                     ACE DIRECTOR
         BROOKLYN PARK YOUTH HOCKEY ASSOCIATION

       Summary: Responsible for the administration of all coaching and
                   educational programs within BPYHA

Reports to: BPYHA Board of Directors

Responsibilities:
        Ensure that coaching certification/accreditation is properly confirmed
        and recorded

Reports to: BPYHA Board of directors

Responsibilities:
        Prepare an inventory of all booster items and contact appropriate
        vendors to update and ensure proper levels of inventory is kept
        Prepare and present annual report at annual meeting
        Attend monthly board meetings; give report of previous months
        activities.
        Ensure that all invoices from vendors are approved and set to the
        treasurer on a timely basis, keep copies as needed.
        Set date and times; contact photographer, coordinate picture night for
        all teams in association. Work with Director of Team Managers for
        scheduling and communicating picture times.
        Attend managers meetings for traveling and pony/mites to explain
        booster activities and managers responsibility
        Responsible for booster sales and used equipment sale at yearly

                CONCESSIONS DIRECTOR

Summary: Responsible for operations of the concession stand during the
                      BPYHA hockey season

Reports to: BPYHA Board of Directors

Responsibilities:
        Set starting date (usually during tryouts)
        Contact all food and beverage vendors in August/September to
        coordinate first orders and ensure all equipment is operational
        Attend monthly board meetings to give report of previous months
        activities.
        Get list of all BPYHA sponsored tournaments and all Park Center High
        School boys and girls Hockey games.
        Prepare and present yearly report at annual board meeting
        Prepare weekly schedule and pass out to teams at managers meeting.
        Work with volunteer coordinator to schedule concession volunteers for
        the season
        Weekly, prepare food and beverage orders, weekly worker schedule,
        properly rotate and put away stock as it arrives.

        well as mailings.

        Work with Boosters to ensure sponsor information is out before picture
        night

        Promote BPYHA at several local, community events; Tater Daze,

Responsibilities:
        Coordinate all activities involved in planning and executing BPYHA
        Tournaments

        tournament fees with the approval of the Board of Directors

        Serve as primary contact for teams involved in tournaments

                     TREASURER
        BROOKLYN PARK YOUTH HOCKEY ASSOCIATION
  Summary: Responsible for all funds associated with the Brooklyn Park
                    Youth Hockey Association.

Reports to: BPYHA President

Responsibilities:
  Attend monthly BPYHA Board Meeting and present the Treasurer’s
  report. The purpose of the Treasurer’s report to update the entire
  Association as to the sources and uses of funds during a month and
  provide the cash balance as of the end of the month. Also include a
  budget comparison and a year-to-date comparison when significant.
  Attend monthly Executive Committee meeting as scheduled.
  Attend monthly Gambling Committee meeting as scheduled.
  Process all payments to vendors, coaches, tournaments, etc. This
  represents 25 to 30 checks per month.
  Process all deposits related to registration fees, booster sales,
  tournament sales, sponsor fees, goalie equipment rental fees,
  tournament advances and equipment sales. Endorse checks with
  stamp, prepare deposit worksheet, and take deposits to the bank.
  Record all transactions on Quicken. This includes posting of the
  daily concession stand deposits.
  Reconcile the bank accounts.
  Generate monthly reports of detailed receipts and disbursements by
  Budget category for distribution to the Executive Committee.
  Prepare the summary Treasurer’s Report.
  Work with various Directors to prepare the Budget for the
  Association and obtain Board approval of the budget according to
  BPYHA bylaws.
  Prepare and file the 990 and 990T tax returns for the Association
  and Gambling Account or coordinate with accounting firm.
  Maintain detailed records by Association member of dues paid to
  ensure full payment by all members.
  Process Scholarship requests for Association members, present to
  executive board for approval
  Prepare invoices by team of second half fees and tournament fees
  due to the Association, or work with Registration Director for billing
  statements prepared from the USA Hockey software.
  Bill sponsors for annual sponsorship fees. Work with Marketing to
  ensure sponsors are properly acknowledged.
  Order checks and deposit slips from the Bank as needed.
  Present budget to actual results of the Association at the Annual
  Meeting, first monthly meeting after year-end.
    Work with the Concession Stand Director, Tournament Director,
    Booster Director and Cash Manager to provide seed money for
    concessions, boosters and tournaments and work to ensure cash is
    properly controlled.
    On a semi-annual basis, (January and July), process the “profit
    distribution report” on the concession stand for the City of Brooklyn
    Park.
    Review the annual billing for Rink 2 funding for reasonableness and
    consistency with our agreement with the City of Brooklyn Park. Meet
    with the City of BP to discuss the billing if needed.
    Work with the Registration Director to ensure timely processing of
    team and coaches registration fees with USA Hockey and MAHA
    Ensure agreement as to number of Association members as
    maintained on the Registration software and the detailed records of
    payments by Association members.
    Responsible for oversight of one of the Association levels during the
    tryout process.
    Collect on NSF checks.
    Check bank balance online and make transfers of funds as needed.
    Review budget accounts for reasonableness.
    Prepare reports for Directors as requested.
    Prepare Concessions, Boosters and Tournament reports for
    directors monthly or as needed.
    Follow up on refunds due from other associations for cancelled
    tournaments.
    Call scholarship parents to work extra concession or tournament
    shifts as needed or communicate with the Volunteer Coordinator.
    Record when worked on their forms.
    Filing – all documentation needs to be filed in an orderly manner.
    Print out various reports as requested.
    Back up Quicken monthly to floppy disk.
    In the event of an Audit, provide all financial detail to auditors as
    requested.
    Work with banking officer.
    As Executive Officer, vote at monthly meetings and executive
    meetings as needed, and help in decision-making.

        Attend monthly Gambling meetings.
        Attend and assist with monthly board meetings, give report of previous
        months activities.
        Sit in on Hockey Operations Committee meetings and assist with the
        annual tryout process for all traveling teams, serve as a liason to one
        tryout level.
        Prepare and present yearly report at annual board meeting
        Plan, organize and present beginning of year Managers meeting for all
        traveling teams in the event there is no Director of Team Managers in
        place.
        Chair the annual nominations committee to search out candidates for
        annual elections.

               VOLUNTEER COORDINATOR
        BROOKLYN PARK YOUTH HOCKEY ASSOCIATION
         Summary: Board member of Brooklyn Park Youth Hockey

Reports to: BPYHA Board of Directors

Responsibilities:
        Attend monthly board meetings and give report of activities
        Work with Registration, Boosters, Concessions, and Tournament
        Directors to schedule volunteers where needed
        Obtain the Park Center High school boys and girls hockey game
        schedules for concession scheduling
        Communicate with the City of BP for other key ice schedule
        information
        Obtain game schedules and tournament schedules for all teams and
        try to work around their schedules as much as possible.
        Obtain a listing of team managers and coaches from the Director of
        Team Managers
        Schedule teams a week or two in concessions in such a way that
        parents work approximately the same number of shifts per player.
        Consider establishing a buyout for those who choose not to work their
        shifts, with the benefit going to those who want to work extra shifts to
        help cover their hockey costs
        Work with Treasurer to ensure that all scholarship recipients work extra
        hours as required by their scholarship agreements
        Maintain a list of people willing to work extra volunteer shifts for a fee (
        Provide schedules to the team managers a couple weeks in advance
        of their shifts and collect back one week before shifts begin.

                    CASH MANAGER
        BROOKLYN PARK YOUTH HOCKEY ASSOCIATION
        Summary: Board member of Brooklyn Park Youth Hockey

Reports to: Treasurer, BPYHA Board of Directors

Responsibilities:

         Attend monthly board meetings and give report of activities
         Work with Boosters, Concessions, and Tournament Directors to
         establish their cash needs
         Obtain a check from the Treasurer to set up seed money
         Set up daily til money for concessions
         Collect and reconcile daily cash from concessions
         Work with Concession director to establish cash controls and reports
         needed
         Make deposits of cash weekly
         Maintain records of cash collected, give deposit slips and reports to
         Treasurer
         Ensure adequate coin and change is available for concessions and
         tournaments
         Establish tournament cash controls & reporting, collect cash as needed
         during tournaments and deposit as soon as possible
         Work with various directors when cash over/short becomes a problem
