Congratulations on advancing to the final round of the 2009 Division III Softball Championship!
Montclair State University and the Department of Intercollegiate Athletics are proud to host this
event at the MSU Softball Stadium. The information in this manual has been compiled for your
convenience. It is intended for the teams, championship officials, and accompanying media in
preparation for the 2009 NCAA Division III Softball Championship.

This document is intended to serve as a supplement to, not a substitute for, the 2009 NCAA Division
III Softball Championship Handbook. That publication remains the primary source for policy
information regarding the championship.

Once the championship participants arrive on site, they will receive a packet of materials that will
include updated information for the banquet and barbeque, information sheets and participant
credentials.

If any questions arise in the meantime, please do not hesitate to contact anyone listed in the
personnel section of this manual.

                                         Transportation
Newark International Airport (EWR) services the greater New Jersey and New York area. Travel
arrangements must be made through Short’s Travel Management (866-655-9215) for
reimbursement to be made by NCAA. The airport is approximately twenty minutes from the
Montclair State University Softball Stadium and all of the headquarters hotels.

                                       Lodging for Teams

Teams will be housed at one of the three LaQuinta hotel locations. Each team is responsible for
making their own arrangements no later than Tuesday, May 12, at 12: 00 noon. The host institution
will reserve twenty (20) non-smoking double rooms for the official travel party (25) of the
competing teams. Teams will be notified at the conclusion of the first round which property they
will be assigned.

The LaQuinta hotels will provide a complimentary continental breakfast each morning.

Additionally, for your convenience free wireless internet will be accessible at each of the hotels.

posted at the hotels. There will also be a hospitality tent staffed throughout the tournament at the
MSU Softball Stadium. Participant credentials will be required.

                       Barbecue – “A Taste of the Jersey Shore”
There will be a barbecue for the official travel party of each team (25 each), the NCAA Division III
Softball Committee members and local honored guests.

                                              Banquet
There will be a banquet for the official travel party of each team (25 each), championship officials,
NCAA Division III Softball Committee members and local honored guests. Each team is required to
provide up to two (2) student-athletes to speak at the banquet for a maximum of two (2)
minutes. The names of the student-athletes should be included on the official banquet registration
form located in the back of the manual. A limited number of tickets for additional team personnel
are available at a cost of $40.00 per person. Tickets may be picked up at the banquet. Please fill out
the official banquet registration form and fax by Tuesday, May 12th to Stephanie Sabaliauskas (973-
655-6786)

Time: Doors open at 7:00pm and dinner served at 7:15pm

                                Pre-Championship Meeting
A required pre-championship meeting for all coaches, team sports information directors, the
tournament director, the umpire-in-chief, the host sports information director, the site director,
NCAA Softball Committee members and the NCAA championship staff liaison, will be held at the
Presidents Conference room, 7th floor of University Hall, immediately following the banquet.

                                   Championship Results
Championship results will be made available at the conclusion of each game and will be distributed
to media and attendants, coaches and sports information directors, and NCAA committee members.
Additional copies will be available at from the press box or at Yogi Berra Stadium.

                                            Softballs

              The Worth NC12L (.47 COR) softball will be used for championship play.



                                   Souvenir Merchandise
A variety of NCAA Division III Softball Championship merchandise will be on sale at the Montclair
State University Softball Stadium throughout the championship, as well as at the banquet Thursday
evening.




                                       Warm-up Music
If you have an eight-minute warm-up music CD, please bring it on the practice day and give it to the
NCAA Softball committee representative assigned to your team. The CD will be reviewed for
appropriateness. Please pick up the CD prior to your departure.

                                         Courtesy Cars

A courtesy car will be made available for each team during their stay in Montclair. A key to each car
will be made available to the head coach upon check-in at each team’s hotel. It is the responsibility
of each head coach to fill out the required insurance form, located at the back of the manual, and fax

                                           Team Hosts

Each team will be assigned a host from the local community. The host will assist with travel
questions to and from the championship functions as well as general arrangements while teams are
in Montclair. The host will contact you soon after your arrival at the hotel or may phone you in
advance to arrange a time to meet.




                                     Community Service
Each team participating in the championship will be given an opportunity to participate in a
community service project while in Montclair. This may consist of visiting a local hospital or
reading to an elementary school class. The community service opportunity will be scheduled on
Thursday, May 14th and will not conflict with a team’s practice schedule on that day. All
opportunities will be coordinated by Tara Rienecker, Community Service Liaison after receiving
your travel schedule, arrival time and coordinated through your local host family. See schedule in
the back of the manual.

Re: Athletic Training and Sports Medicine Concerns

Medical Considerations


Congratulations on your softball team winning your first round competition and advancing to this
year’s championship! We are excited to act as your host for the tournament and we will attempt to
do our best to make your experience as pleasant as possible. Below is what we plan to set up for
the championship.
   • A certified athletic trainer from our staff will be available at all times during the tournament
      and practice sessions at the stadium.


   • There are two hospitals within 10 miles and our team physicians will be on call. Directions to
      the hospitals will be available at the stadium.

   • There is a small athletic training room in the home locker room of the stadium. There will
      also be a tent in the outfield parking lot that will be dedicated to medical care. We hope to
      have this set up as a fully functional athletic training facility. Whirlpools will be available in
      another athletic training location on campus.

   • Water, ice, and water bottles/cups will be provided as is customary during games. We will
      place a hand-held radio in each dugout so that you can reach us with questions.

   • MSU EMS, an excellent student staffed service, will be on site to care for spectators and to
      transport and support the athletic trainers when the need arises.

   • If a certified athletic trainer is not traveling with your team, and modality treatments are
       needed, please send a letter describing what type of treatment is required. We will keep
       this on file in the stadium.

   • I have enclosed a copy of our standard host letter that we send to teams that visit MSU during
       the year.

    Please note: Our main Athletic Training Facility in Panzer Gym has been closed for
renovations. We are now located at 30 Normal Ave.

One or more of your teams will be playing at Montclair State University during the upcoming
athletic year. When your teams play at MSU a certified athletic trainer or qualified first-
aider will be available or on staff at all home games.


Our certified staff and student staff will provide the following services:

                                       First-Round Sites
The host sports information director at each first-round site must, at the conclusion of their
championship game, phone Mike Scala at 973-655-6787 to provide updated information on all the
first-round results.

If there is an if-necessary game on Monday, May 11(eight-team first rounds only), the winning team
should immediately forward the statistical information to Mike Scala following the conclusion of
that game.

In addition, the SID of each first-round championship must immediately contact Mike Scala to
arrange for sending of updated statistics. We must have these statistics by Sunday night, May, 10th
or upon completion of your first-round site, so please plan to have them updated at that time. The

                                           Mementos
A memento from the local host committee and the NCAA will be presented at the conclusion of the
banquet on Thursday evening at the Conference Center at Montclair State University to each
member of the official travel party (25). Mementos this year include a weekend duffle bag so please
pack accordingly so it can be taken home following the championship.



                                   Post-Game Interviews
Coaches are reminded of the NCAA policy regarding post-game interviews which stipulates that you
are obligated to the entire representative media covering the tournament. There will be a 10-
minute cooling-off period following each game or following an awards ceremony if a team is
involved in a ceremony. Immediately after the 10-minute cooling-off period, the winning coach and
requested players will be made available to the media first followed by the losing coach and
requested players. A designated area at Yogi Berra Stadium will be provided for interviews and
distribution of statistics.

                                               Awards
Team awards will be presented immediately following each game in which a team is eliminated. As
teams are eliminated, eighth through third place teams will be awarded their first-round
championship trophies and individual awards. The National Championship, Runner-up trophies
and individual awards will be presented following the championship game. The All-Tournament
team will also be recognized at that time.




                                               Publicity
Local media coordinator Mike Scala will be in contact with teams following first-round competition
and will inform each team as to the materials and information he will need.

                        Inclement Weather Practice Locations
In the case of storms and/or lighting or other unsafe conditions, inclement weather practice sites
have been selected. These sites are only available after a decision by the NCAA Division III Softball
Committee determines that conditions are unacceptable and directs the teams to utilize the
alternate sites. The sites are not available unless determined to be necessary by the Committee.

Inclement weather practice locations are the following:

   1. Kean University
       1000 Morris Avenue
       Union, New Jersey 07083


   2. The Fred Hill Sports Academy
       3 Fairview Avenue
       Verona, NJ 07044




It should be noted by all teams that no equipment is provided at the practice sites for inclement
weather. The team must bring equipment with them. Any such equipment is subject to the
approval of venue management and the Division III Softball Committee.

Note: There is no “switch” if practices are regulated to the inclement weather sites. Teams will
remain for the duration of their practice.

If the weather and field conditions become safe, practices will resume at the Montclair State Softball
Stadium. Teams paired in the bracket will have the same practice conditions (i.e., both will practice
at inclement weather sites or both will practice at the Montclair State Softball Stadium).

From Newark Airport to La Quinta, 256 Rt. 3 E., Clifton, NJ 07014

Exit airport by following signs to Rt. 21 North. Rt. 21 becomes McCarter Highway. Follow all the
way to exit 8, Nutley (about 8 or 9 miles). Make left at exit, and the first right at the light on to River
Road. Follow River Road to LaQuinta Hotel.



Directions to Montclair State University:

 From back of hotel, make left on to River Rd. Continue under the highway and make a right.
Follow signs to Rt. 3 W. Continue to Rt. 46 W. Exit at the SECOND Valley Road Exit. Make right on
to Valley Rd. Follow to first campus entrance (Quinn Rd.) and proceed up the hill to parking lots 23
and 24A.



From MSU: Directions to Kean University , 1000 Morris Ave., Union, NJ:

From Normal Ave., make left to Valley Rd. On the right hand side, you will see entrance for Rt. 3
East toward Lincoln Tunnel. Proceed to entrance to Garden State Parkway South (tolls). Exit at
140A toward Rt. 82E (Elizabeth/Somerville). Take ramp toward Rt. 82 E/US 22/Elizabeth. Make
right on Ingersoll Terr. And another right onto Morris Ave. Kean is at the end of Morris Avenue.



From MSU: Directions to Fred Hill Sports Academy, 3 Fairview Avenue, Verona, NJ:

Exit to Normal Avenue and make a right. Cross over the train tracks and make left at first light to
Upper Mountain Ave. Proceed on Upper Mountain for approx. 2 miles to Bloomfield Ave. Make
right onto Bloomfield Avenue to Fairview Ave. (approx. 1.2 miles).
