HOW TO MAKE A BATCH Click on this on the screen. icon. The Batch File Allocation Detail window will be displayed Click on the button. Type a batch description in the text box (blue). Choose All at the Pay Point Selection option, Choose All at the Pay Span Selection option and Choose All at Project Selection option. At the Payment Frequency option, choose monthly, weekly or 2-weekly. that is going to be paid with this specified batch. At the Batch Entry Type, choose one of the following types of batches: Days/Hours to put in the days or hours worked. Overtime Hours to put in the overtime hours worked. Other income to put in income for the workers. Other deduction to put in all the deductions of all the workers. Time Taken off to put in all the time off that the workers has taken. Click OK to accept the Batch Entry Configuration. On the Batch File Allocation Detail window, click on the batch entry that you just created for example: 000006. The specific batch must be selected. This means the batch is blue and then click . Click on Next to create the batch. Type in the date on which day the transaction must appear on the workers pay slips, for example if monthly from 1 August to 31 August. Use any date in that specified period for example 01/08/2006. After typing in the date choose next. At the Default Overtime Definition Type choose the type of overtime e.g. 1 overtime then choose next at the next default overtime choose 1.5 and the next one choose 2 overtime. When you are done with the settings click on finish. If you made a mistake you can correct it by clicking on the back icon and check where your error is and correct it. Stand with your cursor on the batch that you have just made. It will be highlighted with a blue line click on . The following screen will appear. Double click on the person who has overtime. Type in the hours, and go through the line and go to the next person. When you have entered all the overtime entries click on print and if it is correct you can post it. Click on the button and all the information will be posted to the correct person. If you want to see the information on your screen again go on and all the information will be on your screen. You can print the information by clicking on this button . You cannot change this displayed information. NOTE: NEVER DELETE ANY BATCHES AFTER IT WAS POSTED!!!! THIS WILL CAUSE YOU TO LOOSE ALL INFORMATION THAT WAS CAPTURED AND POSTED FOR ANY EMPLOYEE!!!!! IF A BATCH WAS NOT POSTED, IT CAN BE DELETED WITHOUT HAVING ANY EFFECT ON ANY EMPLOYEE’S DATA.
