter®, in addition to the rental of the LCB, includes the generation of the resulting file with the information of each participant whose identification has been scanned.

The storage capacity of the LCB is of approximately 200 codes / readings. Once the memory is full, the information must be unloaded by members of our team to guarantee its preservation. The data collected by scanner can be given in diverse file formats (Excel, Access, Word, QuattroPro, DBase, etc. *). Once the Congress has finished, each exhibitor will receive a complete and detailed report. Also, it is possible to provide the information daily. .
