FOH Minutes for Board Meeting May 18, 2004 Present: Catherine, Andy, Don, Bill, Joyce, Meg, Francesca, Cath, and Richard. Board / Teacher dialogue Meg opened the conversation by providing an update and asking the teachers to consider what sort of support they need during this transition. What follows are highlights from the discussion: a new service provider would enable us to put audio and possibly video up on the web site; the need to explore the use of pay pal; setting up a distance model that could be contained - like a chat bulletin that is run periodically for a set time period; we could explore having a guest teacher once or twice a year but not as a means of filling curriculum. Yoga and meditation - people are coming into the yoga but staying there as opposed to moving to meditation. Proposed schedule would include a Thursday or Friday am basics with a bit of QiGong (one hour meditation and one hour movement), and dropping the Monday and Wednesday am yoga and meditation class. We agreed that a joint meeting between the teachers and board should be held twice a year. Board dialogue Changes to the Minutes - #9 should read Don not Bill. Minutes accepted 1. Regular reports Attendance - Circulated by Meg Finances - Don transferred $5000 from longer term savings into the operating account. We now have $6000 plus cash in the operating account. Membership - No intro members from our last Open House. Andy explained that there was a “hiccup” with the Website and wondered if this impacted attendance. Apparently the site has been de-listed by some of the search engines. This is happening due to the redirect off of Franca’s web site. We decided to spent $500 to hire a professional person to come in and audit the web site. Report to be given to the board. 2. Membership / Open House / Communication a) Open House - see report There was much discussion around postering for our Open Houses. Some suggestions included: Continue postering at Noah’s and at A Thousand Villages; Target postering for September and May Open Houses; Consider one round of postering in the neighborhood as opposed to two; Post this task as a volunteer position or give it to the Tuesday class. Results of the conversation included: Susan, Meg, and Caroline to meet for a brainstorm session and report Back; Pay to have the postering done for September and May; Print flyers and ask classes to distribute for the other 3 Open Houses, providing them with a vetted list of places to drop off the flyers. Cost not to exceed our 2003 advertising budget; Meg will see if Caroline can build this list; We’ll rethink on the advertisement dollars in the Fall; Cath to provide Meg with the coordinates of Ascent Magazine and Bill for Arrowsmith magazine. 3. Donations out from Catherine a) Catherine requested that we purchase a White Tara Thangka painting with the money bequeathed from Flora Hoag. Action: Franca knows a woman who makes them – Bill to contact Franca. b) We agreed to provide a $150 donation to Gaden Samten Ling and his students in appreciation of their visit during the Kalachakra initiation. Action: Meg to provide a cover letter and a note from Catherine will accompany the donation.
